Donor Database Software for Small Nonprofits: Affordable Options Under 5,000 Donors

Last updated: October 8, 2026 · Independent buyer’s guide · We do not sell rankings or coverage.
A donor database for small nonprofits needs to do five things well: store every gift against the right person, produce IRS-compliant acknowledgments, take online donations, sync with your email tool and accounting system, and give your board a clear report. With fewer than 5,000 donors, published subscription prices run from $0 (Zeffy, Givebutter’s free tier) to $45 a month (Little Green Light) to starting prices of $99 to $125 a month (DonorPerfect, Neon CRM, Bloomerang). Card processing fees can cost as much as the subscription, so compare the two together.
Key takeaways
- Little Green Light is the only paid system here that publishes its full price list: $45 a month for up to 2,500 constituent records and $60 a month for up to 5,000, with unlimited users and all features.
- DonorPerfect and Neon CRM both start at $99 a month and Bloomerang CRM starts at $125 a month billed annually, but none of the three publishes what you would pay at your specific record count or revenue level.
- Neon CRM prices on your organization’s revenue rather than records, and adds 10% for Memberships or Volunteers and 20% for Events on top of the CRM fee.
- Zeffy and Givebutter’s free plan charge no subscription and rely on optional donor tips, which can suit organizations with very little budget for software.
- Gift entry, receipting and a clean QuickBooks link matter far more at this size than AI scoring, wealth screening or moves management.
Who this guide is for
This guide is for an executive director, part-time development lead or volunteer treasurer at a US nonprofit with roughly under $1 million in revenue and up to 5,000 donor records, often spread across a spreadsheet, a processor export and an email list.
If you have a full-time development team or more than 5,000 active donors, our donor management software comparison covers the mid-market platforms in depth.
What a small nonprofit actually needs from a donor database
1. Accurate gift records and households
Every gift should be attached to one person or household record, with the date, amount, fund or campaign, and payment method. Online gifts, event registrations and imported spreadsheets each create new contacts, so ask every vendor to show you how it merges duplicates and handles a couple who give from a joint account.
2. Acknowledgments that meet IRS rules
The IRS requires a written acknowledgment before a donor can deduct a single contribution of $250 or more. That acknowledgment must state your organization’s name, the cash amount or a description of a non-cash gift without its value, and whether you provided any goods or services in return (IRS, June 28, 2026). When a donor pays more than $75 and receives something back, such as a gala dinner, you must also give a written disclosure, and the penalty for missing it is $10 per contribution, up to $5,000 per event or mailing (IRS, June 28, 2026). Your database should generate these letters and year-end summaries from templates, and record that each one went out.
3. Online giving that writes back to the record
Online donations, including recurring gifts, should land in the donor record automatically. A donation form that only exports a CSV means someone re-keys or imports gifts every week.
4. Email and accounting connections
Most small nonprofits already use Mailchimp or Constant Contact and QuickBooks Online. A donor database that syncs with both removes the two most common manual exports. Donor software does not replace your accounting system; it feeds it. Our nonprofit accounting software guide covers the ledger side.
5. Reports your board will read
You need a handful of reports: gifts by month and fund, lapsed donors, first-time donors who have not given again, and a year-end appeal list. Check that you can build these without a consultant.
What you can skip for now
Mid-market vendors compete on features that rarely pay off for a team of one or two. You can usually defer these:
- Predictive or AI donor scoring. Scoring models need a large, clean giving history to say anything useful. With a few hundred active donors, you can read the list yourself.
- Wealth screening. Integrations such as DonorSearch and WealthEngine are useful only once someone has time to cultivate major donors.
- Moves management and portfolio tracking. DonorPerfect places Moves Management in its Plus tier, above Core (DonorPerfect, July 7, 2026). If you do not have a major gifts officer, you do not need to pay to step up a tier for it.
- Built-in auctions, peer-to-peer and text giving. Bloomerang lists auctions and peer-to-peer fundraising separately from the core features of its Fundraising product (Bloomerang, no date shown).
Where small-nonprofit donor databases go wrong
The most expensive mistake is buying on the starting price. Three of the four paid vendors in this guide publish only a “starting at” figure, and the real quote depends on your size: records for Bloomerang, revenue for Neon CRM, and a custom quote for DonorPerfect. Ask for a written quote at your current size and at double your current size so you know what growth will cost.
The second mistake is ignoring how records are counted. Little Green Light and Bloomerang price on constituent records or contacts, so volunteers, event attendees and prospects count toward your tier, not only donors. Clean your list before migration so you do not cross a tier on day one.
