Vendor Statement Reconciliation: A Step-by-Step Process for Accounts Payable

Last updated: October 8, 2026 · Independent guide · We do not sell rankings or coverage.
Vendor statement reconciliation is the process of comparing the open items and balance on a supplier’s statement with the open items and balance for that supplier in your accounts payable ledger, then explaining and resolving every difference. You do it to find invoices you never received, credits you never took, payments the vendor has not applied and duplicates you may be about to pay. A practical cadence is monthly for your largest and most active vendors and quarterly for the rest, with a full pass at year-end. AP automation tools can now do much of the matching automatically.
The process has seven stages:
- Collect the statement from the vendor.
- Pull the AP ledger as of the same date.
- Agree the balances and cutoff.
- Match line items: invoices, credits and payments.
- Classify each difference.
- Resolve the differences.
- Document, review and sign off.
Who owns each stage
This RACI-style view fits a typical mid-sized AP team. Keep the reviewer separate from the person who reconciles and from the person who releases payments.
| Stage | Responsible | Accountable | Consulted / Informed |
|---|---|---|---|
| 1. Collect statement | AP specialist | AP manager | Vendor’s AR contact (C) |
| 2. Pull AP ledger | AP specialist | AP manager | GL accountant (I) |
| 3. Agree balances and cutoff | AP specialist | AP manager | Treasury for payments in transit (C) |
| 4. Match line items | AP specialist or software | AP manager | None |
| 5. Classify differences | AP specialist | AP manager | Purchasing, receiving (C) |
| 6. Resolve differences | AP specialist | AP manager | Budget owner, vendor (C); controller for write-offs (A) |
| 7. Review and sign off | AP manager | Controller | External auditor (I) |
Stage 1: Collect the statement
Owner: AP specialist. Input: a list of vendors due for reconciliation this period. Output: a statement for each vendor, dated as of the period end you are reconciling.
Where vendors do not send statements automatically, request an open-item statement (not a balance-forward one, which shows only a running total) as of your period-end date so cutoff lines up with your ledger.
Control: obtain the statement directly from the vendor through a known channel, such as the AR contact on file or the vendor’s portal. The PCAOB’s audit evidence standard explains why this matters: “Evidence obtained from a knowledgeable source that is independent of the company is more reliable than evidence obtained only from internal company sources” (PCAOB AS 1105.08, no date shown).
What goes wrong: statements lost in a general inbox, statements for the wrong legal entity, and statements showing new remit-to bank details. Verify any bank detail change by calling a contact already on file, never one printed on the statement.
Stage 2: Pull the AP ledger
Owner: AP specialist. Input: the vendor ID or IDs and the statement date. Output: a ledger extract showing open invoices, open credits and payments made in the last 30 to 60 days.
Use an as-of-date report, not today’s balance. In Microsoft Dynamics 365 Business Central, report 321 (Vendor – Balance to Date) shows the vendor balance at the end of a date range (Microsoft Learn, last updated October 22, 2024). In Oracle NetSuite, the A/P Aging reports under Reports > Vendors/Payables > A/P Aging show unpaid bills, aged by due date or transaction date depending on your accounting preferences (Oracle NetSuite Help, no date shown).
What goes wrong: one supplier set up as several vendor records, and invoices sitting unposted in an approval workflow. Include in-approval invoices in your extract, flagged, so you do not chase the vendor for a copy you already have.
Stage 3: Agree the balances and cutoff
Owner: AP specialist. Input: the statement and the ledger extract. Output: the total difference you need to explain.
Before matching lines, record the statement balance, the ledger balance on the same date and the difference. If the statement’s opening balance does not agree with your last reconciled ledger balance, a prior-period item is still unresolved; find it first.
Control: confirm that both documents use the same date and the same currency. A statement dated October 3 compared with a ledger as of September 30 will show three days of false differences.
Stage 4: Match line items
Owner: AP specialist, or AP automation software with an AP specialist reviewing exceptions. Input: both lists of open items. Output: every statement line marked as matched or unmatched, and every ledger line marked the same way.
Match on the vendor’s invoice number first, then on amount and date where numbers were keyed differently (leading zeros and prefixes are frequent causes). Match payments by check number, ACH trace or remittance reference. Work in both directions: statement to ledger finds invoices you are missing, and ledger to statement finds payments or credits the vendor has not applied.
