Purchase Price Variance: How to Calculate PPV and How ERP Systems Track It

Last updated: October 8, 2026 · Independent guide · We do not sell rankings or coverage.
Purchase price variance (PPV) is the difference between what you actually paid for purchased material and its standard cost, multiplied by the quantity you bought. Inventory stays at standard and the gap goes to a PPV account. A positive result is unfavorable and a negative result is favorable. Depending on your ERP, PPV is recognized at receipt, at invoice matching, or partly at each.
The PPV formula and journal entries
PPV = (Actual unit price − Standard unit price) × Actual quantity purchased
AccountingTools gives the same formula (AccountingTools, September 2, 2026). The entries below show the usual pattern when PPV is recognized at receipt, with a second variance caught when the invoice arrives.
| Account | Debit | Credit | Note |
|---|---|---|---|
| Raw materials inventory | Qty × standard | At receipt. Inventory always enters at standard. | |
| Purchase price variance | If PO price > standard | If PO price < standard | At receipt. Debit is unfavorable, credit is favorable. |
| Goods received not invoiced (accrued purchases) | Qty × PO price | At receipt. Liability for goods not yet billed. | |
| Goods received not invoiced | Qty × PO price | At invoice. Clears the receipt accrual. | |
| Invoice price variance (or PPV) | If invoice > PO price | If invoice < PO price | At invoice. Some systems post this to the same PPV account. |
| Accounts payable | Qty × invoice price | At invoice. What you owe the vendor. |
If you recognize PPV only at invoice, the full difference between invoice price and standard is booked when the invoice posts. Under actual or average costing there is no standard-cost PPV, because the purchase price flows into inventory.
Worked example: PPV on a resin purchase
The figures below are an illustration, not data from a real company. A plastics molder carries polypropylene resin at a standard cost of $2.40 per pound. Purchasing issues a PO for 10,000 lb at $2.55. The goods arrive on May 6. The invoice arrives on May 20 at $2.58 per pound because of a surcharge missing from the PO.
Step 1: total PPV. ($2.58 − $2.40) × 10,000 lb = $1,800 unfavorable.
Step 2: receipt on May 6. Inventory is recorded at standard, and the difference between the PO price and standard goes to PPV.
| Account | Debit | Credit | Note |
|---|---|---|---|
| Raw materials inventory | $24,000 | 10,000 × $2.40 | |
| Purchase price variance | $1,500 | 10,000 × ($2.55 − $2.40) | |
| Goods received not invoiced | $25,500 | 10,000 × $2.55 |
Step 3: invoice on May 20. The accrual is cleared at the PO price, and the extra $0.03 per pound is a further variance.
| Account | Debit | Credit | Note |
|---|---|---|---|
| Goods received not invoiced | $25,500 | Clears the receipt accrual | |
| Invoice price variance | $300 | 10,000 × ($2.58 − $2.55) | |
| Accounts payable | $25,800 | 10,000 × $2.58 |
The two variance lines add up to the $1,800 from step 1. A system that recognizes PPV only at invoice would show one $1,800 debit on May 20 and nothing at receipt.
Step 4: month-end review. At May 31, 6,000 lb has gone into products sold and 4,000 lb remains in raw materials. If material, the 40% share ($720) is capitalized and $1,080 stays in cost of goods sold.
| Account | Debit | Credit | Note |
|---|---|---|---|
| Capitalized variance (inventory) | $720 | 40% of $1,800, kept on the balance sheet | |
| Purchase price variance | $720 | Reverse next period and recalculate |
Whatever cadence you choose for this allocation, apply it consistently and document the method for your auditors.
Favorable vs unfavorable PPV
A favorable PPV (a credit balance) means you bought below standard. An unfavorable PPV (a debit balance) means you paid more. Neither is good or bad by itself: a favorable variance may come from a volume buy that ties up cash.
AccountingTools lists common causes: cost layering that lags current market prices, materials shortages, a new supplier not reflected in the standard, rush orders with expensive freight, and a standard set at a purchase volume you no longer buy (AccountingTools, September 2, 2026). When you review PPV, separate causes purchasing controls from market causes such as commodity prices.
When PPV is recognized: receipt or invoice
Recognizing PPV at receipt gives purchasing faster feedback, but it depends on accurate PO prices. If buyers leave stale prices on POs, the invoice variance corrects the receipt variance weeks later.
Recognizing PPV at invoice uses the price you actually owe, so the number is final when posted. The drawback is timing: material received late in the month and billed the next month carries no variance in the month it was used. Ramp, which sells spend management software, shows the receipt-then-invoice pattern with a goods received not invoiced (GRNI) account (Ramp, September 25, 2026). Whichever point you choose, use it across all entities so variance reports are comparable.
