Payroll Journal Entries: How to Record Payroll in Your General Ledger

Last updated: October 8, 2026 · Independent guide · We do not sell rankings or coverage.

A payroll journal entry records the full cost of a payroll run in your general ledger: gross wages and employer costs as expenses, and net pay, withheld taxes, employer taxes and benefit deductions as cash or liabilities. You typically post one summary payroll journal entry per pay date, then a separate entry each time you remit taxes or benefit deductions, and an accrual at month end for wages earned but not yet paid. If you split wages and employer costs by department or job on the expense lines, the same entry also feeds your departmental P&L and job cost reports.

The payroll journal entry at a glance

Gross wages plus employer taxes plus employer benefit costs equal total debits. Net pay plus every amount withheld plus every employer amount you still owe equal total credits. Employee withholdings are never your expense, because you hold that money until you pay it to the IRS, the state or a benefit provider.

Account Debit Credit Note
Wages and salaries expense (by department or job) Gross pay Direct labor can go to cost of goods sold or job cost instead of operating expense
Payroll tax expense Employer share Employer Social Security, Medicare, FUTA and state unemployment
Employee benefits expense Employer share Employer health premiums, 401(k) match
Cash or net payroll clearing Net pay Use a clearing account if the payroll provider debits your bank separately
Federal income tax withheld payable Withheld amount Employee money, reported on Form 941
Social Security and Medicare payable Employee plus employer share Both halves are deposited together
State income tax withheld payable Withheld amount One account per state if you run multi-state payroll
FUTA and state unemployment payable Employer amount Employer-only taxes
401(k) and benefits payable Employee deductions plus employer share Cleared when you pay the plan or insurer

When you deposit taxes or pay a benefit provider, debit the liability and credit cash. At month end, accrue unpaid wages and employer taxes and reverse the accrual the next day.

Worked example: one semi-monthly payroll, step by step

All figures in this section are an illustration. A US manufacturer pays semi-monthly, and the October 1 to 15, 2026 payroll is paid on Thursday, October 15, 2026.

Step 1: Gross wages by cost object. Gross pay is $50,000: Production $30,000 (Job 2614 $18,000 and Job 2620 $12,000), Sales $12,000 and Administration $8,000.

Step 2: Employee deductions. The register shows federal income tax withheld of $5,200, state income tax withheld of $1,900, pre-tax 401(k) deferrals of $2,500 and Section 125 health premiums of $2,000.

Step 3: FICA wages. Cafeteria plan health premiums are excluded from Social Security and Medicare wages, but 401(k) deferrals are not (IRS Publication 15-B, April 30, 2026; IRS Publication 15, April 30, 2026). FICA wages are $48,000, and no employee has reached the 2026 Social Security wage base of $184,500.

Step 4: Employee FICA. Social Security is 6.2% of $48,000, or $2,976. Medicare is 1.45% of $48,000, or $696. Net pay after all deductions is $34,728.

Step 5: Employer taxes. The employer matches Social Security ($2,976) and Medicare ($696). Two new hires have $6,000 of wages under the $7,000 FUTA wage base, giving FUTA of $36 at 0.6% and state unemployment of $180 at an assumed 3.0% rate. Total employer tax is $3,888.

Step 6: Employer benefits. The employer adds a 50% 401(k) match of $1,250 and pays $6,000 of health premiums.

Step 7: Allocate employer costs. Employer taxes and benefits follow gross wages: Production 60%, Sales 24% and Administration 16%. Taxes become $2,332.80, $933.12 and $622.08, and benefits of $7,250 become $4,350, $1,740 and $1,160.

Step 8: Post the pay-date entry.

Account Debit Credit Note
Direct labor, Production $30,000.00 Job 2614 $18,000; Job 2620 $12,000
Salaries expense, Sales $12,000.00 Department: Sales
Salaries expense, Administration $8,000.00 Department: Admin
Payroll tax expense $3,888.00 Production $2,332.80; Sales $933.12; Admin $622.08
Employee benefits expense $7,250.00 Match $1,250; health $6,000
Cash, payroll account $34,728.00 Net pay
Federal income tax withheld payable $5,200.00 Form 941 liability
Social Security and Medicare payable $7,344.00 $3,672 employee plus $3,672 employer
State income tax withheld payable $1,900.00 State deposit rules apply
FUTA payable $36.00 Form 940 liability
State unemployment payable $180.00 Assumed 3.0% state rate
401(k) payable $3,750.00 $2,500 deferrals plus $1,250 match
Health insurance payable $8,000.00 $2,000 employee plus $6,000 employer
Totals $61,138.00 $61,138.00 Entry balances

In a ledger with dimensions, each expense line splits into one line per department or job. The totals do not change.

Step 9: Deposit federal taxes. The Form 941 liability is $5,200 plus $7,344, or $12,544. A semiweekly schedule depositor with a Thursday payday must deposit by the following Wednesday, which is October 21, 2026 (IRS Publication 15, April 30, 2026). Debit both liabilities and credit cash $12,544.

Step 10: Remit 401(k) money. Debit 401(k) payable and credit cash $3,750. Deferrals become plan assets as soon as they can reasonably be separated from company funds, and no later than the 15th business day of the following month, with a 7-business-day safe harbor for plans under 100 participants (29 CFR 2510.3-102, eCFR, current as of October 6, 2026).

Step 11: Accrue at month end. The October 16 to 31 payroll is paid on November 6. On October 31, the company debits wages by department $51,000 (estimated) and payroll tax expense $3,901.50 (7.65%), and credits accrued wages and accrued payroll taxes. It reverses the entry on November 1 so the actual payroll is not counted twice.

