Suspense Accounts: When to Use One and How to Clear It Before Close

Last updated: October 10, 2026 · Independent guide · We do not sell rankings or coverage.
A suspense account is a temporary general ledger account that holds a transaction you know happened but cannot yet classify, such as a deposit with no remittance detail or an unrecognized card charge. It keeps the books in balance while someone investigates. Every item should be moved to its correct account before the period closes, and a balance that carries over month after month is a control weakness that auditors will question.
Suspense account journal entries in and out
Post the known side of the transaction (usually cash) to its correct account and the unknown side to suspense. When you identify the item, move it out of suspense into the right account. Set up suspense as a balance sheet account, typically an other current asset or liability, so it never hides inside revenue or expense.
| Account | Debit | Credit | Note |
|---|---|---|---|
| 1. Unidentified receipt (in) Cash |
X | Agrees to the bank. | |
| Suspense | X | Payer unknown. | |
| 2. Receipt identified (out) Suspense |
X | Clears item 1. | |
| Accounts receivable (customer) | X | Applied to invoice. | |
| 3. Unknown charge (in) Suspense |
X | Vendor unknown. | |
| Cash or credit card liability | X | Agrees to statement. | |
| 4. Charge identified (out) Expense, asset or accounts payable |
X | Per the receipt. | |
| Suspense | X | Clears item 3. |
Clear each item with its own entry that references the original posting. One lump-sum clearing entry at month end destroys the audit trail.
Where suspense balances come from
- Unidentified receipts. A wire or ACH arrives with no invoice reference or an amount that matches no open invoice.
- Unknown vendor charges. A card or bank debit shows a merchant nobody recognizes and no receipt exists.
- Import errors from bank feeds and integrations. A bank feed, processor payout, e-commerce connector or payroll file posts a line whose mapping failed, and the connector drops it into a default catch-all account.
- Partial payments and out-of-balance entries. A customer pays part of an invoice with no instruction, or an unbalanced entry or data conversion is forced through suspense.
The last group is the most dangerous: an unidentified receipt is backed by cash on a bank statement, but an out-of-balance difference is backed by nothing and can hide an error in any account.
Worked example: clearing three items before close
Illustration: the company, amounts and dates below are constructed for this example.
A distributor closes September 2026 with three items in its suspense account.
Step 1: record the items as they arrive.
- September 12: a $4,250.00 wire arrives with no customer name. Debit Cash $4,250.00, credit Suspense $4,250.00.
- September 18: a $389.40 card charge appears from an unfamiliar merchant. Debit Suspense $389.40, credit Credit card liability $389.40.
- September 26: the e-commerce connector posts a $12,600.00 payout to suspense after its order mapping fails. Debit Cash $12,600.00, credit Suspense $12,600.00.
Step 2: calculate the balance before clearing. Credits of $4,250.00 plus $12,600.00 equal $16,850.00. Subtract the $389.40 debit, and suspense carries a net credit of $16,460.60. A reviewer who looks only at that balance cannot see three unrelated items, one on the opposite side.
Step 3: investigate and clear each item. The wire matches invoice 1042 from a customer using a new bank account. The charge is a software subscription under a new billing name. The payout report shows $13,000.00 of gross sales less $400.00 of fees.
| Account | Debit | Credit | Note |
|---|---|---|---|
| Suspense | $4,250.00 | Clears wire. | |
| Accounts receivable, invoice 1042 | $4,250.00 | Applied. | |
| Software subscriptions expense | $389.40 | Receipt attached. | |
| Suspense | $389.40 | Clears charge. | |
| Suspense | $12,600.00 | Clears payout. | |
| Merchant processing fees | $400.00 | Per payout report. | |
| Sales revenue | $13,000.00 | Gross sales. |
Step 4: confirm the result. Debits and credits to suspense now both total $17,239.40, so the account is at zero.
Step 5: fix the cause. Add the customer’s new bank account to its record, create a bank rule for the subscription and correct the connector mapping, or the same items return next month.
Aging and clearing rules
No US standard sets a deadline for clearing suspense items, so your close policy should cover four points:
- Target balance. The suspense account should be at zero at every month-end close. BlackLine, which sells reconciliation software, describes the ideal as a zero balance.
- Age limits. Track every item by the date it entered suspense. insightsoftware, which also sells finance software, suggests timelines such as within 30 or 60 days.
- Item-level detail. Keep a schedule of each open item with date, amount, source, owner and next action. Never let offsetting items net to a small number and call the account reconciled.
- Exit routes for items that cannot be identified. A receipt you cannot trace usually belongs in a liability such as unapplied cash, not revenue, and may later fall under state unclaimed property rules. Agree the route with your auditor and tax advisor.
The rules behind it and why auditors flag suspense balances
US GAAP has no topic devoted to suspense accounts. The obligations come from books-and-records rules and audit standards.
For SEC registrants, Section 13(b)(2) of the Securities Exchange Act requires issuers to keep records that “in reasonable detail, accurately and fairly reflect” their transactions, and to maintain internal accounting controls that give reasonable assurance that “the recorded accountability for assets is compared with the existing assets at reasonable intervals and appropriate action is taken with respect to any differences” (15 U.S.C. 78m, Cornell LII, no date shown).