The third mistake is overlooking payment processing. At 2% or more per online gift, fees can exceed a low subscription, as the worked example below shows.
How the affordable options compare
The table below lists only figures each vendor publishes. All prices were checked on October 8, 2026. Every source here is the vendor’s own website, and each vendor sells the product described.
| System | Published price for a small nonprofit | How price scales | Processing fees published |
|---|---|---|---|
| Zeffy | $0; $1 per printed letter through Donor Mail | Unlimited contacts; funded by optional donor tips | No transaction or card fees to the nonprofit |
| Givebutter | Free plan $0; Plus from $29/month | Free CRM has unlimited contacts; Plus priced by contact count | 0% with tips on; with tips off, 3% platform fee plus 2.9% + 30¢ per card gift |
| Little Green Light | $45/month up to 2,500 records; $60/month up to 5,000 | Constituent records; unlimited users; 10% off with 12-month prepay | From 2.2% + $0.30, paid to Stripe or PayPal, no LGL fee |
| DonorPerfect | From $99/month | Custom quote; request form asks for constituent count; Core, Plus and Pro tiers | Not published on pricing pages |
| Neon CRM | From $99/month | Annual revenue; unlimited users and contacts; +10% Memberships or Volunteers, +20% Events | Not published on pricing pages |
| Bloomerang CRM | From $125/month, billed annually | Records or contacts; unlimited users; tier thresholds not published | 2.0% + $0.30 per transaction, per a Bloomerang blog post |

How each option fits a small organization
This section covers fit for small organizations only. Feature-level profiles of Bloomerang, DonorPerfect and Neon CRM are in our full donor management comparison.
Free tools: Zeffy and Givebutter
Zeffy describes itself as completely free for nonprofits, with no subscription, per-contact fees, or card fees, and says it relies on optional contributions from donors at checkout (Zeffy, no date shown). Its CRM includes households, offline gift logging, tax receipts and pledge tracking. The trade-off is that donors see a tip request at checkout, which some boards dislike.
Givebutter’s free plan includes a CRM with unlimited contacts. Its paid Plus plan, from $29 a month, adds automated workflows, task management, reporting and a QuickBooks Online connection (Givebutter, no date shown). If you switch tips off, a 3% platform fee and card processing fees apply, so the free plan is only free while tips stay on.
Little Green Light
Little Green Light publishes every tier: $45 a month up to 2,500 constituent records, $60 up to 5,000 and $75 up to 10,000, with all features included, unlimited users, no setup fees and no contracts. Prepaying 12 months saves 10%, and new accounts get 30 days free (Little Green Light, page modified September 2, 2025). It builds and maintains its own integrations with QuickBooks Online, Mailchimp, Constant Contact, Stripe and PayPal, and does not charge for them (Little Green Light, September 9, 2026). Its features page does not mention a mobile app (Little Green Light, May 5, 2025).
DonorPerfect
DonorPerfect starts at $99 a month and quotes custom prices across Core, Plus and Pro tiers, with a request form that asks for your number of constituents (DonorPerfect, July 7, 2026). For a small organization, the main question is whether Core is enough. Core includes donation, volunteer, membership and event forms and Constant Contact Lite, but the QuickBooks integration and batch gift entry sit in Plus (DonorPerfect, July 7, 2026). If your bookkeeper needs a QuickBooks sync, get the Plus price in writing.
Neon CRM
Neon CRM starts at $99 a month and prices on your organization’s revenue instead of records, with unlimited users and contacts. Memberships and Volunteers each add 10% of the CRM fee and Events adds 20% (Neon One, no date shown). This favors an organization with a large contact list but modest revenue. Revenue bands and onboarding fees are not published, so request both.
Bloomerang
Bloomerang CRM starts at $125 a month, billed annually, with unlimited users, and pricing depends on the number of records you track. Its Fundraising product, at $40 a month, must be bought as a bundle with the CRM (Bloomerang, no date shown). Annual billing means a larger up-front payment for a small budget.