The accounting rule behind PPV
PPV falls under ASC 330, Inventory. PwC’s inventory guide states that standard cost is acceptable if standards are adjusted at reasonable intervals and that, at each reporting date, you should evaluate whether to capitalize variances so inventory reflects actual cost under a method such as FIFO or average (PwC, December 2021).
For federal income tax, manufacturers using the standard cost method must reallocate a pro rata portion of net direct production cost and overhead variances to ending inventory under 26 CFR 1.471-11(d)(3), unless the variances are not significant in relation to total actual indirect production costs and are not allocated in the taxpayer’s financial reports (eCFR, up to date as of October 6, 2026). Our guide to standard cost vs actual cost covers the production variances that sit alongside PPV.
Common mistakes
- Stale standards. Old standards turn PPV into a measure of inflation rather than purchasing performance.
- Mixing quantity and price differences. If the invoice quantity differs from the received quantity, the difference is a quantity variance, not PPV. NetSuite, for example, has separate item record fields for the bill quantity variance account and the bill price variance account.
- Inconsistent freight treatment. Decide whether landed cost belongs in the standard, and apply that to every item.
- Unit of measure errors. A PO priced per case against a standard per each produces large false variances.
- Currency. Acumatica includes exchange rate changes between receipt and bill in PPV, while NetSuite posts them to the exchange rate variance account set on the item record. Know which your system does.
- Ignoring rebates. Volume rebates earned later reduce your real cost but do not appear in PPV. See our guide to vendor rebate tracking for how distributors accrue them.
How to report PPV
On the external income statement, PPV that is not capitalized is normally part of cost of goods sold. Internally, show it as its own line in the gross margin bridge.
A useful monthly PPV report shows variance by item, vendor and buyer, as a percentage of standard spend, with receipt and invoice variances split. Show favorable and unfavorable amounts gross as well as net, because one large favorable item can hide several unfavorable ones.
How ERP systems post and report PPV
Oracle NetSuite. On a standard cost item receipt, NetSuite posts standard to inventory and the difference to a variance account. The item record holds a Purchase Price Variance Account field (Oracle NetSuite Help, no date shown). With Advanced Receiving, differences between receipt and bill stay in Accrued Purchases until you run Transactions > Payables > Post Vendor Bill Variances, which posts to the bill price, bill quantity and exchange rate variance accounts set on the item record. Without Match Bill to Receipt, PO lines must be fully received and billed, or closed, first.
Microsoft Dynamics 365 Business Central. Business Central calculates variance as actual cost minus standard cost and fixes the standard cost for that calculation when you invoice the inventory increase (Microsoft Learn, March 17, 2026). The variance posts against a Purchase Variance balancing account, so PPV appears at invoice rather than at receipt. A later item charge, such as freight, updates the variance.
Acumatica. Acumatica splits PPV in two. For Standard valuation items, the difference between standard and receipt unit cost goes to a standard cost variance account at receipt. When the linked AP bill is released, the difference between the receipt and bill unit costs is posted to the Purchase Price Variance account defined by the item’s posting class (Acumatica Help, no date shown). Your PPV report must combine both accounts.
Epicor Kinetic. Epicor’s Kinetic help sits behind its customer portal, so we could not confirm posting rules from public documentation. On the Epicor User Help Forum, a user notes that for standard-costed parts the variance is measured against standard cost, and a consultant quoted there says that for average-costed parts, supplier invoice differences go to the PPV account (October 31, 2024). Another thread reports that the Final invoice setting affected PPV posting (June 24, 2024). Confirm the GL controls for your part classes with your Epicor partner. For costing setup more broadly, see our article on manufacturing costing in ERP.
How we researched this
We read the top-ranking pages for this term from AccountingTools, Ramp and Hyperbots. Ramp and Hyperbots sell finance software. None explains where specific ERPs post the receipt and invoice portions of PPV. We used vendor documentation for NetSuite, Business Central and Acumatica, PwC and the eCFR for the rules, and a user forum for Epicor. No vendor reviewed or paid for this article.

Frequently asked questions
Is an unfavorable purchase price variance a debit or a credit?
An unfavorable PPV is a debit, because you paid more than the standard cost at which inventory was recorded. A favorable PPV is a credit. It flows into cost of goods sold unless you capitalize part of it.
What is the difference between PPV and material price variance?
The terms are often used interchangeably. When they are separated, PPV is measured on the quantity purchased, while material price variance is measured on the quantity used in production.
Should PPV be recorded at receipt or at invoice?
Either works if applied consistently. Receipt gives faster feedback but relies on accurate PO prices. Invoice uses the final price but delays the variance. NetSuite and Acumatica record a receipt variance and then a second variance when the bill differs.
How often should standard costs be updated to keep PPV meaningful?
There is no fixed rule. PwC’s guide says standards should be adjusted at reasonable intervals to reflect current conditions, and Acumatica’s help describes revising standard costs at the end of the financial year. If an item’s PPV runs large in one direction, review its standard early.
