Private School Accounting Software: How to Choose a System for an Independent School

Private School Accounting Software: How to Choose a System for an Independent School

Last updated: October 8, 2026 · Independent buyer’s guide · We do not sell rankings or coverage.

The right private school accounting software is a fund accounting ledger that keeps donor-restricted gifts and endowment funds separate from operating money, takes tuition and financial aid postings from your billing system without rekeying, and handles the summer pay accrual for teachers on 10-month contracts. Most independent schools choose between a school-specific suite (Blackbaud Financial Edge NXT or Veracross Accounting) and a nonprofit ledger such as Sage Intacct or MIP Fund Accounting connected to a separate tuition and student information system (SIS). The deciding factors are the SIS and tuition platform you already run, whether you want payroll inside the ledger, and how many restricted funds your auditors expect you to track.

Key takeaways

  • Start from your tuition and SIS platform. The cleanest integrations stay inside one vendor family (Blackbaud or Veracross), and Sage Intacct has a published partnership with FACTS.
  • Financial Edge NXT relies on third-party payroll, Sage Intacct sells payroll as an ADP-powered add-on, and Veracross does not list payroll on its accounting page. MIP Fund Accounting lists its own payroll and HR modules.
  • Test the June 30 summer pay accrual for 10-month contracts in every demo.
  • Your ledger needs a fund or restriction structure that produces ASU 2016-14 net asset and underwater endowment figures without spreadsheets.
  • None of the four main vendors publishes a price list. A Sage Intacct partner quotes $13,200 a year as a starting subscription.

How school finance differs from ordinary nonprofit accounting

An independent school follows the same FASB not-for-profit rules as a charity. ASU 2016-14 replaced three classes of net assets with two, with and without donor restrictions, and requires liquidity notes and an analysis of expenses by nature and function (Texas Education Agency, May 9, 2019). What differs is the operating cycle around that framework.

Tuition is billed per student but paid per household, often through payment plans run by an outside tuition company. Financial aid reduces it: Blackbaud, which sells school software, defines net tuition revenue as total tuition minus financial aid and other discounts (Blackbaud, June 25, 2026). NAIS reports that the median member school gave financial aid to 26.2% of students in 2024-25, with a median grant of $21,722 per student, and that aid equaled 12.2% of the previous year’s budget income (NAIS, January 21, 2025).

Schools also carry endowments and named scholarship funds that require restriction tracking over many years, and payroll runs on an academic calendar rather than a fiscal one. Some parochial schools have a lighter filing burden: the IRS excepts “a school below college level affiliated with a church or operated by a religious order” from filing an annual Form 990 (IRS, June 27, 2026).

Where school accounting goes wrong

Restricted gifts and endowment tracked outside the ledger

Many business offices keep the ledger at the fund level and track named endowments and scholarship funds in a development office spreadsheet. That works until the auditor asks for a rollforward of each fund. ASU 2016-14 moved underwater endowment deficiencies into net assets with donor restrictions, and schools with underwater funds must disclose the original gift amounts, fair value, deficiency and spending policy (Belfint, Lyons & Shuman, no date shown). If your ledger cannot report each fund’s original gift value separately from its gains, you will rebuild that schedule by hand every year.

State law adds a second layer. UPMIFA, or a version of it, has been adopted in 49 states, with Pennsylvania the exception. It removed the earlier ban on spending below a fund’s original gift value, and some states presume that spending above 7% is imprudent (Hirtle Callaghan, 2022; the firm sells investment management).

Tuition receivables that never reconcile

The tuition platform holds each family’s contract, payment plan, aid award and fees, and the ledger receives a summary. When refunds, withdrawals and aid changes are processed in one system but not the other, the GL receivable drifts from the subledger. Ask every vendor to show a month-end reconciliation from family balances to the GL.

The summer payroll accrual for 10-month contracts

Most teachers work about 10 months but are paid over 12. With a July 1 to June 30 fiscal year, the July and August paychecks fall into the next year although the work was done in the current one. One school finance vendor documents a payroll accrual process for exactly this, because those payrolls “cross into the next Fiscal Year” (SchoolOffice help, revised May 2023).

There is a tax side as well. Under the Section 409A regulations, an election to spread “recurring part-year compensation” over the year is acceptable if it is made before the service period begins and does not defer pay beyond the last day of the 13th month after that period starts. The regulation uses “a teacher providing services during a school year comprised of 10 consecutive months” as its example (26 CFR 1.409A-2(a)(14), eCFR current as of October 6, 2026).

