Accounts Receivable Reconciliation: Matching the AR Subledger to the General Ledger

Last updated: October 10, 2026 · Independent guide · We do not sell rankings or coverage.
Accounts receivable reconciliation is the month-end check that the total of your AR aging report (the customer subledger) equals the balance of the accounts receivable control account in the general ledger as of the same date. When the two agree, you can rely on the balance sheet figure and on the customer-level detail behind it. When they do not, the difference almost always traces to a small set of causes: manual journal entries to the control account, unapplied cash, cutoff, credit memos and foreign currency revaluation.
The AR reconciliation process at a glance
- Lock the cutoff and close the AR subledger period.
- Pull both balances for the same date, entity and currency.
- Compare them on the reconciliation template.
- Identify and clear reconciling items by cause.
- Post corrections and rerun both reports.
- Review and sign off, with open items carried forward to an owner.
The table shows a typical split of responsibility. Keep preparation and review with different people.
| Stage | Responsible | Accountable | Consulted or informed |
|---|---|---|---|
| 1. Lock the cutoff | AR specialist, billing | AR supervisor | Treasury (deposits), sales operations |
| 2. Pull balances | Staff accountant | AR supervisor | GL accountant |
| 3. Compare | Staff accountant | AR supervisor | None |
| 4. Clear reconciling items | Staff accountant, AR specialist | AR supervisor | Credit, sales, GL accountant |
| 5. Post corrections | GL accountant | Controller | AR supervisor |
| 6. Review and sign off | AR supervisor or assistant controller | Controller | External auditors (at year end) |
Stage 1: Lock the cutoff
The AR specialist owns this stage. The inputs are the period’s invoices, cash receipts, credit memos and write-offs. The output is a closed AR subledger period in which every transaction has been posted to the general ledger. AccountingTools lists confirming that all invoices are issued and that subledger balances are posted to the GL as the first steps of the reconciliation (AccountingTools, no date shown).
The key control is closing the subledger period so nobody can back-date a transaction after you pull the reports. The usual failure is billing or cash application running into the new month, which creates cutoff differences.
Stage 2: Pull both balances as of the same date
The staff accountant runs the AR aging as of the last day of the period and the trial balance or GL detail for the control account for the same period. If you use more than one AR account, such as separate trade, intercompany or foreign currency receivables accounts, add them together before you compare, as Thomson Reuters advises for Accounting CS users (Thomson Reuters, no date shown). Keep the allowance for doubtful accounts out of this comparison and reconcile it separately, because it is a contra account with no customer-level detail.
The most common failure here is a date mismatch. Citrin Cooperman, a firm that sells NetSuite services, notes that NetSuite balance sheets report by posting period while aging reports run as of a transaction date, and that this period mismatch is the most common reason the two disagree (Citrin Cooperman, May 9, 2024). If you are new to the aging layout itself, our AR aging report template covers buckets and settings.
Stage 3: Compare and record the difference
Enter both totals on the reconciliation template below and calculate the difference. Note its direction, because the direction tells you where to look: a GL balance higher than the aging points to entries that reached the GL without a customer, while an aging higher than the GL points to subledger activity that never posted. The figures in the template are an illustration, not real company data.
Reconciliation template layout
| Line | Item | Amount (USD, illustrative) | Support and action |
|---|---|---|---|
| Header | Entity, GL account number(s), period end, currency, preparer, reviewer, dates | n/a | Example: Entity 100, account 1200, September 30, 2026 |
| A | AR aging total as of period end | 1,248,600.00 | Aging report export, run date and parameters |
| B1 | Less: manual journal entry credited to the control account with no customer (rebate accrual) | (12,000.00) | Reverse and repost to the accrued rebates liability account |
| B2 | Add: unapplied receipts shown as credits in the aging but posted to a separate unapplied cash account | 8,450.00 | Valid reconciling item; list receipts and apply them to invoices |
| B3 | Add: invoice dated October 1 posted to the September period | 6,200.00 | Move the posting to October or correct the invoice date |
| B4 | Add: credit memo in the billing system on September 29, not yet in the GL | 3,100.00 | Post the credit memo to September |
| B5 | Add: FX revaluation gain on EUR receivables booked by GL-only journal | 2,340.00 | Replace with the system revaluation at open-item level |
| C | Adjusted aging (A plus B1 to B5) | 1,256,690.00 | Formula |
| D | GL control account balance | 1,256,690.00 | Trial balance export |
| E | Unexplained difference (D minus C) | 0.00 | Must be zero or within your documented threshold |
| F | Open items carried forward | B2 | Owner, expected clearing date, age in months |
Keep the template the same every month so a reviewer can compare it with the prior period.
