Higher Education Fundraising Software for Colleges, Universities and Independent Schools

Higher Education Fundraising Software for Colleges, Universities and Independent Schools

Last updated: October 8, 2026 · Independent buyer’s guide · We do not sell rankings or coverage.

Higher education fundraising software is the system an advancement office uses to keep alumni and donor records, code constituents by class, process and receipt gifts, and track campaigns and matching gifts. For most US colleges, universities and independent schools, the real choice is between an established advancement CRM such as Blackbaud Raiser’s Edge NXT or Ellucian CRM Advance, a Salesforce-based build (Education Cloud, or older EDA orgs extended with apps such as Causeview), and a lighter donor database such as DonorPerfect for smaller schools. The deciding factors are how cleanly each system takes data from your student information system and how it credits matched and reunion gifts.

Key takeaways

  • Start with the student-to-alumni handoff. If class year, degree and preferred class do not arrive cleanly from the student system, reunion and participation reporting will be wrong whatever CRM you buy.
  • CASE counting rules credit a matching gift only to the company, not to the employee. Your system needs a separate soft credit to keep the alumna in reunion and recognition counts.
  • Ellucian CRM Advance is the natural fit for Banner or Colleague campuses; Raiser’s Edge NXT is a common independent choice; Salesforce suits institutions that already run admissions or student services on it.
  • Causeview adds gift processing and receipting to Salesforce, but its public pages were last modified in 2021, so confirm the roadmap before you commit.
  • DonorPerfect (from $99 per month) and Salesforce Education Cloud publish prices; Blackbaud, Ellucian, Causeview and Veracross quote privately.

How advancement data and gift processing work

An advancement office runs on one constituent record per person. It carries a constituency code (alumnus, parent, friend, trustee), education records with class year and degree, links to spouses and employers, and giving history. The record usually starts in the student information system (SIS) and moves to the advancement database at or before graduation. Independent schools also load parents, who are often the largest donor group.

Gift processing follows a set path. Staff enter each gift (check, card, ACH, stock or donor-advised fund) in a batch, assign a fund or designation, link it to a campaign and appeal, apply hard and soft credits, and post it to the general ledger. The donor receives a receipt that meets IRS rules: a contemporaneous written acknowledgment for any single gift of $250 or more, and a quid pro quo disclosure when a payment over $75 buys goods or services, such as a reunion dinner ticket (IRS Publication 1771, Rev. November 2023).

Many US colleges report annually to the CASE Insights on Voluntary Support of Education (VSE) survey, which put total giving to US higher education at $78.8 billion for the fiscal year ending June 30, 2025, based on 670 participating institutions (CASE, April 14, 2026). Its definitions decide who counts as an alumnus and how pledges, cash and matches are counted.

Where it goes wrong

Class and constituency coding

A graduate who earned a bachelor’s in 2001 and a master’s in 2008 needs a preferred class for reunion purposes, and alumni couples need a household rule for class credit. CASE defines alumni as former students who earned some credit toward a degree, certificate or diploma, and treats those without a credential as non-degreed alumni (CASE VSE Definitions of Survey Terms, June 2025). If your system only stores “graduated” alumni, your alumni counts and participation rate will not match the survey.

Matching gift credit

CASE states that matching gifts should be credited only to the corporation, never to the individual whose gift was matched, and that each matched contribution counts as a separate matching gift (CASE, June 2025). Offices that want the match in reunion recognition need a hard credit to the company and a separate soft credit to the employee. Systems that store the match as a single gift on the alumna’s record inflate alumni dollars in the VSE return.

Student system data and privacy

FERPA treats records an institution creates after a person is no longer a student in attendance as outside the definition of education records, unless they relate directly to that person’s attendance (34 CFR 99.3, eCFR, up to date as of October 6, 2026). Alumni giving records are generally outside FERPA, but student-era data such as GPA is not, so move only the fields advancement needs.

How the main systems handle it

Blackbaud Raiser’s Edge NXT

Blackbaud describes Raiser’s Edge NXT as best for mid-sized to large nonprofits (Blackbaud, September 15, 2026). Its education record holds class of, class of degree, degree, majors, minors, campus, school, status and a primary flag, as documented in CData’s data dictionary for the product (CData, no date shown; CData sells connectors for the product). Gift batches and a matching gift pledge gift type are exposed through Blackbaud’s API, and lifetime giving fields separate committed and received matching gift totals attributed to a constituent (Microsoft Learn, Blackbaud RENXT Gifts connector, updated November 14, 2025).

