NetSuite Bank Reconciliation: Importing Bank Data, Matching Rules and Reconciling the Statement

NetSuite Bank Reconciliation: Importing Bank Data, Matching Rules and Reconciling the Statement

Last updated: October 16, 2026 · Independent guide · We do not sell rankings or coverage.

NetSuite bank reconciliation runs in three stages. You bring bank data into NetSuite by file upload or automatic feed, match the imported bank lines to general ledger transactions on the Match Bank Data page, and close the period on the Reconcile Account Statement page against the bank’s ending balance. Oracle documents each screen separately; this guide puts them in month-end order.

For the general method, see our cash reconciliation process guide.

How we researched this

Every menu path, button label and limit here comes from Oracle’s NetSuite Applications Suite online help. Oracle’s help pages show no publication date, so they are cited as “no date shown” and were checked on October 16, 2026. We also read the ranking guides from Numeric and Cobase, which both sell software. We did not test a live account.

Before you start

  • Redesigned pages. Oracle says the original reconciliation feature is not supported as of NetSuite 2021.1 (Oracle, no date shown). This guide covers the Match Bank Data and Reconcile Account Statement pages.
  • Account setting. Each bank or credit card account needs Use Match Bank Data and Reconcile Account Statement Pages checked. NetSuite checks it on new accounts, and Oracle says to edit any account still using the older reconciliation pages (Oracle, no date shown).
  • Permissions. Preparers need Reconcile at Edit level, Import Online Banking File to upload statements, Matching Rules for Online Banking for rules, and Intelligent Transaction Matching and Account Reconciliation: Accounts to see accounts. Setting up automatic imports needs Financial Institution Records at Full level (Oracle, no date shown), and Oracle describes automation as an Administrator role task (Oracle, no date shown).
  • Custom transactions. If custom transaction types post to cash, check Show All Transaction Types In Reconciliation in Accounting Preferences (Oracle, no date shown).

Step 1: Prepare each bank account record

Go to Lists > Accounting > Accounts, click Edit next to the account and confirm the reconciliation pages box. For BAI2 or CAMT.053 files, complete the Bank Import Mapping subtab: the 02 and 03 Record identifiers for BAI2, or the IBAN identifier for ISO 20022 (Oracle, no date shown). Oracle says these imports fail if the mapping fields are blank (Oracle, no date shown).

Step 2: Bring in the bank data

Pick one route per account so the same transactions are not imported twice.

Option A: Manual file upload

Go to Transactions > Bank > Upload File, choose the file, select Import with default parser (CSV, OFX, QFX, BAI2, or CAMT.053), pick the Account and click Import. Track your status opens Banking Import History (Oracle, no date shown).

Do not edit the downloaded file, keep the file name to 50 characters, and use Oracle’s template for CSV. QIF is not supported. The default parser reads BAI2 only from TD, Wells Fargo, US Bank, JP Morgan Chase and Bank of America Merrill Lynch; other banks’ BAI2 files need a parser plug-in or conversion to a supported format (Oracle, no date shown). Keep each import under 10,000 transactions (Oracle, no date shown).

Option B: Automatic import

An administrator creates a format profile on a financial institution record, chooses a Connectivity Method (such as SFTP Connectivity with the Auto Bank Statement Import SuiteApp) and a Transaction Parser, then links accounts and sets the import schedule, which is daily by default (Oracle, no date shown).

The Bank Feeds SuiteApp is Oracle’s direct-feed option. Oracle calls it a free managed SuiteApp and supports banks in the United States, Canada, Europe, New Zealand and Southeast Asia (Oracle, no date shown). US and Canadian connections use the MX profile (up to 100 accounts across 25 credentials); Oracle says the Yodlee profile is no longer preinstalled for new customers and remains available only to installations made before February 4, 2026 (Oracle, no date shown).

Step 3: Review auto-matches and suggestions

When bank data arrives, Intelligent Transaction Matching runs system rules (which you cannot change) and your user rules. If a rule finds two or more candidates, NetSuite does not choose; you do (Oracle, no date shown).

