Licences are the smallest layer of an Australian ERP budget — implementation and years two to five decide the real number. All figures ex GST.

The three layers of ERP cost

1. Subscription/licences. Published per-user pricing runs from ~A$35/user/month (Odoo) to ~A$120–165/user/month (Business Central, SAP Business One territory). NetSuite, MYOB Acumatica, Pronto Xi, TechnologyOne and most others quote only. NetSuite small deployments typically land around A$20,000–40,000/year. Consumption models (MYOB Acumatica) price on resources rather than users, which is attractive if you want warehouse staff and field crews in the system.

2. Implementation. The layer buyers most consistently underestimate. Discovery, configuration, data migration, integrations, training and go-live support. Rule of thumb from AU partner proposals: 1–2× the first year’s licence cost for straightforward projects; more when manufacturing, multi-entity consolidation or heavy integrations are in scope.

3. Ongoing. Support agreements (typically 15–20% of licence where separate), internal admin time, and the near-universal “phase 2” within 18 months. Budget for annual subscription increases too. Uncapped renewals of 5–10% are a recurring complaint with quote-only vendors.

Five-year TCO

Take Scenario 1. First year ~A$150,000. Years 2–5 the subscription continues at ~A$42,000 with, say, 7% annual increases (~A$187,000 over four years), plus support and the near-inevitable phase 2 (~A$30,000–60,000). Five-year total: roughly A$370,000–400,000, about 2.5× the first-year figure everyone anchors on. Two practical consequences: negotiate a renewal cap in the contract before you sign (5% caps are commonly achievable), and evaluate vendors on five-year cost rather than year-one cost when comparing quotes.

What moves the number most

  • Data migration scope. The most common blowout. Bringing balances, open transactions and two years of summaries costs a fraction of migrating 15 years of detail, and usually serves you better.
  • AU payroll. Native-payroll systems (MYOB Acumatica, Wiise) fold it into the project; add-on payroll (Business Central, NetSuite) adds licence, integration and testing cost. Often 30% of real project complexity.
  • Integrations. Each connected system (e-commerce, CRM, 3PL, banking) adds A$5,000–30,000 depending on maturity of the connector.
  • Customisation appetite. Staying close to standard is the single biggest controllable saving, in build cost and in every future upgrade.
  • Fixed-price temptation. Suspiciously cheap fixed-price implementations recover their margin through change requests. Compare assumptions, not just totals.