Stage 4: Identify and clear reconciling items
The staff accountant owns this analysis, with customer detail from the AR specialist. Work the causes below in order.
Manual journal entries to the control account
A journal entry posted straight to the AR control account changes the GL but never reaches a customer record, so it never appears on the aging. AccountingTools calls this the most common cause of a difference (AccountingTools, no date shown). Typical examples are rebate accruals and bad-debt write-offs booked to AR instead of the allowance.
To confirm it, filter the GL detail for the control account by source and list everything that did not come from the AR module. To clear it, reverse the entry and either repost it through the subledger as a customer credit memo or invoice, or move it to the correct account. Then block direct posting so it cannot recur.
Unapplied cash
A receipt that is recorded but not matched to an invoice can sit in different places depending on your setup. Some systems show it on the aging as a customer credit, while the GL holds it in a separate unapplied or unidentified cash account. Oracle’s Fusion documentation says to assign unique GL accounts to unidentified, unapplied and on-account receipts and on-account credit memos, and warns that sharing the transaction receivables account causes reconciling differences (Oracle, August 14, 2026).
To clear it, list unapplied receipts by customer and age, get remittance detail from the customer or the bank, and apply each receipt to its invoices. Receipts you cannot identify stay as a reconciling item with an owner. Ramp, which sells finance software, suggests clearing suspense deposits daily rather than at month end (Ramp, September 20, 2026).
Cutoff and posting-period errors
An invoice dated in one month but posted to another period, or a report run on the wrong date, creates a difference that reverses itself next month. Look at transactions dated within a few days either side of period end and compare the transaction date with the posting period. Move wrong postings; if the reports were simply run on different bases, rerun them rather than booking an entry.
Credit memos
Credit memos cause breaks in two ways. When billing runs in a separate system, a credit issued at month end may not sync to the GL until the next period. When someone books a customer credit as a GL-only journal, the GL falls but the aging does not. Match the credit memo register to the GL for the period, post missing credits to the correct period, and reissue GL-only credits as subledger credit memos linked to the customer and invoice.
Foreign currency revaluation
Under US GAAP, receivables denominated in a currency other than the functional currency are adjusted to the current exchange rate at each balance sheet date, with the change recorded as a transaction gain or loss (Deloitte DART, ASC 830-20-35-1 and 35-2, no date shown). A break appears when the revaluation is booked as a GL-only journal, or when the aging shows open items at the original rate while the GL holds revalued balances.
To clear it, run the aging in functional currency at the revaluation rate, or add the revaluation as a listed reconciling item. The better fix is to use the system revaluation that adjusts open items. In Business Central, the exchange rate adjustment revalues open customer ledger entries, creates detailed customer ledger entries for the difference and posts the balancing entry to the receivables account (Microsoft Learn, June 16, 2026).
Stage 5: Post corrections and attach support
The GL accountant posts the correcting entries and the controller approves them. Each entry should reference the reconciliation line it clears. Trintech, which sells close software, lists posting write-offs, corrections and reclassifications followed by documented review as the closing steps of the process (Trintech, September 23, 2025). The common failure is a “plug” entry that forces the balances to agree without fixing the cause, which simply moves the difference to next month.
