Capital Campaign Software: Tracking Gift Tables, Pledges and Campaign Progress

Last updated: October 13, 2026 · Independent buyer’s guide · We do not sell rankings or coverage.
Capital campaign software has to do jobs an annual-fund database was never set up for: track a gift range chart, separate quiet-phase commitments from public-phase giving, keep multi-year pledges inside the campaign, stop two gift officers from promising the same naming opportunity, and give the board one honest figure for committed versus collected. Most mid-sized organizations run the campaign in the donor CRM they already own and add a campaign-specific tool or a set of saved reports. Your choice depends on which of those jobs your CRM documents natively.
Key takeaways
- None of the donor CRMs we reviewed documents a native gift range chart. You build it as a report, or add a tool such as Above Goal that keeps a table of gifts.
- Quiet-phase guidance varies: Nonprofit Quarterly says one-third to one-half of the goal before launch, while Bloomerang’s glossary cites roughly 75%. Set your own threshold and report against it.
- The board needs committed and collected as two separate figures. CauseVox and Planning Center Giving document that split; in most CRMs you build it yourself.
- Naming opportunity inventory is the weakest area in mainstream CRMs; dedicated tools such as GiftMap exist for larger campaigns.
- Published prices run from $45 per month (Little Green Light) to $25,000 per year and up (CauseVox Enterprise). Raiser’s Edge NXT and GiftMap do not publish prices.
Who this guide is for
This guide is for the development director or campaign manager at a mid-sized nonprofit, school or church preparing a capital campaign. For general CRM features, see our donor management software guide; for installment schedules, discounting and write-offs, see our guide to pledge management software.
What a capital campaign needs that annual-fund tools miss
A gift range chart you can track against
Nonprofit Quarterly says six to eight donors typically provide 40% to 60% of a campaign goal, with the lead gift at 10% to 20%, and recommends four to five prospects per gift at the top of the chart and about two at lower levels (Nonprofit Quarterly, no date shown). Kindsight, which sells prospect research software, gives a lead gift range of 10% to 25% and a 3:1 prospect ratio, rising to 4:1 for top gifts (Kindsight, April 16, 2026).
The tracking is harder than the drawing: you need to see which levels are filled by signed commitments, which have prospects in cultivation and which are empty. Annual-fund CRMs report totals by fund or appeal, not gift counts by level.
Quiet and public phases as separate measures
Nonprofit Quarterly puts the quiet-phase share at one-third to one-half of the total, while Bloomerang, a CRM vendor, cites roughly 75% (Bloomerang, no date shown). Tag every commitment with the phase in which it was secured. If your CRM has no phase field, a campaign attribute or one appeal per phase works.
Pledges and naming opportunities
Bloomerang’s glossary cites an average campaign length of about 3.2 years. The campaign-specific requirement is that every installment keeps its original campaign and fund coding, so the campaign total and the restricted fund move together.
Named rooms, scholarships and bricks are inventory with a price, a status and a donor, and mainstream CRMs have no object for them. In a Blackbaud Community thread, Raiser’s Edge users describe setting up each naming opportunity as an Event module seat and running seating reports for sold and unsold spaces, while noting it was not the module’s intended purpose (Blackbaud Community, no date shown).
A board view of committed and collected, and restricted-fund posting
If a board report mixes pledges and cash, the building committee may plan construction draws against money that has not arrived. CauseVox says its pledges are tracked separately from money received “so committed and collected never get confused on a board report” (CauseVox, July 31, 2026).
Under ASU 2016-14, gifts to acquire or build a long-lived asset are net assets with donor restrictions and, absent donor stipulations, are released when the asset is placed in service (Journal of Accountancy, February 1, 2019). Each campaign gift therefore needs a fund code that maps to the right restricted fund in your ledger.
Where campaign tracking goes wrong
- Annual gifts counted toward the campaign because gift entry defaulted to the campaign, so the annual fund looks short.
- Pledges reported as cash on a single thermometer figure.