Blackbaud describes bulk gift processing with validation rules, reporting by campaign, fund and channel, and a Blackbaud Verified Network that connects nonprofits to corporate giving programs (Blackbaud, September 15, 2026). Pricing is not published. Double the Donation offers a matching gift integration as a Blackbaud technology partner (Double the Donation, February 10, 2020). We found no native Banner or Colleague connector in Blackbaud’s published material; campuses use middleware such as Omatic, which says it syncs constituent records, alumni transitions and gift data between Banner and Raiser’s Edge NXT (Omatic, August 26, 2026; Omatic sells this integration). See also our guide to Raiser’s Edge NXT alternatives.

Ellucian CRM Advance

Ellucian lists centralized constituent data, online giving with donor gift history, gift society assignment, event management, pipeline analytics and campaign tracking, with Power BI dashboards (Ellucian, no date shown). In March 2025 Ellucian said it was upgrading its CRM suite, including CRM Advance, to Microsoft Dynamics 365 Sales, Dynamics 365 Customer Service and Power Platform (Ellucian, March 19, 2025).

The main reason to choose it is the student system. When Western Washington University selected CRM Advance, Ellucian said it would integrate with Banner and open third-party integration through Ellucian Ethos (Business Wire, October 27, 2020). Ellucian also markets CRM Advance as the SaaS path for on-premises Banner Advancement and Colleague Advancement customers (Ellucian, no date shown). Matching gifts come through Double the Donation’s 360MatchPro integration, which adds a staff matching gift dashboard (Ellucian, no date shown). The product page gives little detail on gift processing or reunion features, so ask for a scripted demo of batch entry and class-year reporting. Pricing is not published.

Causeview on Salesforce

Causeview’s Advancement for Higher Education app is built for Salesforce’s Education Data Architecture (EDA) and lists pledge management, batch and single gift entry, an online form designer, automatic gift splitting, recurring gift processing and automatic acknowledgments (Causeview, November 12, 2021). Its gift processing service lists fees starting at 2.95% plus 30 cents per transaction, including card and ACH (Causeview, September 6, 2021). Software pricing is by quote.

Causeview was acquired in March 2021 by SofterWare (Causeview, November 16, 2021), the company that publishes DonorPerfect (DonorPerfect, July 7, 2026). Its public pages were last modified in 2021 and do not mention matching gifts or Education Cloud. Salesforce has no plans to retire EDA, but partner Cloud for Good recommends that EDA institutions move to Education Cloud (Cloud for Good, December 5, 2024; Cloud for Good sells migration services). Ask Causeview about Education Cloud support before you sign.

Salesforce Education Cloud

If admissions or student success already run on Salesforce, Education Cloud lets advancement share the same platform. Salesforce publishes nonprofit pricing of $87, $131 and $363 per user per month for its Sales and Service Core, Advanced and Max editions, and $350 for Sales Max, which it positions for advancement and alumni relations, all billed annually (Salesforce, September 23, 2026). Budget for apps or a partner to configure gift processing, receipting and matching gifts.

DonorPerfect for smaller schools

DonorPerfect says it is used by more than 1,150 education-focused nonprofits and supports alumni management, event registration, class reunions, giving days and scholarship fund tracking (DonorPerfect, March 20, 2026). Plans start at $99 per month, with Core, Plus and Pro tiers quoted individually (DonorPerfect, July 7, 2026). Its education page names no SIS connectors and does not mention class-year fields; school SIS vendor Rediker documents an API link that populates DonorPerfect donor records from AdminPlus contacts to support student, parent and alumni relationships (Rediker, January 20, 2023). Our donor management software comparison compares DonorPerfect with Bloomerang and Virtuous.

Veracross for independent schools

Veracross keeps each person on a single record across roles such as student, parent, alum and donor (Veracross, December 7, 2023), and its development module covers donations, pledges, soft credits, campaigns, moves management and acknowledgment letters (Veracross, May 20, 2026). The page does not mention reunion or matching gift features, and pricing is not published.

What it costs

Published figures are limited to DonorPerfect, Salesforce and Causeview’s processing rate. Matching gift automation is a separate line. Double the Donation publishes an Essentials tier priced by match-eligible dollars ($300, free in the first year, for up to $2,000; $500 for up to $5,000; $1,200 for up to $15,000), a Standard plan starting at $999 per year and an Enterprise plan starting at $30,000 per year (Double the Donation, April 30, 2026). For implementation fees and quotes, see our nonprofit software pricing guide.