For auditors of public companies, PCAOB AS 2401 paragraph .61 lists characteristics of journal entries that may indicate fraud, including entries “made to unrelated, unusual, or seldom-used accounts” and entries “recorded at the end of the period or as post-closing entries that have little or no explanation or description” (PCAOB, Audit Focus: Journal Entries, January 2025). Period-end entries into or out of suspense can match both descriptions, which makes them likely candidates for journal entry testing.
For tax, the IRS says your books “must show your gross income, as well as your deductions and credits” (IRS, What kind of records should I keep, August 3, 2026). An unclassified expense at year end is not ready for a return.
Common mistakes
- Using suspense as a plug. Forcing an unbalanced entry through suspense hides the error.
- Netting items. The $16,460.60 balance above looks like one item but is three.
- Several catch-all accounts. Suspense, “Ask My Accountant” and uncategorized accounts all need the same review.
- No owner. If the account belongs to “accounting,” nobody clears it.
How to report a suspense balance
A suspense line should not appear on issued financial statements. Classify anything left by its most likely nature, such as an unidentified receipt as unapplied cash, and discuss material amounts with your auditor.
Internally, include the item schedule, aging and sign-offs in the close package.
Setting close-checklist ownership
Give each source of suspense items a named owner on the close checklist. For the wider close, see our guide to accounting close automation.
| Checklist task | Owner | Timing | Evidence |
|---|---|---|---|
| Identify unapplied and unidentified receipts | AR or cash application clerk | Daily, final pass by day 2 | Remittance, customer confirmation |
| Resolve unknown card and bank charges | AP lead, with cardholders | Weekly, final pass by day 2 | Receipt or vendor invoice |
| Fix feed and integration mapping errors | Systems accountant or integration owner | On each failed import | Error log, corrected mapping |
| Reconcile suspense and uncategorized accounts | Staff or senior accountant | Day 3 | Item schedule with aging |
| Review and approve residual items | Controller | Before period lock | Reviewer sign-off |
Make the suspense reconciliation a prerequisite for locking the period.
How ERP and accounting systems handle suspense and uncategorized postings
QuickBooks Online. QuickBooks creates Uncategorized Income and Uncategorized Expense automatically to “track money your business earned or spends that still needs to be categorized.” It also has an Uncategorized Asset account that “records any asset that can’t be matched to an account”; you can edit these accounts but cannot deactivate or merge them (Intuit, August 3, 2026). Two of these sit in the profit and loss statement, so leftover balances distort profit. The books review tool in QuickBooks Online Accountant flags “uncategorized transactions, transactions without payees, and unapplied payments” (Intuit, August 7, 2026), and the Reclassify transactions tool in Accountant and Advanced moves many transactions at once (Intuit, no date shown). See also our QuickBooks to NetSuite migration guide.
Oracle NetSuite. On the Match Bank Data page, you match imported lines on the To Be Matched subtab, and matched lines drop off that grid (Oracle NetSuite, no date shown). If a transaction is missing, you can add a journal entry, charge, deposit or credit card refund during matching (Oracle NetSuite, no date shown). Excluded bank lines move to an Excluded subtab without being deleted (Oracle NetSuite, no date shown), so excluded lines need their own review. The Period Close Checklist locks A/R, A/P and payroll before close, but its standard tasks do not include a suspense review, so add one (Oracle NetSuite, no date shown).
Microsoft Dynamics 365 Business Central. In the Payment Reconciliation Journal, payments are applied to open customer or vendor entries using prioritized Payment Application Rules, and you can map recurring payment text to specific accounts (Microsoft Learn, July 25, 2024). For a line that cannot be applied, the Transfer Difference to Account action posts the difference directly to an account you specify (Microsoft Learn, July 8, 2024). Point it at a dedicated suspense account so there is one place to review. For how the two ERPs compare more broadly, see NetSuite vs Business Central.
The ERP financial close guide covers when native features are enough.

Frequently asked questions
Is a suspense account an asset or a liability?
It can be either, depending on its balance. Set it up as an other current asset or liability so it never affects profit, and bring it to zero at close.
How long can a transaction stay in a suspense account?
No US rule sets a limit, so your close policy should. Clear items before month-end close and escalate anything older than your policy limit, such as 30 days, to the controller.
Is Uncategorized Expense in QuickBooks the same as a suspense account?
It serves the same purpose. QuickBooks Online creates these accounts automatically for transactions that still need a category, and leftover balances change reported profit, so clear them before close.
Why do auditors ask about suspense accounts?
PCAOB AS 2401 links entries into seldom-used accounts and unexplained period-end entries to fraud risk. A balance also means some transactions are unclassified, so the auditor cannot confirm them.
What do I do with a deposit I can never identify?
Do not record it as revenue. Move it to a liability such as unapplied cash, keep the investigation file, and ask your advisors about state unclaimed property rules.
