Major Gift Software: Prospect Pipelines, Moves Management and Portfolio Tracking

Last updated: October 8, 2026 · Independent buyer’s guide · We do not sell rankings or coverage.
Major gift software is the part of a donor database that moves high-capacity prospects through stages from identification to stewardship, stores contact reports, and ties asks, proposals and pledges to the gift officer who owns each relationship. You usually do not need to buy it as a separate product: DonorPerfect, Bloomerang, Virtuous and Raiser’s Edge NXT each handle portfolios and moves management inside the donor system, with different levels of depth. Wealth screening is usually a separate subscription from DonorSearch, Kindsight iWave or WealthEngine. The right choice depends on your number of gift officers and whether you need a separate record for each ask.
Key takeaways
- Raiser’s Edge NXT has the most structured model here, with an opportunity record per ask. Its premium AI cultivation features are not sold separately and come with higher packages such as Complete, and prices are not published.
- Virtuous tracks asks in a Gift Ask Pipeline with custom statuses. Pricing is by request.
- DonorPerfect includes Moves Management only on its Plus and Pro plans, not Core. Plans start at $99 a month according to its pricing page.
- Bloomerang runs moves management through relationship managers, tasks and reports. The CRM starts at $125 a month, billed annually.
- Wealth screening is a separate cost. Kindsight is the only screening vendor we checked that publishes a price (iWave Starter from $4,500).
How major gift prospect management works
Most major gift programs use some version of the five-stage cycle. The Association for Healthcare Philanthropy (AHP) defines the stages in its moves management reporting guidelines as identification, qualification, cultivation, solicitation and stewardship (AHP, 2025). AHP describes qualification as the stage “in which the prospect’s capacity and affinity to make a major gift are determined,” through personal contact, with the major gift officer asking the qualifying questions.
In practice, the database must show who is in each officer’s portfolio, each prospect’s stage, the last substantive contact, the planned ask and date, and what has been pledged and is still owed.
Portfolio assignment is a relationship field on the constituent. Stage is a field on the constituent or on an opportunity. Contact reports are dated interaction notes. Asks and proposals are opportunity or “gift ask” records with an amount and a target date. Pledges are gift records with an installment schedule and a balance.
Where major gift tracking goes wrong
Stage lives on the person, not the ask. If a donor is considering both a capital gift and an endowed fund, a single stage field on the constituent cannot show both. A separate ask record avoids this.
Contact reports are late or thin. Virtuous’s own moves management guide says “your Notes must be accurately and regularly logged” for moves management reporting to work (Virtuous Help Center, July 3, 2025). When officers log visits weeks later, or only log the visit type without the outcome and next step, portfolio reviews rely on memory.
Pipeline and revenue are mixed together. Under FASB ASU 2018-08, a contribution is conditional when the agreement includes both a barrier the recipient must overcome and a right of return or release, and it is not recognized as revenue until the barrier is met (FASB ASU 2018-08, June 2018). If proposals, verbal commitments and conditional pledges sit in the same field as unconditional pledges, gift officer reports will disagree with finance.
Screening data is bought and never used. Without a rule for which capacity ratings trigger a qualification visit, screening scores sit in custom fields and portfolios do not change.
How donor systems handle major gifts
There are three product types. First, donor databases with native major gift features. Second, wealth screening tools that write capacity data into the database. Third, gift officer tools such as EverTrue and Gravyty Raise that sit on top of a CRM. Gravyty lists Raiser’s Edge NXT, Salesforce, Bloomerang and Virtuous among its integrations and describes two-way CRM sync (Gravyty, May 21, 2026). Both sell the products they describe.
Raiser’s Edge NXT (Blackbaud)
Raiser’s Edge NXT uses opportunity records that, in Blackbaud’s words, “help you manage the process, from identifying a prospect to receiving a gift and planning its use.” Each opportunity belongs to one constituent, a constituent can have several, and fundraisers see their assigned opportunities in the Work Center (Blackbaud help, October 7, 2026). The product page says prospects move through the same five stages, with dashboards for gift officers and leadership (Blackbaud, September 15, 2026).
