Commercial HVAC Service Software: What Mechanical Contractors Need Beyond Residential Tools

Commercial HVAC service software manages contracts that cover many sites and pieces of equipment, generates preventive maintenance visits from each asset’s task list, respects not-to-exceed (NTE) limits set by the customer, and exchanges work orders and invoices with facility management platforms such as ServiceChannel. It also costs every work order and keeps service billing separate from project billing. The products that fit fall into two groups: commercial field service platforms such as BuildOps, ServiceTitan and ServiceTrade, and construction ERPs with service modules such as Jonas, Foundation and Trimble’s Spectrum and Vista.

Why residential HVAC software falls short for commercial service
Residential software assumes a homeowner, one address, a membership with identical visits, a flat-rate price book and payment at the door. Our guide to HVAC service agreement software covers that model, including membership billing and deferred revenue.
Commercial mechanical service works differently. One customer may have dozens of buildings, each with rooftop units, chillers, boilers and air handlers that need different tasks at different intervals. The customer’s facilities team often issues work through its own platform, sets a spending limit on each call and expects invoices in its format. Your controller needs to see whether each agreement and building makes money, while the project side bills against a schedule of values with retainage.
How a commercial service agreement is structured
Sites, equipment and maintenance tasks
A workable commercial agreement has three layers: the customer and contract terms, the covered locations with their own billing and site contacts, and the equipment at each location with a task list and frequency for every asset. ServiceTitan’s setup flow follows this order, letting you add locations, assign billing, schedule, check-in and check-out contacts to each, and attach equipment and recurring visits with their own job types, technicians, cost estimates and materials (ServiceTitan, September 22, 2026).
Task lists often follow ANSI/ASHRAE/ACCA Standard 180, which sets minimum inspection and maintenance requirements for HVAC systems in commercial buildings (US Department of Energy Better Buildings, August 15, 2022). If your customers specify it, check that your software stores a task template per equipment type and generates visits from it.
Billing the agreement
Commercial customers rarely prepay for maintenance. They usually pay a fixed amount monthly or quarterly, or an invoice after each visit. ServiceTitan lists time of service, upfront, annual, biannual, quarterly, every other month and monthly schedules, and notes that some only work when the agreement length divides evenly (ServiceTitan, September 27, 2026).
Not-to-exceed limits and facility management platforms
Many national retailers, restaurant groups and property managers route repair calls through a facility management platform such as ServiceChannel or Corrigo. The customer creates the work order with an NTE amount and expects you to check in and out, request approval above the limit, and invoice inside the platform.
ServiceChannel defines the NTE as the maximum a provider may charge for the services on the work order, and for contractor-initiated work orders it calculates the NTE from the client’s pricing matrix (ServiceChannel, October 20, 2023). Its provider guidelines require check-in and check-out through the ServiceChannel Provider app, a call for approval before work exceeds the NTE, and invoices within 10 days of completion. A work order not invoiced within 90 days becomes ineligible for billing (ServiceChannel Trade Partner Guidelines, no date shown). CorrigoPro, Corrigo’s contractor application, also shows the NTE, which the customer sets as a ceiling cost, and lets the contractor request an increase (CorrigoPro, December 5, 2018).
Without an integration, your dispatcher retypes each work order and someone re-enters the invoice in the customer’s platform, which is where missed check-ins, unapproved overruns and late invoices come from. Ask each vendor whether work orders arrive automatically, whether the NTE appears on the technician’s screen with a warning before the ticket exceeds it, and whether invoices post back without rekeying.
Job costing, and why project billing is different from service billing
Service work is billed per call or agreement period, as time and materials or a flat rate. Project work, such as a chiller replacement, is billed monthly against a schedule of values. The AIA G702 application for payment and G703 continuation sheet carry that schedule, showing each line’s scheduled value, work completed, stored materials, retainage and balance to finish (AIA Contract Documents, September 30, 2026). Your controller needs both streams costed the same way, with burdened labor, materials, subcontractors and equipment posted to the right agreement, work order or project. If service and projects run in separate systems, you will reconcile labor and purchasing by hand every month. Worked example: agreement margin and an NTE overrun
Illustration: all figures in this section are constructed for illustration and are not taken from any vendor or customer.
