NetSuite Administrator: Responsibilities, Skills and When You Need One Full-Time

NetSuite Administrator: Responsibilities, Skills and When You Need One Full-Time

Last updated: November 3, 2026 · Independent guide · We do not sell rankings or coverage.

A NetSuite administrator is the person who owns the day-to-day configuration, security and upkeep of a company’s NetSuite account: users, roles and permissions, saved searches, workflows, data quality, release testing and sandbox refreshes. Oracle’s own documentation describes the job as overseeing initial setup and managing ongoing administration, and says the person in it uses the Administrator role. Most companies on NetSuite need someone in this seat, but many do not need that person full-time.

What a NetSuite administrator is

Oracle lists the tasks as account maintenance, configuration, user support and training, reporting, data-quality audits, and testing customizations and releases (Oracle NetSuite Account Administration). In practice the work falls into five areas.

  • Roles and permissions. The standard Administrator role has full access to every page and task. Oracle recommends keeping that group small but naming at least two administrators, so someone can cover absences and departures, and reviewing their activity through system notes (Oracle, The Administrator Role). Custom roles for everyone else are the basis of segregation of duties.
  • Saved searches and reports. Most reporting requests land on the admin as saved searches and dashboards.
  • Workflows. SuiteFlow lets the admin automate approvals and record handling on standard or custom records, built in the Workflow Manager at Customization > Workflow > Workflows (Oracle SuiteFlow Overview).
  • Releases. NetSuite ships two major releases a year and upgrades customers in phases over a few months (Oracle Release Delivery). A user with the Administrator role requests a Release Preview account at Setup > Company > Release Preview; it takes about 5 to 7 calendar days to create and is purged after 14 days without a login (Oracle, Overview of Release Preview).
  • Sandbox refreshes. A refresh, requested at Setup > Company > Sandbox Accounts, copies production and replaces the old sandbox when activated. Sandbox work done during the refresh is lost, an unactivated copy is deleted after 14 days, and a refresh still running when the upgrade starts will fail (Oracle, Requesting a Refresh).

Skill levels and salary ranges

The role ranges from an “accidental admin” in finance to a senior administrator running OneWorld subsidiaries and integrations. Oracle’s formal credential is the Administrator Professional certification (NetSuite Certification Resource Center); Professional-level exams cost $245 per attempt on NetSuite’s certification store, checked November 3, 2026 (NetSuite certification exams).

Folio3, a partner that sells managed services, estimates a full-time hire’s first-year cost at $151,000 to $202,000 including benefits, taxes and recruiting (Folio3).

Example: sizing the role (illustration)

Consider a distributor with 60 users, one subsidiary and two integrations. In a normal month the admin changes users and roles, clears integration errors, builds a few saved searches and supports month-end close, with a spike twice a year for release testing. KORE1 puts a profile like this in a 30 to 40 hour per month retainer and says a clean single-subsidiary account can run on about 8 to 15 hours a month in steady state (KORE1, Fractional NetSuite Administrator Staffing). Add two subsidiaries and a WMS rollout and a full-time seat starts to make sense.

When you need a full-time admin, and when part-time is enough

KORE1, which sells both permanent and fractional placements, says a permanent hire is almost always the better economics at 100 or more hours of work a month, and that past roughly 150 users routine user support alone starts to eat a fractional retainer (KORE1). Multiple subsidiaries, heavy customization, a steady ticket queue or an acquisition all point to a full-time hire. A part-time admin or NetSuite managed services plan is usually enough when you run one subsidiary, have stable processes and change little between releases.

A single full-time admin is a key-person risk. A managed service gives you a team but slower turnaround on small requests and less knowledge of your business. A common middle path is one trained internal super user plus hours from a partner, often your implementer (see NetSuite implementation partners). Oracle’s own Advanced Customer Support tiers are another option; NetSuite does not publish their prices (NetSuite, support levels).

Frequently asked questions

Do I need a NetSuite administrator if I have fewer than 50 users?

You need someone who owns changes, but rarely a full-time person. A trained finance user plus a partner retainer can usually cover user changes, searches and release testing at that size.

How much does a NetSuite administrator make in the US?

ZipRecruiter showed an average of $110,278 as of June 12, 2026, with most salaries between $78,000 and $139,000. KORE1 reported a median of $118,000 across its recent placements.

Is a NetSuite administrator the same as a NetSuite developer?

No. An administrator configures the account with point-and-click tools such as roles, saved searches and SuiteFlow. A developer writes SuiteScript and builds integrations.

What does a NetSuite admin do during a release?

The admin requests a Release Preview account and tests the company’s existing processes and customizations before the production upgrade. Oracle says the aim is to test current workflows, not new features.