Illustrative worked example: first-year cost
This is an illustration built from published prices, not a quote. Assume a nonprofit with 1,800 constituent records that receives 40 online gifts a month averaging $60, or $2,400 a month and $28,800 a year online. Prices above a vendor’s starting figure are not published, so the paid options below use starting prices and may be higher at your size.
| Option | Subscription, year one | Card fees, year one | Total |
|---|---|---|---|
| Zeffy | $0 | $0 (donors may tip Zeffy) | $0 |
| Little Green Light, 12-month prepay | $486 ($45 × 12, less 10%) | $777.60 (2.2% + $0.30 on 480 gifts) | $1,263.60 |
| Neon CRM, base plus Events | $1,425.60 ($99 + 20%, × 12) | Not published | $1,425.60 plus processing |
| Bloomerang CRM | $1,500 ($125 × 12) | $720 (2.0% + $0.30 on 480 gifts) | $2,220 |
Two points stand out. First, at Little Green Light, card fees in this example are larger than the software bill. Second, the paid options with a published total differ by under $1,000 a year at starting prices, so the QuickBooks sync, receipting and gift-entry time should decide. DonorPerfect is left out because its processing rates are not published; its $99 starting price equals $1,188 a year before processing.
Our independent take
For most nonprofits under 5,000 records with one part-time person managing donors, Little Green Light is the easiest system to budget for, because its full price list, integrations and terms are public and it has no contract. Zeffy and Givebutter are credible if your budget for software is close to zero and your board accepts donor tipping. DonorPerfect, Neon CRM and Bloomerang are better fits once you need events, memberships or volunteers in the same system, or expect to grow quickly, but you should get a written quote at your record count or revenue before you compare them.
We do not see a single winner for every small nonprofit. The right choice depends on whether you value a fixed low price, zero cost, or room to grow.
Three buyer scenarios
A volunteer-run food pantry with 600 donors and no paid staff. Zeffy or Givebutter’s free plan can handle receipts and giving history if donors accept a tip prompt. If the board prefers no tipping, Little Green Light at $45 a month gives you mail-merge receipts and a QuickBooks Online sync.
An arts nonprofit with $700,000 in revenue, 3,500 records and a part-time development director. With two ticketed events and a membership program, Neon CRM’s revenue-based price plus the Events and Memberships add-ons keeps everything in one system. Get the price for your revenue band and compare it with Little Green Light at $60 a month plus a separate ticketing tool.
A community health nonprofit with 4,800 records that expects to double its donor file in two years. Ask DonorPerfect and Bloomerang for quotes at 5,000 and 10,000 records, and Little Green Light’s published $75 tier for up to 10,000. Check whether the QuickBooks sync is included at the tier you would buy, since DonorPerfect places it in Plus.
When you do not need dedicated donor software
If you receive fewer than about 100 gifts a year, have one main funder or rely mostly on grants, a well-kept spreadsheet and your payment processor’s receipts may be enough. The test is whether you can reliably send IRS-compliant acknowledgments for gifts of $250 or more and produce a year-end giving summary without hours of work. If grants drive your revenue, your accounting system and a grant tracker matter more than a donor database; our nonprofit software pricing guide covers what those systems cost.
How we researched this
We checked each vendor’s pricing, features and integrations pages on October 8, 2026, and recorded the date shown on each page. We used IRS pages for the acknowledgment and disclosure rules. We did not request private quotes, so where a vendor publishes only a starting price, we say so. We also reviewed the top search results for this topic, which were vendor product pages and an older article from 2022, and found that none listed published prices side by side or counted processing fees.

Frequently asked questions
What is the cheapest donor database for a small nonprofit?
Zeffy and Givebutter’s free plan charge no subscription and rely on optional donor tips. Among paid systems with a published price list, Little Green Light is the lowest at $45 a month for up to 2,500 constituent records, with 10% off for a 12-month prepayment.
How much does DonorPerfect cost for a small nonprofit?
DonorPerfect publishes a starting price of $99 a month and gives each organization a custom quote; its request form asks for your number of constituents. QuickBooks integration and batch gift entry are in the Plus tier, not Core, so ask for the Plus price if you need them.
Do volunteers and newsletter subscribers count toward my record limit?
With record-priced systems such as Little Green Light and Bloomerang, every constituent or contact you store counts, not only donors. Neon CRM prices on revenue and includes unlimited contacts, and Zeffy and Givebutter’s free CRM have no contact limit.
Can I use QuickBooks as my donor database?
QuickBooks records the money but does not track households, acknowledgments or appeals. Most small nonprofits keep QuickBooks Online for accounting and connect a donor database to it, which Little Green Light, Givebutter Plus and DonorPerfect Plus support.
What receipts does my donor database need to produce?
For any single gift of $250 or more, the donor needs a written acknowledgment showing your organization’s name, the amount or a description of non-cash property, and whether you provided goods or services in return. If a donor pays more than $75 and receives something back, you must provide a written disclosure, and the IRS penalty for missing it is $10 per contribution.