Go to Transactions > Bank > Bank Matching and Reconciliation > Match Bank Data, select the Account, click Update Imported Bank Data if feeds are set up, and open Match Suggestions (Oracle, no date shown). NetSuite offers up to five suggestions per line: a rule-based transaction match, a payment application against one open invoice or payable, or an auto-create. With Automatically Accept Exact Matches on (the default), rule-based exact matches submit without review; a rejected suggestion can be generated again by importing bank data or running the rules manually (Oracle, no date shown). Payment application suggestions appear only when the bank line covers one open invoice or payable in full (Oracle, no date shown).

For customer receipts, Oracle recommends running Automated Cash Application first. It generates customer payments from imported bank lines, applies them to open invoices, and matches and clears them (Oracle, no date shown; Oracle, no date shown).

Step 4: Build custom matching rules

Go to Transactions > Bank > Reconciliation Rules and click New Rule under User Rules. Select accounts on the Accounts subtab, then on Conditions pair a bank-line field with a NetSuite field using Equals, Equals (Ignore Prefix), Before, After, or Within x Previous Days of. Drag rules to set run order. New rules apply on the next import or a manual run (Oracle, no date shown).

To match references, map the bank line’s Transaction ID to NetSuite’s Check Number field (Check #, Deposit #, Transfer # or Entry No., by transaction type). Equals (Ignore Prefix) lets 2134 match N2134. Oracle documents a date window but no amount tolerance, so a rule cannot absorb a fee difference.

Pattern Rule type Example conditions (illustration)
Checks clearing after issue Matching rule Transaction ID Equals (Ignore Prefix) Check Number; NetSuite date Within 30 Previous Days of bank date
Wires citing a journal entry Matching rule Transaction ID Equals Entry No.
Monthly bank service fee Auto-create rule Built from a one-to-one match of the fee line to a single-line charge

To build an auto-create rule, match one bank line to one check, deposit, credit card charge or refund on Transactions to Match, check Make Auto-Create Rule From Selected Transactions when Difference is zero, and click Match and Submit. The bank line needs a Payer/Payee or Memo, the transaction needs exactly one line and no tax code, and each rule covers one account (Oracle, no date shown).

Step 5: Match, create, clear or exclude the rest

Work the Transactions to Match subtab in this order (Oracle, no date shown):

  1. Match manually. Select bank lines and the NetSuite transactions they represent; you can select several on each side, so one batch deposit can match several payments. Click Match when Difference is zero.
  2. Create missing transactions. Journal entries, charges, deposits, credit card refunds and payments can be created here. Forms with extra required fields must be entered normally, then matched (Oracle, no date shown).
  3. Clear book-only items, such as a voided check and its reversing entry, with Clear (Oracle, no date shown). Leave genuinely outstanding checks open.
  4. Exclude bank lines you will not match with Exclude. Excluded lines are never deleted and can be restored (Oracle, no date shown).

Step 6: Reconcile the statement

Go to Transactions > Bank > Reconcile Account Statement and select the account (Oracle, no date shown).

  1. Set Statement End Date to the statement’s last day. It cannot be changed after you reconcile, and if you use today’s date, transactions that arrive later that day cannot be picked for the next reconciliation.
  2. Check Ending Statement Balance against the PDF. Last Reconciled Balance shows the prior close.
  3. On the Reconcile subtab, set the From and To dates and include the matched and cleared transactions. Transactions in a one-to-many or many-to-many match group cannot be excluded.
  4. Watch Reconciled This Statement. NetSuite lets you reconcile with a difference, so your review must catch it.
  5. Click Reconcile, then OK.

Save the Reconciliation Summary (Reports > Banking/Budgeting > Reconciliation) with your close file. Oracle advises printing each report before reconciling the next account, because the information cannot be recaptured (Oracle, no date shown).

Illustration. The June statement ends at $412,600.00 and the register shows $398,950.00. You create a missing $22,000.00 customer wire and a $100.00 fee from Transactions to Match, bringing the book balance to $420,850.00. Less $8,450.00 of outstanding checks, that leaves $412,400.00, still $200.00 short, so another bank credit is missing and you do not reconcile yet.