A mechanical contractor holds a maintenance agreement with a retail chain covering 12 stores and 36 rooftop units, with quarterly preventive maintenance. The agreement is priced at $38,400 a year and billed quarterly at $9,600.
- Visits: 36 units multiplied by 4 quarters gives 144 unit inspections a year.
- Labor on equipment: 144 inspections at 1.25 hours each is 180 hours.
- Travel: 12 stores multiplied by 4 visits at 1 hour each is 48 hours.
- Labor cost: 228 hours at a burdened cost of $78 per hour is $17,784.
- Materials: filters and belts at $42 per inspection is $6,048.
- Total cost: $23,832, leaving a gross margin of $14,568, or 37.9% of the $38,400 price.
Software that costs each visit to the agreement shows a slipping margin in the first quarter rather than at renewal.
Now a repair call arrives through the customer’s facility platform with an NTE of $750. The technician finds a failed condenser fan motor: 2.5 hours at a $135 billing rate ($337.50), a $410 motor and a $95 trip charge, for $842.50 in total. That is $92.50 over the NTE, and the customer can refuse the excess if the work goes ahead unapproved. Software that shows the NTE on the mobile ticket prompts the technician to request an increase with photos first, so you can bill the full amount.
How the main platforms handle commercial service
BuildOps
BuildOps is built for commercial contractors. Its service agreements generate recurring visits from the agreement frequency, track asset-level history across customer properties, report budget, cost, revenue and margin per agreement, and flag renewals 30, 60 or 90 days out (BuildOps, no date shown). It lists a ServiceChannel integration that brings work orders in and syncs updates, photos and invoices back, plus accounting connectors for QuickBooks Online, Sage Intacct, Sage 300 CRE, NetSuite, Spectrum and Vista (BuildOps, no date shown). The pages we reviewed do not describe NTE enforcement, so ask for a demonstration. BuildOps does not publish prices (BuildOps, no date shown).
ServiceTitan (commercial)
ServiceTitan began in residential service and has added commercial features, including service agreements, AIA-format progress billing, change orders and job costing with budget-to-actual reporting (ServiceTitan, no date shown). Its ServiceChannel integration became generally available on July 23, 2024 (ServiceTitan press release, July 23, 2024). It turns new ServiceChannel work orders into bookings, syncs technician arrival as a check-in, sends NTE values to custom fields and syncs invoice status hourly. Work orders started before setup do not sync (ServiceTitan, September 27, 2026). For other NTEs, ServiceTitan recommends a custom field on the job or location record (ServiceTitan, no date shown), which depends on dispatchers entering the figure. ServiceTitan does not publish prices.
ServiceTrade
ServiceTrade targets commercial service contractors. Its HVAC page lists preventive maintenance across multiple locations, asset history in the technician app, a customer portal, parts management, project tracking for installs and retrofits, and integrations with QuickBooks, Sage Intacct, Microsoft Dynamics and Acumatica (ServiceTrade, August 6, 2026). It publishes no dollar figures; pricing is driven mainly by technician count, all tiers include unlimited office users, and project management and customer portals sit in the Premium and Enterprise tiers (ServiceTrade, July 24, 2026). You still need a separate accounting system.
Jonas Construction Software
Jonas is a construction ERP with built-in service management, suited to contractors that want accounting, payroll, projects and service in one database. Its work orders support flat-rate, time and materials, quotation and preventive maintenance billing. Labor, materials, equipment and purchase orders post to job cost as technicians log time, and a client service portal is included (Jonas Construction Software, no date shown). Jonas does not publish pricing.
Foundation Software
Foundation is construction accounting software with a Service Dispatch module that tracks installed equipment and warranties, creates recurring service schedules, and produces time-and-material invoices with customer and project markups. Labor hours sync to payroll and costs post to job cost (Foundation Software, no date shown). It suits contractors where accounting leads and service is a smaller share of revenue. Foundation does not publish prices.
