Cycle Counting Software: Methods, Count Frequency and Tools

Cycle counting software schedules small, frequent counts of selected items or bins, captures the counted quantity on a scanner, compares it with the system balance and routes any variance for recount, approval and posting. Each of the ERP systems we reviewed includes a native cycle count function, so the real decision is whether that function gives you ABC-based scheduling, blind counts and tolerance-based approvals, or whether you need a mobile add-on or warehouse management system on top.

Who this guide is for

You run inventory control at a US distributor or manufacturer with a few thousand to tens of thousands of SKUs. You still take an annual physical, your auditors want evidence that perpetual records are reliable, and counts are keyed in from paper. If errors already cost you in mis-shipments, our analysis of what inventory errors really cost distributors supports the business case.

How a cycle count program works, step by step

1. Classify items and set count frequency

Most programs start with ABC classification, where A items are high-value and counted more often because of their financial impact (AccountingTools, February 18, 2026). You can also add a velocity class, as Acumatica does with movement classes, because fast movers accumulate transaction errors faster regardless of value.

In Oracle Inventory you enter “the number of times per year you want to count each item in this class,” and the system uses class sizes and your workday calendar to choose each day’s items (Oracle Inventory Management User’s Guide 12.2, no date shown). Acumatica uses physical inventory cycles with a count-per-year value (MYOB Acumatica help, no date shown).

2. Add a control group

A control group means “repeatedly counting a small, stable group of items over a period of time” (AccountingTools, February 18, 2026). Because the items barely change, repeated variances point to process faults such as unrecorded receipts, picks from the wrong bin or unit-of-measure confusion. Oracle Inventory lets you flag cycle count items as control group items (Oracle, no date shown). The other documentation we reviewed does not describe a control group setting, so in those products you build it as a separate count plan or item group.

3. Snapshot or freeze the balance

NetSuite takes a snapshot of on-hand quantity when a count starts and offers a Recalculate Snapshot preference for transactions processed during the count (NetSuite Help Center, Inventory Count, no date shown). Acumatica blocks issues, receipts and transfers for the items in a count until it is complete (MYOB Acumatica help, no date shown). Freezing is accurate but can stop shipping from a busy bin, so count small sets of locations at quiet times.

4. Count blind

A blind count hides the system quantity from the counter. Oracle notes that without displayed system quantities, “you enter and save your counts not knowing whether you are generating any adjustments” (Oracle, no date shown). When counters can see the expected number, they tend to confirm it, and your accuracy figures look better than your shelves.

5. Recount, approve and post

Oracle lets you require approval never, only when out of tolerance or always, set positive and negative quantity tolerances as percentages, set value tolerances in currency and generate automatic recounts up to a maximum (Oracle, no date shown). Approved variances post as inventory adjustments against an adjustment or shrinkage account. NetSuite WMS cycle count plans let you name the variance account (NetSuite Help Center, Creating Cycle Count Plans, no date shown).

6. Measure accuracy and fix root causes

Oracle separates approval tolerances from hit/miss tolerances, which are used “to evaluate the accuracy of your cycle counting procedures rather than the actual accuracy of inventory” (Oracle, no date shown). Track record accuracy by class and investigate each miss.

Where cycle count programs go wrong

  • No cutoff. A receipt put away but not yet received in the system creates a false overage.
  • Visible expected quantities. Counters confirm the number on screen, especially late in a shift.
  • Adjust and forget. Teams post the variance without finding its cause, so the same SKUs miss again.
  • One tolerance for everything. A 5% tolerance means little on a $2 fastener and a great deal on a $4,000 motor.
  • Lot and serial gaps. NetSuite requires Advanced Bin/Numbered Inventory Management to count serialized or lot-numbered items (NetSuite Help Center, no date shown).

How cycle counting software handles it: ERP-native vs add-on

ERP-native counting is included in your licence and posts directly to the ledger. Mobile add-ons give counters a scanner workflow on top of the ERP. A full warehouse management system adds directed counting by bin and zone, with its own licence and implementation.

Oracle Inventory (E-Business Suite) documents the most complete native control set we reviewed: ABC frequencies, tolerances at item, class and header level, automatic recounts, hit/miss reporting and hidden system quantities. It is built for large enterprises.

Oracle NetSuite schedules counts from a Next Count Date and a Count Interval in days on each item, and completed counts are reviewed, then approved or rejected, with rejected counts counted again (NetSuite Help Center, no date shown). The help page does not mention ABC classes, so you map classes to intervals yourself. The NetSuite WMS SuiteApp adds cycle count plans filtered by classification, zone, aisle and bin, with mobile counting (NetSuite Help Center, Creating Cycle Count Plans, no date shown). RF-SMART, which sells a NetSuite add-on, offers undirected, directed and dynamic stock counts, and in the undirected count the mobile device does not display the items or bins to be counted (RF-SMART, March 12, 2018).