- The gift chart lives only in the consultant’s spreadsheet and drifts from the CRM before every cabinet meeting.
- A naming opportunity promised twice because no shared inventory exists.
- CRM funds that do not match the ledger, so finance splits one “Building Campaign” fund by hand each month.
How software handles a capital campaign
Donor CRMs
Blackbaud Raiser’s Edge NXT separates campaigns (why you raise money), funds (where it goes) and appeals (how you asked) (Blackbaud Community, Brenda Olcott, no date shown). Goals sit on each record, and the Analyze area compares your 20 top-grossing active campaigns, funds or appeals with their goals (Blackbaud Community, Steve Stegelin, no date shown). Blackbaud lists multi-year pledges and role-based leadership dashboards, and does not publish prices (Blackbaud, October 9, 2026). We found no native gift chart or naming inventory. See also our Raiser’s Edge alternatives guide.
Bloomerang lets you set an optional goal and date range on each campaign; active campaigns with goals appear on the dashboard’s Campaigns tile, and every pledge must carry a fund (Bloomerang Help, February 23, 2026). The article does not describe phase tracking or a committed-versus-collected split.
Little Green Light lets you assign funds to a campaign so gift entry offers only the right funds (Little Green Light Help, July 28, 2026). Its fundraising goals record an ask amount, high and low projections and a status, and link to a campaign (Little Green Light Help, November 6, 2025). Exporting goals by ask amount shows which chart levels have prospects.
DonorPerfect publishes only a $99 per month starting price, with moves management and QuickBooks integration on Plus and Pro (DonorPerfect, July 7, 2026). Neon CRM starts at $99 per month, priced by revenue raised (Neon One, no date shown). Neither page describes capital campaign features, so ask both for a demonstration of phase and committed-versus-collected reporting.
Campaign-specific tools
CauseVox records offline quiet-phase pledges, gives each fund, phase or naming opportunity a page with a goal and live progress, supports installments from 3 to 60 months or 2 to 5 years, and runs a thermometer that includes offline gifts and pledges (CauseVox, July 31, 2026). Pledges start on Pro and portfolios require Premium (CauseVox, September 24, 2026). It is strongest in the public phase.
Above Goal serves nonprofits and campaign consultants with a customized table of gifts showing pending gifts, total raised and prospects by level, plus committee management and a statistics dashboard (TrustRadius, no date shown). The vendor-supplied listing does not mention pledge schedules.
GiftMap keeps an inventory of naming opportunities with a status for each, which the vendor says prevents double-promising, and catalogs past namings by donor (TrustRadius, no date shown).
Church giving and fund accounting
Planning Center Giving links a pledge campaign to a target fund, counts donations to it automatically, shows goal progress separately from pledged donations received, labels gifts Pledged, Beyond Pledged or Non-pledged, and lets donors see their own progress (Planning Center Help, no date shown). It has no prospect pipeline, so it suits congregation-wide drives.
The restricted fund itself lives in accounting. Aplos includes fund accounting and donor-restricted tracking in every plan, from $79 per month (Aplos, no date shown). Churches should also read our church fund accounting software guide.

What it costs
Little Green Light runs $45 to $135 per month by record count, with unlimited users (Little Green Light, September 2, 2025). Bloomerang’s CRM starts at $125 per month, billed annually (Bloomerang, no date shown). Above Goal lists nonprofit plans from $99 per month (Basic) to $1,499 per month (Pro), paid annually (Above Goal, no date shown). CauseVox adds Stripe or PayPal processing fees to every plan, and Planning Center charges 2.15% plus $0.30 per US card donation (Planning Center, no date shown).
Worked example: tracking a $3 million building campaign
Illustration only. All figures are constructed for this example.