Blackbaud’s prospect workflow tutorial shows fundraisers working from Portfolio, Prospect insights, where an Undergiving queue ranks assigned prospects and Optimized Opportunities suggests an ask amount, expected amount and deadline. After each conversation the fundraiser completes the action and adds notes (Blackbaud help, October 7, 2026). The limitation is packaging. In a Blackbaud Community announcement, the company said premium features such as Prospect Insights Pro and Cultivation Assistant go automatically to customers on Raiser’s Edge NXT Complete or Raiser’s Edge NXT Pro for Higher Education. A Blackbaud representative said in the thread that the features are not available à la carte, require a package upgrade, and that customers should ask their account rep about upgrade costs (Blackbaud Community, no date shown).
Virtuous CRM+
Virtuous builds moves management from three parts. Organization Groups define which contacts each user is responsible for, with Major Gift Officer portfolios given as an example. The Gift Ask Pipeline tracks individual asks through customizable statuses. My Portfolio pulls both together for the officer, and Notes and Tasks record past and future interactions (Virtuous Help Center, July 3, 2025).
Virtuous also sells Momentum, an AI agent for major and mid-level gift officers, and Insights, which adds wealth and demographic data. Its pricing page lists Platform and Enterprise tiers split at $5 million in annual fundraising revenue, all at “Request Pricing” (Virtuous, September 17, 2026).
DonorPerfect
DonorPerfect’s Moves Management lets you build cultivation plans for individuals or groups, set a goal and timeline for each plan, and define up to 60 custom moves such as calls, meetings and event invitations. Each move is assigned to a staff member with a due date, tasks can sync with Outlook or Google calendars, and plan reports show money raised, largest gifts and completed moves (DonorPerfect, August 6, 2025). The factsheet does not describe a separate ask record.
Plan level matters. DonorPerfect’s pricing page shows Moves Management in Plus and Pro but not in Core, and Automated Alerts and Tasks also start at Plus. The page says suites start at $99 a month but does not publish a price for each plan (DonorPerfect, July 7, 2026). For pledges, DonorPerfect recommends running a monthly pledge reminders report and offers a pledge reminder template (DonorPerfect, August 14, 2024).
Bloomerang
Bloomerang’s approach is lighter. Its help article on major gifts moves management tells you to create a task for each touchpoint, tag it with the subject “MM” and assign it to relationship managers in bulk. Two scheduled reports per manager then show which prospects in the portfolio have no moves management tasks and which have assigned ones, the second with columns for Is Overdue, Current Stage, Target Ask Date and Target Ask Amount (Bloomerang Help Center, September 3, 2026). The article does not describe a separate opportunity or pipeline record, so stage and ask data sit at the constituent level.
Bloomerang’s major gift page lists a relationship manager for each prospect, custom cultivation fields and “Advanced wealth insights” through a DonorSearch ProspectView integration (Bloomerang, no date shown). Pledges support fixed or custom installment schedules with a payment history tab (Bloomerang, September 23, 2019). The pricing page lists Bloomerang CRM from $125 a month and the Giving Platform bundle, which adds Prospect AI, from $242 a month, both billed annually; it does not list wealth screening as part of any plan (Bloomerang, no date shown).

Wealth screening add-ons
Screening tools match your records against wealth and philanthropic data and return capacity ratings and scores. We checked three vendors.
DonorSearch offers CORE, Enhanced CORE and DonorSearch Ai, plus ProspectView Online for research, and does not publish pricing (DonorSearch, March 5, 2026). DonorPerfect lists a bi-directional DonorSearch integration for individual and batch screening, with wealth capacity, giving history and affiliations flowing into DonorPerfect records; it notes that the newer AI scoring models “may incur additional costs” (DonorPerfect, August 27, 2026).
Kindsight iWave is the only screening product we checked with a public price. iWave Starter starts at $4,500 with up to 1,500 subscription screens, one user and up to 750 live profiles. Professional starts at $5,800 with up to 5,000 screens and three users. A CRM or donor database integration is listed only in the Premium tier, which is quote-only. The page does not state a billing period for iWave prices (Kindsight, June 30, 2026).
WealthEngine, now part of Altrata, offers capacity and propensity screening, predictive modeling and campaign modeling, with out-of-the-box integrations for Salesforce and Salsa. Pricing is not published (Altrata, February 7, 2025).
Ask each vendor which fields the screen writes back and whether results refresh automatically. Our nonprofit software pricing guide shows how screening fits next to other donor system costs.
Worked example (illustration)
The figures below are invented to show how the records fit together.