How software handles it

You will see three types of product. School-specific suites put the SIS, tuition billing and ledger in one vendor family. Nonprofit ledgers provide strong fund accounting and connect to a separate tuition and SIS platform. Small business tools such as QuickBooks Online can work for very small schools.

Blackbaud Financial Edge NXT

Financial Edge NXT is Blackbaud’s fund accounting ledger, marketed with subfund tracking for restricted funds and tracking of “grants, projects, and endowments,” plus integrations to Raiser’s Edge NXT and Blackbaud Tuition Management (Blackbaud, September 29, 2026). Its K-12 page claims you can reconcile tuition payments to the ledger and monitor scholarship balances (Blackbaud, page modified December 1, 2025). Blackbaud’s help files show Tuition Management exporting billing as monthly journal entries and cash by transaction date, with each billing item mapped to a GL account first (Blackbaud help, October 5, 2026).

The main limitation is payroll. Blackbaud ended support for its Payroll 7 product on July 31, 2021 and pointed customers to third-party providers such as Paycor and PrimePay (Blackbaud Community, no date shown). Users in Blackbaud’s community describe exporting a GL report from Paycor or Paycom, recoding it in Excel and importing it (Blackbaud Community, no date shown). Blackbaud does not publish pricing.

Veracross Accounting

Veracross sells an SIS for independent schools with tuition management and accounting on the same platform, and says tuition management is integrated into its single database (Veracross, October 21, 2024). Its accounting page lists General Ledger, Budgets, Purchase Request, Property Control, Cash Processing, Project Accounting and Development Accounting, and says you can build FASB- and GAAP-compliant statements and generate 1099 and 1096 files (Veracross, May 20, 2026).

That page does not mention fund accounting, endowment management or payroll, so ask Veracross to demonstrate restriction tracking and endowment rollforwards with your own fund list. Blackbaud describes Veracross as having “limited ledger capabilities” (Blackbaud, October 2, 2026), which is a competitor’s claim. Veracross does not publish pricing.

Sage Intacct

Sage Intacct is a general cloud financial system with a nonprofit configuration that tags transactions with dimensions such as fund, program and department. RSM describes a Nonprofit Restriction Release feature, covered in its review of the 2024 R1 release, that creates the journal entry releasing restricted revenue from the purpose, revenue and qualifying expense details you enter (RSM, April 26, 2024; RSM is a Sage partner). Sage also partnered with FACTS to carry tuition and other payments into the Sage Intacct ledger (Sage, May 22, 2023; Sage, no date shown).

Sage Intacct has no SIS, so it suits schools that already run FACTS or another tuition platform. Payroll is a separate subscription: Sage Intacct Payroll powered by ADP posts payroll journal entries using dimensions (Sage Intacct help, October 1, 2026), and providers such as Paylocity offer connectors (Paylocity, no date shown). Sage does not publish prices; partner Cargas lists a starting subscription of $13,200 a year for one business user, an average customer at $30,000 to $35,000 a year, and implementation at $1.00 to $1.50 per dollar of annual subscription (Cargas, updated October 6, 2026; Cargas sells Sage Intacct). See our Sage Intacct for nonprofits guide for modules and setup.

MIP Fund Accounting

MIP, now sold by Momentive Software, says it tracks an unlimited number of funds, grants, programs or projects and builds budgets by fund and grant (Momentive Software, September 25, 2026). Its modules include Payroll, Direct Deposit, Human Resource Management and Encumbrances (MIP, April 16, 2024), and its payroll page describes fully allocated entries for fund and grant allocation (Momentive Software, September 11, 2026). That makes it the strongest option here for payroll and ledger from one vendor. The limitation is the lack of any K-12 tuition or SIS product, so you need an import from your tuition platform. Pricing is not published.

Comparison table

QuickBooks Online Plus or Advanced Small business accounting Separate Intuit payroll subscription Summary entries or app connectors; classes stand in for funds

What it costs

Blackbaud, Veracross, MIP and Sage do not publish price lists for these products; each quotes privately based on modules, users and enrollment. The only dated public figures we could verify are the Cargas partner figures for Sage Intacct above and Intuit’s QuickBooks Online prices: Plus at $140 a month with 40 classes and locations, and Advanced at $340 a month with unlimited classes, before introductory discounts (Intuit, no date shown, checked October 8, 2026). Review-site estimates for Financial Edge NXT and Veracross cite no vendor source, so we left them out. Our nonprofit accounting software comparison gives wider context.

Ask each vendor to price the same scope: ledger, budgeting, AP automation, the tuition integration, the payroll connector, migration of at least three years of history, and training.

