Business Central Bank Reconciliation: Statement Import, Auto-Match and Posting Differences

Last updated: October 16, 2026 · Independent guide · We do not sell rankings or coverage.
Business Central bank reconciliation runs on the Bank Acc. Reconciliation page. You import the bank statement (a CSV file, a SEPA CAMT file or a bank feed), match statement lines to bank account ledger entries automatically or by hand, post fees or interest that have no ledger entry through a general journal, and post once the totals agree. This guide follows the order you work in and covers the errors that most often block posting.
Before you start
- Edition. Microsoft’s pricing page lists finance management as included in Essentials ($80 per user per month, paid yearly) and Premium ($110), though it does not name bank reconciliation separately (Microsoft, no date shown, checked October 16, 2026).
- A bank account card with its own G/L account. The Bank Acc. Posting Group links the bank account to a balance sheet account. Microsoft warns that direct postings to that G/L account typically prevent reconciliation (Microsoft Learn, June 10, 2025).
- A statement source. A CSV or SEPA CAMT file, or an Envestnet Yodlee feed, which works only in Business Central online for US and Canadian banks (Microsoft Learn, August 21, 2025).
- North America. The legacy Bank Rec. Worksheet and Deposits pages were removed from the US, Canadian and Mexican versions starting in 2023 release wave 2 (Microsoft Learn, February 6, 2025).
- Copilot (optional). An administrator must activate the Bank account reconciliation capability (Microsoft Learn, October 2, 2026).
Step 1: Choose how statement data gets in
A data exchange definition maps the bank file to Business Central fields, a data export/import setup points to it, and the bank statement import format ties that setup to a bank account (Microsoft Learn, June 10, 2025).
| Import method | Formats | Best fit | Limits |
|---|---|---|---|
| Assisted setup wizard | Comma or semicolon delimited CSV | Banks that export CSV files | Manual download each period |
| Built-in SEPA CAMT definition | ISO 20022 CAMT XML | European banks | Bank must supply CAMT files |
| Custom data exchange definition | Variable Text, Fixed Text, XML, Json | Fixed-width or unusual files | Needs field-mapping skills |
| Envestnet Yodlee feed | Direct feed | US and Canadian banks | Online only |
File types and the built-in SEPA CAMT code come from Microsoft Learn (October 16, 2025). A fifth route, the AMC Banking 365 Fundamentals extension, converts files for over 600 banks but needs a separate AMC subscription (Microsoft Learn, August 21, 2025).
Step 2: Build a CSV format with the assisted setup
Open Assisted Setup and, under Get ready for business, choose Set up a bank statement file import format (Microsoft Learn training, no date shown). The wizard asks for:
- A sample file from your bank (or turn on Define the bank statement file layout yourself).
- Header lines to skip, the column separator, column count and line separator.
- What each column contains, then the date format and decimal separator.
- A test through Test the bank statement file format, then the bank account to attach the format to.
The result is saved as a data exchange definition you can edit later. Three fields fix most parsing problems: Data Format (a .NET pattern such as MM-dd-yyyy), Data Formatting Culture (en-US) and Negative-Sign Identifier for banks that flag debits with a code instead of a minus sign (Microsoft Learn, October 16, 2025).
Step 3: Confirm the format on the bank account card
Search for Bank Accounts, open the card and check Bank Statement Import Format on the Transfer FastTab (Microsoft Learn, June 10, 2025). For a Yodlee feed, select the account on the Bank Accounts list and choose Link to Online Bank Account, then Automatic Bank Statement Import Setup, set Number of Days Included (Microsoft recommends 7 or more) and select Enabled (Microsoft Learn, August 21, 2025).
Step 4: Create the reconciliation and load the statement
These steps follow Microsoft’s Reconcile bank accounts article (April 7, 2026).
- Search for Bank Account Reconciliation and choose New.
- Select the Bank Account No.; its ledger entries load in the right-hand pane.
- Enter the Statement Date and Statement Ending Balance from the bank statement.
- Choose Import Bank Statement and select the file.
Without a file, choose Suggest Lines, enter a Starting Date and Ending Date, and turn on Exclude Reversed Entries to keep reversed pairs out of the list.
Step 5: Run Match Automatically
Choose Matching > Match Automatically and enter a Transaction Date Tolerance (Days): the number of days either side of the ledger posting date that Business Central searches for a bank transaction date. Zero or blank means exact dates only. Matched lines turn bold green and Applied is selected (Microsoft Learn, April 7, 2026; Microsoft Learn training, no date shown).
Microsoft describes the matching as text based, and Match Details shows which fields produced each match. Since 2022 release wave 2, checks are also matched against the check ledger (Microsoft release plan, October 3, 2022). The date tolerance is the only setting you control here. We suggest starting at 3 to 5 days for ACH and card deposits; that is our suggestion, not a Microsoft default.
With Copilot active, Reconcile with Copilot runs after automatic matching and proposes further matches, including one statement line against several invoices paid in a lump sum. Nothing saves until you choose Keep it, and the feature handles about 3,000 open ledger entries in the date range from 2025 release wave 2 onward (Microsoft Learn, October 2, 2026).
Step 6: Match the remaining lines manually
Use Show Nonmatched, select an unapplied statement line, hold Ctrl to select one or more ledger entries, and choose Match Manually. Manual matches survive later automatic runs, and matches can be one-to-many in either direction. Take care with Remove Match on a split deposit: removing one match removes all manual matches for that ledger entry (Microsoft Learn, April 7, 2026).
Step 7: Transfer unmatched bank lines to a general journal
Bank fees, interest and returned items often exist only on the statement. Microsoft’s steps (same source):
- Choose Transfer to General Journal, pick the journal on the Trans. Bank Rec. to Gen. Jnl. page and choose OK.
- Complete each line, usually with a balancing G/L account such as bank charges, and post.
- Refresh the reconciliation and match the new ledger entries to their statement lines.
Alternatively, select the lines and choose Copilot > Post difference to G/L account, which suggests an account from the bank description and lets you save a text-to-account mapping (Microsoft Learn, October 2, 2026). If you also apply customer receipts, the Payment Reconciliation Journal applies payments to open entries and reconciles the bank account in one posting (Microsoft Learn, July 25, 2024).
Step 8: Check the Test Report, then post
Run Test Report first. It shows the G/L account balance beside the bank account balance at the statement date and warns about direct postings, plus Sum of Differences, outstanding transactions and outstanding checks. You can post when Total Balance equals Balance To Reconcile plus Balance Last Statement and no line carries a difference (Microsoft Learn, April 7, 2026).
Illustrative example: the prior statement closed at $41,000, the bank shows $9,400 of deposits and $2,150 of payments, and the ending balance is $48,250. Two checks totaling $1,300 have not cleared; they stay as outstanding checks and do not block posting. A $35 bank fee with no ledger entry does block posting until you transfer it to a journal and match it.
Step 9: Review the posted reconciliation report
Posted reconciliations sit on the Bank Account Statement List. Run the Bank Account Statement report with Outstanding Entries turned on. It shows outstanding items as they stood when you posted, so an entry that clears next month still appears as outstanding on this month’s report (Microsoft Learn, April 7, 2026). That report belongs in the close binder with your month-end cash reconciliation.
To correct a posted statement, choose Undo on that list. The redone statement takes the next number, so use Change Statement No. to restore the original, and check Balance Last Statement on later statements (Microsoft Learn, April 7, 2026).
Common mistakes and how to fix them
| Symptom | Likely cause | Fix |
|---|---|---|
| Total Balance does not equal the statement ending balance | Entry posted to the G/L bank account but not the bank subledger, or wrong Balance Last Statement | Reverse and repost to the bank account; verify both balances |
| Test Report G/L balance differs from bank balance | Direct posting, often an opening balance | Post balancing entries, then turn off Direct Posting |
| Differences net to zero but posting fails | Many-to-one matches with offsetting differences | Post each difference through a journal, then match |
| Matches disappear after editing the header | A statement date entered after matching undoes later-dated matches | Enter the statement date before matching |
| Wrong dates, amounts or signs on import | Data exchange definition settings | Edit Data Format, culture or Negative-Sign Identifier and retest |
| Yodlee import fails | Feed still processing, or credentials or MFA changed | Re-enter credentials, wait 10 to 15 minutes, retry; relink if needed |

