NetSuite Reporting: Financial Reports, Saved Searches and SuiteAnalytics Workbook

Last updated: November 3, 2026 · Independent guide · We do not sell rankings or coverage.
NetSuite reporting runs on three native layers: financial reports built with the Financial Report Builder for formatted statements, saved searches for record lists and alerts, and SuiteAnalytics Workbook for pivots, charts and ad hoc analysis. Use the Financial Report Builder when the output must look like a financial statement and tie to the general ledger, saved searches when someone needs to act on specific records, and Workbook when you want to explore trends. This guide walks you through a departmental P&L build and the fixes for common performance problems.
How we researched this
Every menu path and setting below comes from Oracle’s NetSuite Applications Suite Online Help, checked on November 3, 2026. Oracle’s help pages show no publication date, so each citation says “no date shown.” We also read the top-ranking pages for this term, including those from SixLakes Consulting and Zone & Co, which sell NetSuite services or add-ons. Neither walks through a departmental P&L build or the row limits and caching rules behind slow reports.
The three reporting layers and when to use each
Oracle describes reports as the tool for formatted output and saved searches as the tool that “support[s] more complex data manipulations than reports and the ability to send email alerts, but [doesn’t] show the same level of presentation formatting” (Oracle, Alternatives to Reports, no date shown). Workbook combines datasets, tables, pivot tables and charts on the analytics data source (Oracle, SuiteAnalytics Workbook Overview, no date shown).
| Layer | Use it for | Where to start | Main limit |
|---|---|---|---|
| Financial reports (Financial Report Builder) | Income statements, balance sheets, departmental P&Ls, budget vs actual | Reports > New Financial Report | 30 data columns; 100,000 rows on demand |
| Saved searches | Worklists, exception lists, GL detail, scheduled email alerts, dashboard KPIs | Reports > Saved Searches > All Saved Searches > New | Limited statement formatting |
| SuiteAnalytics Workbook | Pivots, charts, trend analysis, linked datasets | Analytics tab, then New Workbook or New Dataset | Pivots and charts can show data cached for up to 60 minutes |
If a report must tie to the trial balance and go to the board, build a financial report. If a clerk needs a list of open items to work through, build a saved search; our NetSuite saved search guide for finance teams covers AP, AR and GL searches with formulas. Use Workbook when analysts want to slice the same data several ways.
Before you start
- Permissions. You need both the Financial Statements permission (View level only) and the Report Customization permission (View level is sufficient) to use the Financial Report Builder (Oracle, Giving Access to Financial Statements, no date shown).
- Departments feature. Go to Setup > Company > Enable Features, check Departments on the Company subtab, and save. Create departments at Setup > Company > Departments > New, using Subdepartment of for hierarchy and, in OneWorld, the Subsidiary field (Oracle, Creating Departments, no date shown).
- Budgets, if you want budget columns. NetSuite budgets can be set by department, class, location or a combination. You need Multiple Budgets and Budget Categories only if you keep more than one budget for the same period and criteria (Oracle, Budgets in NetSuite, no date shown).
- Workbook access. Workbook is on by default; custom roles need the SuiteAnalytics Workbook permission at Edit (Oracle, Enabling SuiteAnalytics Workbook, no date shown).
Building a departmental P&L in the Financial Report Builder
Step 1: Run the standard income statement and test the department view
Go to Reports > Financial > Income Statement. In the report footer, select Department from the Column list to show amounts by department (Oracle, Income Statement Report, no date shown). A footer column choice applies only to the current run (Oracle, Adding Persistent Matrix Columns, no date shown).
In OneWorld, check the Subsidiary Context in the footer, because it determines the layout, currency and data (Oracle, Subsidiary Context for a Financial Statement, no date shown).
Step 2: Open the Financial Report Builder
Click Customize on the results page, which Oracle recommends for OneWorld statements. You can also start at Reports > New Financial Report and pick a statement type, or edit an existing custom statement from Reports > Financial > Row Layout Assignment (Oracle, Accessing the Financial Report Builder, no date shown). The builder opens on the Edit Layout page.
Step 3: Make the layout editable
Click Edit Layout. A standard layout cannot be edited, so NetSuite prompts you to give the copy a new name. If the layout is a custom one already shared by other statements, you choose between editing the shared layout and creating a duplicate (Oracle, Making a Layout Editable, no date shown). Name it clearly, for example “P&L by Department,” because layouts can be reused across statements (Oracle, Financial Statement Layouts, no date shown).
Step 4: Add department columns on the Edit Columns page
Open the Edit Columns page and, in the View Columns By list, select the department dimension. Pick the (Hierarchy) version to group subdepartments under their parents (Oracle, Adding Persistent Matrix Columns, no date shown).
For budget vs actual, add fields from the Budget folder next to the matching fields from the Financial folder, or use the Budget and Financial folder, whose fields carry both values (Oracle, Adding Budget Columns, no date shown). A report cannot have more than 30 data columns. Keep the original Amount column: if you remove it, you cannot drill down on an Amount column you add later (Oracle, Edit Columns Page, no date shown).
Step 5: Adjust sections and grouping on the Edit Layout page
If you have many departments, department rows may read better than columns. Select a section in the Layout outline, such as operating expenses, and change the Group By list from accounts to department, with an optional secondary grouping in Then By. The Order subtab lets you sort groups ascending, descending or in a custom order (Oracle, Editing a Financial Statement Section, no date shown).