A regional nonprofit has two gift officers. After a batch screen, the prospect researcher flags 60 records with high capacity ratings and no gift officer assigned. The development director assigns 30 to each officer and sets their stage to Qualification.
Officer A visits a donor, Ms. Lee, and logs a contact report the same day: her interest in the scholarship fund and a next step to send a proposal within two weeks. In a system with ask records (Raiser’s Edge NXT or Virtuous), Officer A creates an ask for $100,000 to the scholarship fund with a target date of March 31 and a status of Cultivation. In Bloomerang, the officer updates Current Stage, Target Ask Amount and Target Ask Date on Ms. Lee’s record and adds an MM task for the proposal.
Ms. Lee signs a pledge for $100,000 payable in four annual installments of $25,000, with no conditions. The ask is closed as won, a pledge with a four-installment schedule is created, and finance books the unconditional promise. Had she made the gift contingent on a matching amount, with a right to withdraw, the pledge would be conditional and flagged so finance does not record revenue yet.
At the monthly portfolio review, the director runs two reports: prospects with no contact in 90 days and open asks by status.
Our independent take
The biggest functional difference among these four systems is whether an ask is its own record. Raiser’s Edge NXT and Virtuous both have one, which matters once officers manage donors with more than one open ask. DonorPerfect and Bloomerang handle cultivation well through plans, tasks and reports, and they are more transparent about entry prices, but you should test how they show two concurrent asks for one donor.
Budget for screening separately in every case. None of the four pricing pages we checked lists third-party wealth screening as included in a standard plan, and only Kindsight publishes screening prices.
Buyer scenarios
A small shop with one major gifts officer. If you have one officer and a portfolio of a few dozen donors, a system with tasks, a relationship manager field and scheduled reports may be enough. Bloomerang’s task-based method or DonorPerfect Plus covers this, but confirm that you are pricing Plus, not Core, if you choose DonorPerfect.
A growing team with three to six officers. Once officers share donors or run concurrent asks, look for an ask or opportunity record with custom statuses and portfolio views per officer. Virtuous and Raiser’s Edge NXT fit here.
A campaign with a feasibility study coming up. A capital campaign often calls for a full-file wealth screen and a way to rate and assign hundreds of new prospects. Price the screening tool and the CRM integration together, check which tier includes the integration (for Kindsight iWave it is Premium), and confirm that ratings land in fields your gift officers already use.
When you do not need dedicated major gift software
If you have no gift officer and only a handful of major donors, the executive director can track them with the notes and tasks your donor database already includes. A gift officer tool such as EverTrue or Gravyty Raise adds most value when several officers manage large portfolios and need daily prompts, trip planning and mobile contact reports, which EverTrue lists among its features (EverTrue, April 3, 2026).
You also may not need a paid screening subscription every year. One option is to screen your file before a campaign and research individual prospects as needed between campaigns. Ask screening vendors whether they offer one-time batch screens as well as subscriptions. When you collect wealth data, set a policy for what you store and who can see it; our article on donor privacy and ethics in nonprofit software covers this.
How we researched this
We read each vendor’s product pages, pricing pages and help documentation for major gift, moves management and pledge features, and recorded the date shown on each page. Where a vendor did not publish a price, we say so. We also reviewed the top-ranking pages for “major gift software,” all of them vendor product pages. No vendor paid for inclusion or reviewed this article.

Frequently asked questions
What is moves management in fundraising?
Moves management is the practice of planning and recording each meaningful interaction with a major gift prospect so that the relationship moves through defined stages. AHP defines those stages as identification, qualification, cultivation, solicitation and stewardship. In a donor database, each “move” is usually a task or action with an owner and a due date.
How much does wealth screening cost?
Of the vendors we checked, DonorSearch and WealthEngine do not publish prices. Kindsight lists iWave Starter from $4,500 and Professional from $5,800, with screen and user limits per tier.
What should a major gift contact report include?
A useful contact report records the date, who attended, the purpose of the contact, what the donor said about interests and capacity, the stage after the meeting and the agreed next step with a date.
Should a proposal be recorded as a pledge?
No. A proposal is an ask that the donor has not yet accepted, so it belongs in an opportunity, ask or pipeline record. A pledge is a promise to give. Under FASB ASU 2018-08, a pledge with a barrier and a right of return is conditional and is not recognized as revenue until the condition is met, so flag conditional pledges separately.