Illustrative worked example: one reunion-year gift

The figures below are an illustration, not data from any institution. Maria, Class of 2001 (BA) and 2008 (MBA), has a preferred class of 2001, so 2026 is her 25th reunion. She gives $1,000 online, and her employer matches it one to one. She also buys a $150 reunion dinner ticket; the dinner’s fair market value is $60.

Transaction Hard credit Soft credit Receipt required
Maria’s $1,000 gift Maria, $1,000 (alumni giving) None Written acknowledgment ($250 or more)
Employer match $1,000 Company, $1,000 (corporate giving) Maria, $1,000 for recognition only Acknowledgment to the company
Dinner ticket $150 Maria, $90 deductible portion None Quid pro quo disclosure (payment over $75)

In this example the VSE return shows $1,090 of alumni giving and $1,000 of corporate giving, while the Class of 2001 reunion report can show Maria at $2,090 in recognition credit if your gift policy allows it. A system that gets this right stores the preferred class on the education record, links Maria to her employer, creates the match as a corporate gift with a soft credit, and splits the ticket into benefit and gift portions on entry.

Our independent take

No system here is the clear winner, because the deciding factor is your student system. If you run Banner or Colleague, Ellucian CRM Advance removes the most integration work, but you should test its gift processing and class-year reporting closely, since Ellucian publishes little detail on either. Raiser’s Edge NXT has the most fully documented education record of the systems we verified, at the cost of private pricing and middleware for SIS data. Salesforce makes sense when advancement is joining a campus-wide platform, not as a standalone fundraising purchase. Treat Causeview as a gift processing layer for an existing EDA org and get its Education Cloud plans in writing.

For small schools, DonorPerfect is the easiest to budget, but you will build class-year and reunion coding with custom fields and import routines.

Three buyer scenarios

A regional public university on Banner. The director wants nightly graduate loads into one model for the foundation and alumni association. Shortlist Ellucian CRM Advance and Raiser’s Edge NXT with Omatic, and score both on the cost and reliability of the Banner feed, not on screens.

A private liberal arts college with a 25-person advancement team on Raiser’s Edge. It is mid-campaign. Staying on Raiser’s Edge NXT and adding matching gift automation will likely deliver more than a migration during a campaign.

An independent day school with a two-person development office. Parents give most of the money. Compare Veracross, if the school already uses it for admissions and academics, against DonorPerfect fed from the SIS.

When you do not need dedicated software

You likely do not need an advancement CRM if you have no reunion program, no VSE reporting, a few hundred gifts a year and one person entering them. A general donor database or your SIS’s development features will do, and the budget is better spent on clean data and a giving page. Once you add a campaign or matching gift volume, manual credit rules and reconciliation become the larger cost. Our guide to building a donor retention engine shows what to measure before you upgrade.

How we researched this

We reviewed vendor product, pricing and documentation pages for Blackbaud, Ellucian, Causeview, Salesforce, DonorPerfect and Veracross between October 6 and October 8, 2026, along with CASE survey definitions, IRS Publication 1771 and the FERPA regulations. Where a vendor publishes no price or feature detail, we say so. Most pages ranking for this topic are published by vendors that sell fundraising or matching gift products. No vendor paid for inclusion or reviewed this guide.

Frequently asked questions

What is the best fundraising software for a university?

There is no single best system. Universities on Ellucian Banner or Colleague usually find Ellucian CRM Advance easiest to integrate, while Raiser’s Edge NXT is a common independent choice and Salesforce Education Cloud suits campuses already on Salesforce.

How should matching gifts be credited in higher education?

CASE says matching gifts should be credited only to the corporation, not to the employee whose gift was matched, and each matched contribution counts separately. Many offices add a soft credit to the employee so the match appears in recognition and reunion reports without inflating alumni giving totals.

Does Raiser’s Edge NXT integrate with Banner?

We found no native Banner connector in Blackbaud’s published material. Institutions typically use the Blackbaud SKY API or middleware such as Omatic, which says it syncs constituent records, alumni transitions and gift data between Banner and Raiser’s Edge NXT.

Is DonorPerfect good for independent schools?

DonorPerfect is a reasonable fit for small schools that want a published starting price of $99 per month and alumni and reunion support. It does not document class-year fields or named SIS connectors on its education page, so plan custom fields and an import routine.

Is alumni data covered by FERPA?

FERPA excludes records created after a person is no longer a student in attendance, unless they relate directly to that person’s attendance. Student-era data pulled from the SIS, such as GPA, remains an education record.