Microsoft Dynamics 365 Business Central assigns a counting period to each item, and Calculate Counting Period creates journal lines for items that are due (Microsoft Learn, June 17, 2026). The basic journal pre-fills the counted quantity with the calculated one. Physical inventory recordings print empty quantity fields, but Microsoft states you cannot use physical inventory orders if you use zones in your warehouse (Microsoft Learn, April 7, 2026). We found no native tolerance-based approval workflow, so you may need an app such as Tasklet Mobile WMS, where counters are typically not shown the expected quantity on the device (Tasklet Factory, June 19, 2025). Acumatica supports counts by ABC code, movement class and cycle (MYOB Acumatica help, no date shown). It locks items while a count is in progress and offers a Hide Book Qty. option on printed count sheets (MYOB Acumatica help, no date shown). The lock helps accuracy but can block shipping during the count.

Odoo 18 schedules cycle counts by location, using an Inventory Frequency in days on each location, not by item class (Odoo 18.0 documentation, no date shown). A Leave Empty option forces counters to type the quantity, and the Barcode app shows users only counts assigned to them (Odoo 18.0 documentation, no date shown).

Fishbowl Advanced imports counts collected manually or by scanner and adjusts inventory at current part cost (Fishbowl help, no date shown). The documentation we reviewed does not describe ABC scheduling or tolerance-based approval.

Counting with mobile scanners

Scanning removes the two biggest paper errors: wrong item and wrong bin. A good workflow makes the counter scan the bin, then each item, and lets them add items the system did not expect. RF-SMART describes an undirected stock count in which “you are not telling the person counting which items they are supposed to count” (RF-SMART, March 12, 2018). On the floor, test offline behavior, lot and serial capture, case and each units, and counts submitted while a pick is open in the same bin.

What it costs

Native counting is usually included in the ERP licence. Budget separately for rugged scanners and for cleaning item data, bin labels and ABC classes before go-live.

Worked example: count frequency and approval rules

Illustration: all figures are constructed for this example. A distributor carries 6,000 active SKUs and counts on 250 working days a year.

That is about 65 counts per day. At an illustrative 1.5 minutes per scanner count, one person needs roughly 97 minutes a day.

The A-item tolerance is plus or minus 2% with a $250 value limit, using Oracle’s formula: counted quantity minus system quantity, multiplied by item cost. A counter records 94 units against a system quantity of 100 at $42 cost. The variance is 6% and minus $252, so the software triggers a recount. If the recount confirms 94, a supervisor reviews recent receipts and picks before approving the $252 credit to inventory.

Our independent take

Most distributors do not need a separate cycle counting product. They need to configure the native function in their ERP and give counters scanners. The controls that matter most are blind counts, recount before approval and value-based tolerances. Oracle documents all three natively and Acumatica documents hidden book quantities, while Business Central and NetSuite handle scheduling well but usually need a mobile add-on or WMS for blind, bin-level counting at scale. Odoo and Fishbowl suit smaller operations that accept location-based or import-based counting.

Before buying anything, run a two-week pilot with a 50-item control group and see how many variances trace to process errors. That tells you whether your problem is software or discipline.

Three buyer scenarios

Industrial supply distributor, 40 staff, Business Central, one warehouse without zones. Assign counting periods by ABC class, use physical inventory recordings so counters see empty fields, and review variances before posting. Add a mobile app only when volume outgrows printed recordings.

Electronics manufacturer, 200 staff, NetSuite with lot-controlled parts. Confirm Advanced Bin/Numbered Inventory Management is enabled, set intervals that reflect your ABC classes and compare the NetSuite WMS SuiteApp with RF-SMART. Ask each to demonstrate a recount and approval on a lot-controlled item.

When you do not need dedicated cycle counting software

If you carry a few hundred SKUs in one room and can count everything quarterly in a few hours, a full count with a printed blind sheet may be enough. You also do not need a separate tool if your ERP already covers scheduling, blind entry and approvals; spend on scanners, labels and training instead. We read vendor documentation for Oracle Inventory, NetSuite, Business Central, Acumatica (through MYOB Acumatica help, which documents the same platform), Odoo 18 and Fishbowl Advanced, plus pricing pages and the PCAOB inventory auditing standard. The top-ranking pages for this search were mostly written by counting-app vendors, so we focused on the controls they describe only briefly. We did not test the products hands-on, and no vendor paid for or reviewed this article.

Frequently asked questions

How often should you cycle count A, B and C items?

No regulation sets a frequency. As an illustration, you might count A items monthly, B items quarterly and C items once or twice a year, then adjust based on hit rates. Use the lowest frequency that keeps each class within your accuracy target.

What is a blind cycle count?

A blind count hides the system quantity from the counter, who records what is physically there. Oracle and Acumatica offer native settings to hide it, and Odoo can leave the counted quantity empty so counters must type it. It gives more honest accuracy figures than counts where the expected number is visible.

Can cycle counting replace the annual physical inventory?

It can, if your auditors accept it. PCAOB AS 2510 says that when well-kept perpetual records are checked periodically against physical counts, observation can usually be performed during or after the end of the period under audit. Agree the approach with your audit firm first.

Who should approve cycle count adjustments?

Someone other than the counter, usually an inventory control supervisor, with finance approval above a dollar limit. Tolerance-based approval keeps small variances from creating a backlog.

Does Business Central have cycle counting?

Yes. You assign counting periods to items and run Calculate Counting Period to create journal lines for items that are due. For blind scanner counts in bins, you can add a mobile warehouse app.