What goes wrong: matching only on amount, which pairs the wrong invoices when a vendor bills recurring amounts, and overlooking short-pays the vendor has not accepted.
Stage 5: Classify the differences
Owner: AP specialist, consulting purchasing and receiving. Input: the unmatched items. Output: each item assigned to a category with a proposed action.
| Difference | What you see | Usual cause | Usual action |
|---|---|---|---|
| Payment in transit | Paid in your ledger, open on statement | Payment sent near period end | No entry; confirm it clears next period |
| Missing invoice | On statement, not in ledger | Lost, sent to a buyer, or in approval | Request copy, route for approval, accrue if received |
| Missing credit memo | Credit on statement, not in ledger | Credit sent but never entered | Request copy, post and apply it |
| Unapplied payment or credit | Paid invoices still open on statement | Vendor could not match your remittance | Send remittance detail to vendor |
| Duplicate | Same invoice entered or billed twice | Received by email and mail, or re-sent | Void before payment; recover if paid |
| Price or quantity dispute | Same invoice, different amounts | PO price, short shipment, or debit memo not accepted | Agree with vendor; credit or pay difference |
| Not your charge | On statement, no PO or receipt anywhere | Wrong customer account, or fraud | Dispute in writing |
Control: a missing invoice for goods already received is a liability whether or not the invoice has arrived. Pass the list to whoever books period-end accruals; at year-end this is a direct way to find unrecorded liabilities before your auditors do.
Stage 6: Resolve the differences
Owner: AP specialist, with the controller approving any write-off. Input: the classified list. Output: posted invoices and credits, requests sent to the vendor, and a log of open items with an owner and a due date.
Send the vendor one consolidated message per statement listing the documents you need, the payments to apply (with references) and the items you dispute. Post missing invoices only after normal approval and matching. Set any write-off threshold for small, old differences in your AP policy, approved by the controller.
Control: never pay from a statement. If you pay a statement line and the original invoice arrives later, it can be paid twice.
What goes wrong: vendor credits left unapplied until they are lost, disputes with no owner, and invoices posted without approval just to make the reconciliation tie.
Illustrative example
Illustration with invented figures: a vendor statement as of September 30, 2026 shows $48,200 and your AP ledger shows $40,000, a difference of $8,200.
| Line | Amount (USD) | Category | Action |
|---|---|---|---|
| Balance per vendor statement | 48,200 | ||
| Less: ACH sent September 29, not yet applied by vendor | (5,000) | Timing | None; confirm on October statement |
| Less: your debit memo for damaged goods, not yet credited by vendor | (800) | Dispute | Ask vendor to issue credit memo |
| Less: invoice billed $50 above PO price | (50) | Dispute | Purchasing to confirm price with vendor |
| Adjusted statement balance | 42,350 | ||
| Balance per AP ledger | 40,000 | ||
| Add: invoice on statement, goods received September 22, invoice never received | 2,350 | Missing invoice | Request copy, route for approval, accrue at month end |
| Adjusted ledger balance | 42,350 |
The adjusted balances agree, so the full $8,200 is explained. Only the $2,350 invoice changes your books this month; the disputes stay on the open-items log until the vendor responds.
Stage 7: Document, review and sign off
Owner: AP manager reviews, the controller is accountable. Input: the completed reconciliation and open-items log. Output: a signed-off reconciliation saved with the statement and supporting documents.
Keep the statement, ledger extract, reconciliation, correspondence and dated sign-off together. The reviewer checks that adjusted balances agree, every reconciling item has an owner, and last period’s timing items actually cleared. A timing item that appears two periods in a row needs investigating.
How often to reconcile vendor statements
No US accounting standard sets a frequency, so it is a policy decision. Reconcile monthly for high-spend vendors, vendors with frequent credits or disputes, and any vendor that did not tie last time; quarterly for steady low-volume vendors; and every vendor with a material balance at fiscal year-end. Revisit the tiers yearly using exception history.
Metrics to track
- Coverage: share of in-scope vendors reconciled on time, and the share of AP spend they represent.
- Open reconciling items by age: count and value open over 30, 60 and 90 days.
- Missing invoice rate: invoices found only on statements, as a share of invoices received.
- Credits recovered through reconciliation, in dollars.
