QuickBooks to Sage Intacct Migration: Planning the Move

Last updated: October 7, 2026 · Independent guide · We do not sell rankings or coverage.
A QuickBooks to Sage Intacct migration usually moves your chart of accounts, customer and vendor lists, opening balances and open AR and AP items, rather than every historical transaction. You redesign the chart of accounts around Intacct dimensions, load the data through the Company Setup Checklist import templates, and cut over at a month-end or year-end. Implementation firms publish timelines of three to nine months and fees from about $12,000 to $150,000; Sage does not publish Intacct prices.
The steps below follow the order an administrator or partner works in, and every menu path comes from Sage Intacct’s own help documentation as checked on October 7, 2026.
Before you start
- Subscription and modules. Import tools sit in the Company subscription. Some dimensions need their own module: Warehouse needs Inventory, Contract needs Contracts, and Affiliate entity needs multi-entity with Consolidation (Sage Intacct, Dimensions overview, October 1, 2026).
- User type and permissions. The person running imports needs a Business user with the Company Setup Checklist: Run permission (Sage Intacct, Import data during company setup, October 1, 2026). Bill imports need Bills: List, View, Edit, Add and Post (Sage Intacct, CSV import: Bills, October 1, 2026).
- A partner. Sage describes Intacct as a partner-led product, with business partners handling purchase, implementation and customization (Sage, Sage Intacct partners, no date shown).
- Your QuickBooks exports. In QuickBooks Online, Settings > Export data exports reports and lists to Excel in one .zip file; estimates and purchase orders export separately (Intuit, Export reports, lists and more, August 3, 2026).
What a migration costs and how long it takes
Sage does not publish Sage Intacct prices. Its pricing page says plans are built from the modules you choose and depend on your industry and size, and it asks you to request a quote (Sage, Sage Intacct pricing, no date shown). The figures below come from firms that sell Intacct implementation services.
| Source (sells services) | Subscription figure | Implementation figure | Date shown |
|---|---|---|---|
| RKL eSolutions | About $12,000 a year minimum; about $33,000 for 3 entities and 5 business users | $12,000 to $15,000 minimum; $35,000 to $50,000 for the 3-entity example | August 2026 |
| Rand Group | From $9,000 a year; about $20,000 for a typical small organization | $25,000 to $150,000 | April 20, 2026 |
| Sage | Not published | Not published | No date shown |