Stage 6: Review and sign off
The reviewer checks that both source reports are dated correctly, that each reconciling item has support, that the unexplained difference is within the threshold, and that items carried forward are not getting older. Set a written threshold and an aging rule, for example that any reconciling item older than one month is escalated to the controller.
Metrics to track
- Unexplained difference at sign-off, in dollars and as a share of the AR balance, against your threshold.
- Number and age of reconciling items, with a count of items older than 30 and 60 days.
- Unapplied cash in dollars and as a share of total AR at period end.
- Manual journal entries to the AR control account per period. The target for most companies is zero.
- Business days from period end to sign-off for the AR reconciliation.
Our guide to AP and AR KPIs and dashboards covers the collections metrics that sit alongside these.
How software supports each stage
Blocking direct posting (Stages 1 and 6). Most ERPs can stop manual entries to the control account. In Business Central, the Direct Posting field on the G/L account card controls whether journal lines can post to the account, and Microsoft says receivables accounts used in posting groups are usually set up for indirect posting only (Microsoft Learn, September 21, 2026). In SAP S/4HANA, a G/L account flagged as a reconciliation account cannot be posted to directly (SAP KBA 2828821, no date shown). Sage Intacct works at the journal level: the Disallow direct posting option under General Ledger > Setup > Journals blocks manual, imported and API entries to a journal so entries must come through the subledgers (Sage Intacct 2025 Release 1 notes, no date shown).
Built-in reconciliation reports (Stages 2 and 3). Oracle Fusion provides a Receivables to General Ledger Reconciliation extract and report, which only selects accounts assigned the Accounts Receivable financial category (Oracle, August 14, 2026).
FX revaluation at open-item level (Stage 4). NetSuite’s Transactions > Financial > Revalue Open Currency Balances creates a separate revaluation transaction for open receivables and payables using rates as of the last day of the period and posts the variance to the Unrealized Gain/Loss account (Oracle NetSuite, no date shown).
Auto-reconciliation tools (Stages 3 to 6). FloQast Subledger Matching sends subledger transactions into its AutoRec matching engine to identify reconciling items between the GL and subledger automatically (FloQast, no date shown). AutoRec requires amounts in the same currency and with matching signs across both files (FloQast, no date shown). NetSuite Account Reconciliation supports balance comparisons and transaction matching, including subledger reconciliations, with an auto-match engine and approval workflow (NetSuite data sheet, 2024). BlackLine describes automated transaction matching and exception handling in its account reconciliations product (BlackLine, no date shown). These tools speed up matching and sign-off, but they do not stop a bad journal entry; the posting block in your ERP does that. For the wider close, see our guide to accounting close automation.
How we researched this
We reviewed the pages ranking for this term, including AccountingTools, Trintech, Ramp and Thomson Reuters help. Most list causes of differences, but none gives a reconciliation template layout, covers FX revaluation, or shows which ERP settings stop the breaks from happening. We then checked vendor documentation from Microsoft, SAP, Oracle, Sage, FloQast and BlackLine, and the Deloitte summary of ASC 830, on October 10, 2026. No vendor paid for inclusion.

Frequently asked questions
Why doesn’t my AR aging match the balance sheet?
The most common reasons are a manual journal entry posted directly to the AR control account, reports run on different dates or posting bases, and unapplied cash held in a different account from the aging. Unsynced credit memos and GL-only FX revaluation entries come next.
How often should you reconcile accounts receivable?
Reconcile AR to the general ledger every month as part of the close, before you issue financial statements. High-volume teams often review unapplied cash weekly or daily so month end has fewer items to clear.
Can I post a journal entry to fix an AR difference?
Only after you know the cause, and the entry should correct that cause, such as reversing a misposted accrual or posting a missing credit memo. A plug entry that forces the totals to agree hides the problem and usually creates a new difference in the next period.
Is the allowance for doubtful accounts part of the AR reconciliation?
No. Reconcile the gross AR control account to the aging and reconcile the allowance separately against your reserve calculation. Write-offs should go through the subledger so they reduce both the aging and the control account.