- Duplicate or erroneous payments: APQC’s open benchmark shows a median of 1.5% of annual disbursements being duplicate or erroneous, across 1,686 companies (APQC, no date shown). Track yours against that figure.
- Time per statement, which tells you whether automation would pay back.
Our guide to AP and AR KPIs and dashboards covers how to report these alongside DPO and cost per invoice.
How software supports each stage
ERP and accounting systems cover stages 2 and 3 with as-of-date vendor reports but leave stages 1, 4 and 5 to spreadsheets. Statement reconciliation tools, usually part of an AP automation suite, read the statement and match lines to your ledger, and some draft the vendor email. The table is based on each vendor’s own pages; each vendor sells the product described.
| Product | Stages covered | What it matches against | Published pricing (checked October 8, 2026) |
|---|---|---|---|
| Medius Statement Reconciliation | 1, 4, 5 | Invoices and payments; flags duplicates and changed account details | Not published |
| Yooz Vendor Statements | 1, 4, 5, 6 | Invoices, credit notes and payments | Not published on the product page |
| HighRadius Supplier Statement Recon | 1, 4, 6 | Imported invoice data | Not published |
| Rossum Supplier Statement Reconciliation | 1, 4, 5 | Coupa invoices by invoice number and supplier number | Not published for this feature; Starter platform plan from $18,000 per year |
| Statement-Matching.com (SAP add-on) | 1, 4 | SAP AP ledgers across company codes and systems | Not published on the SAP listing |
| Lightyear | 1, 4, 6 | Supplier bills and credit notes | Essentials $199 per month for 125 credits; a statement uses 1 credit |
Check the limits before you buy. Rossum’s documentation describes its version only as an extension of the Rossum-Coupa integration and says Coupa invoices are replicated every 15 minutes, so results reflect the last sync rather than live data (Rossum, April 9, 2026). Statement-Matching.com is listed by SAP as an add-on for SAP AP ledgers that reconciles statements on upload and again daily, and marks a statement “Fully Matched” so earlier GRNI items can be cleared (SAP, no date shown). The Medius, Yooz and HighRadius feature pages do not say which ERPs the feature connects to (Medius, Yooz, HighRadius, no dates shown), and Yooz’s claimed 80% time saving comes without a method. Lightyear is the only one that publishes a price for statement reconciliation itself (Lightyear pricing, no date shown); Rossum publishes only a starting price of $18,000 per year for its Starter platform plan (Rossum pricing, no date shown).
None of these tools removes stages 6 and 7: a person still decides whether to accrue, accept a price change or write off a balance. If you are also shortening your close, see our guide to accounting close automation, and for the fraud side of statement review, our guide to AP fraud detection.
How we researched this
We reviewed the pages ranking for vendor statement reconciliation, mostly AP software vendor guides, which describe matching but say little about ownership, controls or what automation tools match against. We then read each tool’s product page or documentation, Microsoft and Oracle documentation, the PCAOB audit evidence standard and APQC’s open benchmark, all checked on October 8, 2026. The worked example uses invented figures.

Frequently asked questions
How often should you reconcile vendor statements?
Monthly for your highest-spend and most error-prone vendors, quarterly for steady low-volume vendors, and for every vendor with a material balance at year-end. No US accounting standard sets a fixed frequency, so write your chosen cadence into your AP policy.
What is the difference between vendor statement reconciliation and three-way match?
Three-way match checks one invoice against its purchase order and receipt before payment. Statement reconciliation checks the whole supplier balance afterward, catching invoices that never entered your system and credits or payments the vendor has not applied.
Can I pay a vendor from their statement?
No. Pay only approved invoices. If you pay a statement line and the original invoice arrives later, it can be paid a second time.
Why is the vendor statement balance higher than my AP ledger?
Usually because of payments the vendor has not yet applied, invoices that never reached AP, or debit memos the vendor has not accepted. Work through the differences line by line rather than adjusting to the vendor’s balance.
What should I do if a vendor does not send statements?
Ask the vendor’s AR contact for an open-item statement as of your period end, or download one from its portal. If the vendor cannot provide one, send your own open-item list and ask it to confirm or correct it.
Who should perform vendor statement reconciliations?
An AP specialist usually prepares them and an AP manager reviews and signs off. Ideally neither person releases payments or maintains vendor bank details.