The rules behind the entries

The tax amounts come from IRS Publication 15 (Circular E). For 2026, Social Security is 6.2% each for employer and employee on wages up to $184,500, Medicare is 1.45% each with no wage cap, and you must withhold an extra 0.9% Additional Medicare Tax from an employee’s wages above $200,000 in a calendar year. That additional tax has no employer share. FUTA is 6.0% on the first $7,000 of each employee’s wages, reduced to 0.6% if you qualify for the full 5.4% state credit (IRS Publication 15, April 30, 2026). State unemployment rates come from your state rate notice.

You are a monthly depositor if your lookback-period taxes were $50,000 or less, and a semiweekly depositor above that. Any day on which you accumulate $100,000 or more of tax triggers a next-business-day deposit. FUTA can be carried forward until the quarterly liability exceeds $500 (IRS Publication 15, April 30, 2026).

Vacation and other paid time off fall under ASC 710 (Compensation: General). You accrue a liability when the obligation comes from services already rendered, the rights vest or accumulate, payment is probable and the amount can be reasonably estimated (Journal of Accountancy, July 1, 2021). Debit compensated absences expense and credit accrued PTO, usually monthly from your PTO balance report.

Common mistakes

  • Booking employee taxes as expense. Only the employer share of FICA, FUTA and state unemployment is payroll tax expense. Withheld income tax and the employee half of FICA are liabilities.
  • Posting the provider’s single bank debit to one expense account. Providers often pull net pay, taxes and fees separately, so use a clearing account that reconciles to zero each period.
  • Letting liability accounts drift. A balance left in 401(k) or health insurance payable after the remittance date means a late payment or an invoice that does not match deductions. Reconcile monthly.
  • Allocating employer taxes on gross wages when wage bases differ. Late in the year, high earners pass the Social Security base, so a gross-wage allocation overstates tax cost for departments with highly paid staff. Use taxable wages by employee if margins matter.
  • Forgetting the month-end accrual. Skipping it moves labor cost between months.

How payroll entries appear in your reports

Wages and employer costs go to cost of goods sold (direct labor) or operating expenses. Unpaid taxes, withholdings, deductions and accrued wages are current liabilities. Federal withholding and FICA reconcile to Form 941 each quarter, FUTA to Form 940 each year, and annual wages to Forms W-2. Tie quarterly wages and FICA to the filed Form 941 before you close the quarter. For a wider view of period-end entries, see our guide to accrual accounting automation, and for spreading shared labor across departments, our guide to cost allocation for shared services.

How payroll and accounting systems automate the entry

QuickBooks Online Payroll. QuickBooks automatically creates default accounts where payroll expenses and liabilities are recorded. You map wage expense, company contributions, tax expense and tax liability accounts under Settings > Payroll Settings > Accounting; a reclassify tool handles up to 200 past transactions per date range (Intuit, September 11, 2026). Intuit sells this product.

Gusto. Gusto posts one journal entry per payroll to QuickBooks Online. You can consolidate by employee, department, job or project, but only one method at a time and only one QuickBooks class per journal entry. Gusto does not collect benefit money, so it posts benefit expense and a benefit liability that you clear when you pay the provider (Gusto Help Center, no date shown). Gusto sells this product.

Oracle NetSuite. If you use an outside payroll provider, you can import the payroll journal as a journal entry CSV file. Each entry needs at least two lines with balancing debits and credits, and an Entry No. or External ID on every row to identify the entry. Oracle’s example file carries Department as a header-level column (Oracle NetSuite Help, no date shown). The line-level fields table lists Name, which can be an employee, and Location (Oracle NetSuite Help, no date shown). Contractors with heavy job costing should also read our guide to construction job cost accounting.

ADP TotalSource file-based export. For ADP TotalSource clients, ADP sells an optional General Ledger Interface that produces an import-ready journal file each payroll period, mapped to a chart of accounts you set up, for QuickBooks Desktop and Online, Sage 50 and other packages. ADP does not publish its price on that page (ADP Marketplace, no date shown).

How we researched this

We read the payroll journal entry guides that rank in US search results today, including pages from Rippling, ADP, AccountingTools and HighRadius. Most lacked balanced numeric entries, department and job allocation, benefit liabilities and GL export detail. We took tax rates and deposit rules from IRS Publications 15 and 15-B, retirement deposit timing from the eCFR, and integration behavior from each vendor’s own help pages, checked on October 8, 2026. The worked example is our own illustration.

Frequently asked questions

What is the journal entry to record payroll?

Debit wages expense for gross pay, payroll tax expense for the employer’s taxes and benefits expense for employer benefit costs. Credit cash for net pay and credit a liability for each amount withheld or owed, such as income tax withheld, FICA payable, unemployment tax payable and 401(k) payable. Total debits equal total credits.

Is employee withholding an expense for the employer?

No. Withheld federal and state income tax, the employee half of Social Security and Medicare, and benefit deductions are part of gross wages, which you already expensed. You record them as liabilities until you pay them to the government or the provider.

How do I record payroll taxes when I pay them?

Debit each liability account you are paying, such as federal income tax withheld payable and Social Security and Medicare payable, and credit cash. The deposit date depends on whether you are a monthly or semiweekly depositor.

Do I need to accrue payroll at month end?

Yes, if employees worked days in the month that will be paid in the next month. Accrue the estimated gross wages and employer taxes, then reverse the entry on the first day of the next month so the actual payroll posts without double counting.

How do I split payroll by department or job?

Tag each employee or timesheet with a department or job in payroll, post expense lines by that dimension, and allocate employer taxes and benefits on taxable wages. Your payroll integration then maps each department to a class, department or location in the ledger.