A school sets a $3 million goal with a $450,000 lead gift (15%), four prospects per gift at the top three levels, three in the middle and two at the base.
| Gift level | Gifts needed | Prospects needed | Cumulative total |
|---|---|---|---|
| $450,000 | 1 | 4 | $450,000 |
| $225,000 | 2 | 8 | $900,000 |
| $100,000 | 4 | 16 | $1,300,000 |
| $50,000 | 8 | 24 | $1,700,000 |
| $25,000 | 15 | 45 | $2,075,000 |
| $10,000 | 25 | 75 | $2,325,000 |
| $5,000 | 50 | 100 | $2,575,000 |
| Under $5,000 | About 200 | About 400 | $3,000,000 |
The top seven gifts produce $1.3 million, or 43% of the goal. The board sets the public launch threshold at 60%, or $1.8 million committed.
Eighteen months in, the CRM shows $1.95 million committed, all coded to a “Phase: Quiet” attribute and the restricted building fund. Of that, $610,000 has been collected and $1.34 million sits in pledge installments. The board report shows both figures plus chart status: the top two levels are filled, three of four $100,000 gifts are signed, and the $50,000 level has 5 of 8 gifts with 11 prospects in cultivation. In a CRM without a gift chart object, you produce that status by exporting commitments by amount band each month; in Above Goal, the table of gifts does it for you.
Our independent take
Run the campaign in the donor CRM you already use, because a second donor database splits stewardship records at the worst time. Before the quiet phase, set up a campaign, one fund per restricted purpose that matches the ledger, a phase attribute, and two saved reports: committed versus collected, and commitments by gift level.
Add a separate tool only for a gap your CRM cannot cover: Above Goal for a live table of gifts, CauseVox for a public-phase site with naming pages, GiftMap for a large naming inventory. No product we reviewed covers every requirement here, so ask vendors to demonstrate the worked example above with your numbers.
Three buyer scenarios
A church raising $2 million for a sanctuary. Most commitments come from a congregation-wide pledge drive. Planning Center Giving pledge campaigns tied to a building fund cover the core need, with the restricted balance held in fund accounting.
A school on Raiser’s Edge NXT with an $8 million goal. Keep the campaign in Raiser’s Edge and use campaign and fund goals for the board. Add a naming inventory, because school campaigns usually have dozens of named spaces.
A community nonprofit on Little Green Light with a $1.5 million first campaign. Track every leadership prospect as an LGL goal, export against your chart monthly, and consider CauseVox only if you want a branded public-phase site.
When you do not need dedicated campaign software
You do not need a separate tool if your leadership prospects fit on one page, your CRM can code gifts by campaign, fund and phase, and finance can map those funds to the ledger. A shared gift chart spreadsheet updated from a monthly export is enough for many campaigns under a few million dollars, and a simple owned list prevents double-promising when you have only a handful of naming opportunities.
How we researched this
We reviewed vendor documentation, help centers and pricing pages for Raiser’s Edge NXT, Bloomerang, Little Green Light, DonorPerfect, Neon CRM, CauseVox, Planning Center Giving and Aplos, plus Above Goal’s pricing page and TrustRadius listings for Above Goal and GiftMap. Planning rules of thumb come from Nonprofit Quarterly, Kindsight and Bloomerang, and the accounting treatment from the Journal of Accountancy. Prices were checked on October 13, 2026. We did not test the software, and no vendor paid for inclusion.

Frequently asked questions
Can I run a capital campaign in my regular donor CRM?
Usually, yes. Raiser’s Edge NXT, Bloomerang and Little Green Light support campaign and fund coding with goals. What you typically build yourself is gift chart status and a report that separates committed from collected.
How much of a capital campaign should be raised in the quiet phase?
Published guidance ranges from one-third to one-half (Nonprofit Quarterly) to roughly 75% (Bloomerang). Agree on a threshold with your board and counsel before the quiet phase starts.
Does any software build a gift range chart for me?
Free calculators such as Funraise’s gift range chart calculator build the chart from your goal (Funraise, no date shown). Above Goal tracks pending gifts and prospects by level. The donor CRMs we reviewed do not document a native chart.
How do building fund gifts appear in our financial statements?
Under ASU 2016-14, they are net assets with donor restrictions until the building is placed in service, unless the donor specifies otherwise.