Trimble Spectrum and Vista
Spectrum’s Service Contracts module includes renewal, earned revenue G/L distribution, contract profitability and cost history reports (Trimble, August 21, 2026), and its Service Tech mobile page also describes the Service Hub customer portal, where clients review work orders, pay online and request service (Trimble, no date shown). Vista’s agreements cover multiple sites, generate PM work orders from equipment tasking and support agreement budgets (Trimble, September 2, 2026). Trimble does not publish prices for either product.

Our independent take
Your most important decision is where your system of record will sit, and the vendor choice follows from it. If service is most of your revenue and facility platform integrations matter, a commercial field service platform such as BuildOps, ServiceTitan or ServiceTrade connected to your accounting system is the stronger choice. If projects are half or more of revenue and your controller owns the decision, a construction ERP with a service module such as Jonas, Foundation, Spectrum or Vista keeps job cost, payroll and billing in one ledger, usually with a less polished field experience.
Whichever route you take, test NTE handling and your largest customer’s facility platform in the demo with a real work order, because vendor marketing pages describe these integrations only in general terms.
Three buyer scenarios
A $15 million service-led mechanical contractor with 25 technicians and heavy retail work through ServiceChannel. ServiceChannel integration is your first requirement. Shortlist BuildOps, ServiceTitan and ServiceTrade, run a live ServiceChannel work order through each, and confirm how your accounting system receives invoices and job costs.
A $60 million design-build mechanical contractor with a 15-person service department. Your controller needs one ledger for WIP, retainage and certified payroll, so look first at the service modules in your current or planned construction ERP, such as Jonas, Foundation, Spectrum or Vista, and add a field service platform only if technician adoption becomes the bottleneck.
A residential HVAC company adding light commercial accounts. If commercial is under a fifth of your work and customers do not use facility platforms, your residential system may be enough for now. Check that it can attach several locations and assets to one agreement, and revisit the decision when you win your first multi-site contract with an NTE.
When you do not need dedicated commercial service software
If your commercial customers are mostly single-building owners who call you directly and pay on standard invoices, a general field service tool connected to QuickBooks may serve you well. The same applies if you run three or four technicians and can cost agreements in a spreadsheet each quarter.
Dedicated software pays for itself once you hold multi-site agreements, receive work through ServiceChannel or Corrigo, or run service and projects through the same payroll, because rekeying and reconciliation then cost more than the subscription. We reviewed the vendor pages and blogs that rank for commercial HVAC service software; none explains NTE handling, facility platform integration or the split between project and service billing. We then read product pages and help documentation from BuildOps, ServiceTitan, ServiceTrade, Jonas, Foundation and Trimble, ServiceChannel and CorrigoPro provider material, and AIA guidance on G702 and G703. Capabilities come from each vendor’s own published material, dated as shown. We did not test the products, and no vendor paid for or reviewed this article.

Does ServiceTitan work for commercial HVAC?
Yes. ServiceTitan supports multi-location service agreements, AIA-format progress billing, job costing and a ServiceChannel integration. Its own playbook recommends a custom field for NTE amounts, so confirm that this approach meets your customers’ approval rules.
What does not-to-exceed mean on an HVAC work order?
The NTE is the maximum amount you may charge for the work described on the order without further approval. On ServiceChannel, the client sets it, using its pricing matrix for contractor-initiated work orders, and the provider guidelines tell you to call for approval before exceeding it. Work billed above the NTE without approval can be refused.
Which HVAC software integrates with ServiceChannel?
Among the vendors we reviewed, ServiceTitan and BuildOps both document ServiceChannel integrations that bring work orders in and send invoices back. ServiceTitan’s also syncs check-ins and NTE values. Ask any other vendor for its integration documentation rather than relying on a logo on a partner page.
Can one system handle both service and project billing?
Yes. Construction ERPs such as Jonas, Foundation, Spectrum and Vista run their service modules on the same ledger as project job cost, and ServiceTitan’s commercial product includes AIA pay applications. Field service platforms without project billing pass costs to an accounting system that handles progress billing.
How much does commercial HVAC service software cost?
None of the vendors in this guide publishes a price. ServiceTrade says its pricing depends mainly on technician count and includes unlimited office users, and BuildOps says its quotes depend on crew size, trades, modules and integrations. Ask for implementation and integration fees in writing alongside the subscription.