Limitations of the native feature
- Automatic matching on this page exposes one setting, the date tolerance. Prioritized payment application rules apply to the Payment Reconciliation Journal instead.
- Native feeds cover only US and Canadian banks, and only online.
- The Test Report is wrong if lines were matched before a later ending date was entered, and late imports dated before a posted statement can leave its header totals out of step with its outstanding sections.
When companies add a third-party tool
Partners add an extension for many accounts, banks outside Yodlee coverage or high volume. Continia Banking, sold by Continia, replaces standard matching with rules such as bank transaction codes, reference IDs, document numbers, split rules and date-and-amount matching (Continia documentation, March 31, 2026). Neither Continia nor AMC publishes pricing on the pages we reviewed. If you are still choosing an ERP, see our NetSuite vs Business Central comparison.
How we researched this
We read Microsoft Learn’s reconciliation, bank setup, data exchange, Yodlee, AMC and Copilot articles, the related training modules and release plan, recording each page’s date, then compared top-ranking partner and forum pages against them. We did not test in a live tenant, so confirm field names against your version.

Frequently asked questions
What file formats can Business Central import for bank reconciliation?
The assisted setup handles comma or semicolon delimited CSV files, and a built-in definition reads SEPA CAMT XML. Custom data exchange definitions can read fixed-width text, XML and Json. US and Canadian companies on Business Central online can use Yodlee feeds instead.
How does Match Automatically decide what to match?
Microsoft describes it as text matching between statement lines and ledger entries within the date tolerance you set. Checks are also compared with the check ledger. Choose Match Details on a matched line to see which fields matched.
How do I record bank fees that are not in Business Central?
Choose Transfer to General Journal, complete the balancing account and post. Then match the new ledger entry to the statement line, or use Copilot’s Post difference to G/L account if it is enabled.
Can I undo a posted bank reconciliation in Business Central?
Yes. Choose Undo on the Bank Account Statement List, correct the reopened reconciliation and post it again. Use Change Statement No. to keep the original number.
Is the Bank Rec. Worksheet still available in the US version?
No. Microsoft removed it from the North American versions starting in 2023 release wave 2, so US companies use the standard Bank Account Reconciliation page.