Illustrative worked example

The figures below are an illustration, not data from a real school.

A day school with 450 students and a June 30 year end bills $15,750,000 in gross tuition and awards $1,900,000 in aid, for net tuition revenue of $13,850,000. The tuition platform posts billed tuition to revenue, aid to a contra-revenue account, and family payments to cash against the tuition receivable. Your month-end check is that the GL receivable equals the open family balances in the tuition platform.

The school employs 60 teachers on 10-month contracts averaging $72,000, paid in 24 semi-monthly installments from September through August. By June 30 each teacher has earned the full salary but received 20 installments, or $60,000. The school accrues the remaining $12,000 per teacher, $720,000 in total, plus employer taxes and benefits. If your payroll provider posts only cash-basis journals, someone books that accrual by hand every June.

The school also holds a $250,000 scholarship endowment whose fair value fell to $238,000. The $12,000 deficiency stays in net assets with donor restrictions, and a ledger that stores the original gift value separately produces the auditor’s disclosure directly.

Our independent take

Your tuition and SIS platform should drive the shortlist more than ledger features. If you run Blackbaud for tuition and fundraising, Financial Edge NXT has the best-documented posting path, but you will still buy payroll elsewhere. If you run Veracross, its accounting module removes an integration, but verify fund and endowment reporting in a scripted demo because Veracross does not describe it publicly. If you use FACTS or need dimensional board reporting, Sage Intacct fits better, at a partner-quoted cost above most small schools’ budgets. MIP suits schools that want payroll and fund accounting under one contract and can accept a file-based tuition interface.

Whichever you choose, script three demo tests: a tuition reconciliation, the summer pay accrual, and an endowment rollforward with one underwater fund.

Three buyer scenarios

A 300-student parochial school on QuickBooks. You have a few scholarship funds, a tuition company that sends a monthly deposit report, and a diocese that runs payroll. Stay on QuickBooks Online with a class per fund until restricted gifts or audit adjustments grow.

A 700-student day school using Blackbaud for tuition and fundraising. Financial Edge NXT is the natural candidate because Tuition Management and Raiser’s Edge NXT both post to it. Choose a payroll provider with a proven FE NXT import and test the summer accrual with it before you sign.

A boarding school with a large endowment and several entities. Auxiliary operations, a foundation and multiple campuses point to a dimensional ledger with consolidation such as Sage Intacct, connected to your tuition platform. Expect a partner-led implementation and ask for references at schools of similar size.

When you do not need dedicated software

You may not need a fund accounting system if your restricted gifts are few, an outside investment firm reports your endowment, and your auditor is comfortable building the net asset rollforward from your records. QuickBooks Online with classes for funds, a tuition company that sends summary deposits, and a payroll provider that books the summer accrual can cover the basics.

You have outgrown that setup when auditors propose restriction or accrual adjustments every year, you track more than a few dozen named funds, board budget-to-actual reports take days, or you cannot tie out tuition receivables without a spreadsheet. For a selection process, see our guide on how to choose nonprofit software.

How we researched this

We read the top-ranking pages for this search, which are mostly vendor pages and affiliate rankings, and found none that explained the 10-month payroll accrual, endowment reporting or how tuition data reaches the ledger. We then reviewed each vendor’s product pages and help documentation, the Section 409A regulation, IRS guidance and NAIS benchmark data, checked on October 8, 2026. Where a source sells the product it describes, we say so.

Frequently asked questions

Does Blackbaud Financial Edge NXT include payroll?

No. Blackbaud ended support for Payroll 7 on July 31, 2021 and directed customers to third-party providers. Schools import payroll journals from providers such as Paycor or Paycom into Financial Edge NXT.

How do you account for teachers paid over 12 months on a 10-month contract?

Salary earned during the school year but paid in July and August is accrued as an expense and liability at a June 30 year end. On the tax side, 26 CFR 1.409A-2(a)(14) allows the election to spread recurring part-year pay if it is made before the service period starts and does not defer pay beyond the 13th month after that period begins.

Can QuickBooks handle fund accounting for a private school?

QuickBooks Online can approximate funds with classes, and Intuit lists 40 classes and locations on Plus and unlimited on Advanced. It does not enforce restrictions or automate releases, so restricted and endowment reporting relies on manual journal entries and spreadsheets.

Do private schools have to file Form 990?

Tax-exempt schools generally must file an annual return such as Form 990. The IRS excepts a school below college level that is affiliated with a church or operated by a religious order, so some parochial schools do not file.