Sections can also be filtered by department, class, location, account or subsidiary (Oracle, Financial Report Builder, no date shown). Use Preview Layout to check structure without data (Oracle, Financial Report Builder Interface, no date shown).
Most custom statements do not need the report-wide Filters page. If you use it, a filter on a Budget field applies to budget values only, a Financial field to actuals only, and a Budget and Financial field to both (Oracle, Filters Page, no date shown).
Step 6: Set the audience, save and schedule
On More Options, define the audience and report-level format (Oracle, Financial Report Builder Interface, no date shown). Audience members can then run it from Reports > All Saved Reports. Only the owner or an administrator can save over the same name (Oracle, Sharing Custom Reports, no date shown). To email a monthly pack, click Schedule in the report footer (Oracle, Optimize Search and Performance Reporting, no date shown).
Step 7: Tie it out
Run the standard income statement for the same period and subsidiary context and compare net income to the Total column. Illustration: if the standard report shows net income of $1,240,000 and the department columns sum to $1,205,000, look for $35,000 of lines posted without a department and fix them at the source. Add this check to your month-end close checklist. If shared costs such as rent sit in one department, agree an allocation method first; our shared services cost allocation guide covers allocation bases.
Common mistakes and how to fix them
- Budget columns show zeros. Go to Home > Set Preferences, open the Analytics subtab, and set Report by Period to All Reports or Financials Only rather than Never (Oracle, Budgets in NetSuite, no date shown).
- Editing a shared layout changes other statements. Duplicate it when NetSuite asks.
- Time columns on consolidated reports. Oracle advises against time-related values in View Columns By when the Subsidiary Context is Subsidiary (Consolidated) (Oracle, Edit Columns Page, no date shown).
- Custom sort stops working. If a grouping list has more than 200 records, NetSuite truncates it and custom sort order is not supported (Oracle, Editing a Financial Statement Section, no date shown).
Reporting performance issues and fixes
Reports cut off. NetSuite truncates report results above 100,000 database rows when run on demand and 1,000,000 rows when run in the background, which includes scheduled, emailed and exported reports. Oracle suggests tighter filters, a saved search, which has no row limit, or SuiteAnalytics Connect (Oracle, Row Limitations for Report Results, no date shown).
Slow searches and reports. Oracle recommends limiting the date range, avoiding system notes in searches, and replacing the “contains” condition with “starts with” or “has keywords.” Schedule long searches and reports, and do not rerun a slow report while the first run is still going (Oracle, Optimize Search and Performance Reporting, no date shown). For searches that stay abnormally slow, the Application Performance Management SuiteApp has Search Performance Analysis and Search Performance Details dashboards (Oracle, Analyzing Search Performance, no date shown).
Workbook numbers that look stale. Pivot tables and charts use cached data refreshed after 60 minutes of inactivity. Check the last refresh time in the upper-right corner of the viewer and click Refresh for current data (Oracle, Data Caching in Pivot Tables and Charts, no date shown). The optional Cached Data in Datasets feature extends caching to datasets, with refreshes anywhere from every hour to every 24 hours depending on account usage, so keep Real-time Response for close-week reporting (Oracle, Optimized Data Refresh, no date shown).
Limitations of native NetSuite reporting
The Financial Report Builder has no Allow Web Query option, so you cannot link a custom financial statement live into Excel the way reports customized in the Report Builder allow (Oracle, Financial Report Builder Interface, no date shown). The 30-column cap and row limits constrain wide multi-period packs, and you cannot yet edit how datasets are linked in the Workbook interface (Oracle, SuiteAnalytics Workbook Overview, no date shown). For a broader view of NetSuite’s strengths and gaps, see our NetSuite review.
When companies add a third-party tool
Companies add a tool when finance wants live Excel packs, blended data from other systems, or long history. SuiteAnalytics Connect exposes a subset of NetSuite tables to Excel and BI tools through ODBC, JDBC or ADO.NET drivers and requires the SuiteAnalytics Connect feature (Oracle, Alternatives to Reports, no date shown). Zone & Co, which sells NetSuite reporting add-ons, lists Excel tools such as Solution 7 and Jet Reports and FP&A platforms such as Vena and Planful, with no published prices (Zone & Co, October 29, 2026).

Frequently asked questions
What is the difference between a NetSuite report and a saved search?
A report gives formatted output such as an income statement, with drill-down to general ledger detail. A saved search returns a list of records with your own criteria, formulas and totals, and can email alerts on a schedule, but it offers less presentation formatting.
Can you build a P&L by department in NetSuite without customization?
Yes, for a one-off view. Run Reports > Financial > Income Statement and choose Department in the footer Column list. The choice is not saved, so for a recurring report, customize the statement in the Financial Report Builder and set View Columns By to department.
Is SuiteAnalytics Workbook included with NetSuite?
Oracle states that SuiteAnalytics Workbook is enabled by default in all NetSuite accounts. Administrators can confirm it at Setup > Company > Enable Features on the Analytics subtab. Custom roles need the SuiteAnalytics Workbook permission before users can build workbooks.
Why does my NetSuite report say the results are too large?
Reports are cut off above 100,000 database rows when run on demand. Background runs, including scheduled, emailed and exported reports, allow up to 1,000,000 rows. Narrow the filters, schedule the report, or rebuild the output as a saved search, which has no row limit.