Step 7: Multi-currency and multi-subsidiary accounts

In OneWorld, each bank and credit card account belongs to one subsidiary (Oracle, no date shown), so the same bank used by three entities means three accounts and three reconciliations. Preparers see only accounts their role’s subsidiary restrictions allow unless the role has Allow Cross-Subsidiary Record Viewing (Oracle, no date shown).

Reconcile foreign-currency accounts in the account’s currency against the bank’s balance in that currency. For feeds, the GL account currency must equal the bank account currency or the import fails (Oracle, no date shown). After reconciling, run Transactions > Financial > Revalue Open Currency Balances, which applies period-end rates to foreign-currency accounts and posts the variance to Unrealized Gain/Loss (Oracle, no date shown).

Common mistakes and how to fix them

Symptom Likely cause Fix
Bank lines appear twice Upload overlapped a feed, or two format profiles connect one account Delete the manual import if eligible, otherwise exclude duplicates; keep one connection per account
Recent bank lines missing Expired feed token, 60-minute import limit, or over 10,000 lines Check Banking Import History, refresh the token, retry after 60 minutes, or upload the file
Imported data not visible Reconciliation pages box unchecked, or role restrictions Edit the account; review role subsidiary access
Reconciled item back in Transactions to Match Amount changed, deleted, or voided without a reversing entry Match and Submit or Clear and Submit, then reconcile (Oracle, no date shown)
Late item belongs in a closed statement Reconciled too early Delete reconciled statements, newest first, at Transactions > Bank > Reconcile Account Statement > List (Oracle, no date shown)

Duplicates. Oracle says connecting one account through two format profiles imports everything twice, and duplicates from switching profiles must be excluded by hand (Oracle, no date shown). For a bad upload, open Transactions > Bank > Banking Import History, expand the import and click Delete Import. This works only for a successful manual import on an unreconciled statement, and it undoes matches on those lines (Oracle, no date shown).

Missing lines. Manual updates fail within 60 minutes of the last import. If one SFTP connection serves several accounts, Oracle warns against Update Imported Bank Data because other accounts’ data will not be updated and may be lost (Oracle, no date shown). European feed consents expire without notification, so put the consent date on your close calendar (Oracle, no date shown).

Limitations of the native feature

  • No documented amount tolerance in matching rules, so payouts net of fees need manual work.
  • Auto-create rules cover one account each and only single-line transactions without a tax code.
  • Default-parser BAI2 support is limited to five named banks.
  • NetSuite does not require a zero difference before you reconcile, and reconciled transactions whose amounts are later changed, or that are deleted or voided without a reversing entry, drop back to unreconciled.

When companies add a third-party tool

Companies add a tool when they have many accounts across subsidiaries, banks the Bank Feeds SuiteApp cannot reach, or high-volume processor deposits. Cobase sells multi-bank statement delivery into NetSuite and Numeric sells cash matching beside it (Cobase, February 21, 2025; Numeric, January 26, 2026). Frequently asked questions

How do I do a bank reconciliation in NetSuite?

Import bank data with Upload File or a feed, then match lines on the Match Bank Data page. Once every line is matched, created, cleared or excluded, open Reconcile Account Statement, enter the end date and ending balance, include the transactions and click Reconcile.

What file formats can NetSuite import for bank reconciliation?

The default parser accepts CSV, OFX, QFX, BAI2 and CAMT.053, but not QIF. Default BAI2 support covers TD, Wells Fargo, US Bank, JP Morgan Chase and Bank of America Merrill Lynch only.

Is the NetSuite Bank Feeds SuiteApp free?

Oracle’s FAQ describes it as a free managed SuiteApp. It covers banks in the US, Canada, Europe, New Zealand and Southeast Asia.

Why are my bank transactions duplicated in NetSuite?

Usually a manual upload overlapped a feed, or two format profiles connect the same account. Delete the manual import if the statement is unreconciled; otherwise exclude the duplicates.

Can one bank account be shared by several subsidiaries in OneWorld?

No. Each bank and credit card account belongs to one subsidiary, so each entity’s account is reconciled separately.