Published timelines vary by firm. CLA, which sells Intacct implementation, says implementation typically takes three to six months (CLA, no date shown). SWK Technologies, also a seller of these services, says QuickBooks migration projects typically take six to nine months of preparation and that QuickBooks Online projects may need more export work (SWK Technologies, September 5, 2025). Our guide to total cost of ownership for accounting software shows how to model multi-year costs.
Step 1: Set the cutover date and decide how much history moves
Pick a period end for go-live. SWK recommends year-end where possible and month-end as the minimum, and suggests keeping 12 to 24 months of detail and leaving older history in QuickBooks (SWK Technologies, September 5, 2025).
Your history decision drives the opening balance date. Sage says the “Balance as of” date is typically the day after you close your old system. If you choose an earlier date to get comparative statements, you must post journal entries for the ending balances of every period between that date and your start date (Sage Intacct, CSV import: Account beginning balances, October 1, 2026).
Plan for QuickBooks access after cutover. Intuit says a cancelled paid QuickBooks Online subscription stays available read-only for one year, and data can be exported during that year (Intuit, August 5, 2026). On QuickBooks Desktop, Insightful Accountant reports that Intuit sunset all 2023 versions on May 31, 2026, after which access to support and connected services such as online banking is likely to be limited or unavailable (Insightful Accountant, May 6, 2026), so keep a backup and archived reports.
Step 2: Map the QuickBooks structure to Intacct dimensions
Intacct treats dimensions as tags, so one transaction can carry several dimension values at the same time, such as a department, location, class, project, customer and vendor (Sage Intacct, Dimensions overview, October 1, 2026). QuickBooks Online Plus and Advanced offer class tracking per transaction or per line (Intuit, August 3, 2026). Use the table below as a starting point for your design workshop.
| In QuickBooks | Usual Intacct target | What to decide |
|---|---|---|
| Sub-accounts per department or program | One GL account plus the Department dimension | Which accounts collapse, and the crosswalk from old to new numbers |
| Classes | Class, Department, Project or a user-defined dimension | What the class list really tracks (funds, programs, product lines) |
| Locations | Location dimension, or an entity in a multi-entity company | Whether each location needs its own balance sheet |
| Separate QuickBooks company files | Entities in one Intacct company | Entity IDs, which Sage says are permanent |
Two rules from Sage’s documentation matter at migration time. You cannot deactivate a dimension after a transaction has used it, and user-defined dimensions can carry additional fees, so confirm them with your account representative before you build import files (Sage Intacct, October 1, 2026). Nonprofits that used classes for funds or grants should also read our guide to Sage Intacct for nonprofits.
Step 3: Create entities and journals
If you are combining several QuickBooks files, go to Company > Setup > Configuration and select Add next to Entities. The entity ID cannot be changed later (Sage Intacct, Add an entity, October 1, 2026). See our article on multi-entity accounting in ERP for the wider design questions.
Then set up the AP and AR journals under Company > Admin > Subscriptions. Sage says these journals must exist before you upload bills or invoices (Sage Intacct, CSV import: Bills, October 1, 2026).
Step 4: Import the chart of accounts and dimension values
Go to Company > Setup > Configuration > Import data to open the Company Setup Checklist, download the chart of accounts template and fill it in. Each account needs a number, title, normal balance, account type and closing type, and the template marks the account number field as not editable (Sage Intacct, CSV import: Chart of accounts, October 1, 2026).
Import dimension values next, parents before children. Sage warns that a child record pointing to a missing parent fails to import (Sage Intacct, October 1, 2026). Checklist templates include your active dimensions and custom fields, so download them only after dimensions are set up (Sage Intacct, Download a CSV import template, October 1, 2026).
Step 5: Import customers, vendors and other master data
From the same checklist, select Template on the Vendors and Customers lines, then Import. For large files, choose Process offline and enter an email address for results (Sage Intacct, October 1, 2026). Merge duplicates in QuickBooks first, and keep a crosswalk from QuickBooks names to Intacct IDs for the Step 7 files.
Step 6: Load opening balances
The account beginning balances template on the checklist loads balances into one journal per file, with optional department and location columns (Sage Intacct, October 1, 2026). Monthly comparative balances go through General Ledger > All > Journal entries and Import, where an unbalanced entry rejects the whole file (Sage Intacct, CSV import: General Ledger journal entries, October 1, 2026).
Illustration (constructed numbers): a company cuts over on December 31, 2026 and goes live January 1, 2027. Its QuickBooks trial balance shows AR of $412,000, AP of $186,000 and cash of $95,000. The opening balance file is dated January 1, 2027, and those amounts must tie to the agings and bank reconciliation in Steps 7 and 8.
Step 7: Load open AR invoices and AP bills in historical mode
For bills, go to Accounts Payable > All > Bills and select Import. Choose historical mode for bills whose balances are already in your opening balances: historical transactions post to the subledger but not to the GL, and a payment later applied to them updates both (Sage Intacct, October 1, 2026). AR invoices work the same way from the invoice list Import menu (Sage Intacct, Import invoices, October 1, 2026).
Before you build these files, reconcile the QuickBooks aging reports to the AR and AP control accounts. RKL eSolutions asks for that reconciliation before it collects each item’s number, Intacct ID, date, amount and due date (RKL eSolutions, May 20, 2025). Import only the unpaid portion. Deleting an imported bill requires Sage Intacct Support.
Step 8: Set up bank reconciliation starting points
Go to Cash Management > All > Reconciliation > Bank, select the account, and enter a beginning balance cut-off date, usually the day before the first statement period. Then use Initial open items to enter checks and deposits still outstanding in QuickBooks (Sage Intacct, Reconcile an account for the first time, October 1, 2026).
Step 9: Validate, freeze QuickBooks and close the conversion period
Compare the Intacct trial balance and agings with QuickBooks as of the cutover date. SWK describes a final cutover that freezes QuickBooks, loads final balances and open items, and ends with sign-off on a reconciliation packet (SWK Technologies, September 5, 2025).
Once the numbers tie, close the converted periods at General Ledger > All > Books > Close. Closing blocks posting to earlier dates in every application (Sage Intacct, Close books, October 1, 2026).
Common mistakes and how to fix them
- Open items imported in live mode. If opening balances already include AR and AP, live-mode invoices or bills post the same amounts again and the control accounts double. Reverse the duplicate and reload in historical mode.
- Wrong opening balance date. Sage says you can clear imported transactions through the Company Setup Checklist and start again if the starting date is wrong (Sage Intacct, October 1, 2026). Do this before users start posting live activity.
- Old templates. Sage says templates can change with each release, so download a new one for every load.
- Aging that does not tie to the GL. Fix differences, such as unapplied credits, in QuickBooks before export.
Limitations of the native import tools
The CSV import is file based. One error rejects the whole bill file, some bill fields such as recommended payment date and payment priority cannot be imported, and the help pages we reviewed describe no direct QuickBooks connector (Sage Intacct, October 1, 2026). Sage’s setup page refers migration questions to your account manager (Sage Intacct, October 1, 2026). Most transformation work, such as the account crosswalk, therefore happens in spreadsheets.
When companies add a third-party tool
Third-party products usually enter around the migration rather than in the data load itself. AP automation is a common example: MineralTree, which sells AP automation for Sage Intacct, says its product can be tested in a Sage Intacct sandbox before go-live (MineralTree, March 7, 2024). Payroll, CRM and expense apps connected to QuickBooks each need a replacement connector, so include them in testing.
How we researched this
We read Sage Intacct’s US help documentation for each step on October 7, 2026, and recorded the last-modified date each page shows. We checked Intuit’s US help pages and reviewed the top-ranking migration articles from MineralTree, SWK Technologies, PKF, Greytrix and Baker Tilly. Cost and timeline figures come only from firms that publish them, and those firms sell implementation services.

Frequently asked questions
How long does a QuickBooks to Sage Intacct migration take?
Published estimates from implementation firms range from three to six months (CLA) to six to nine months of preparation (SWK Technologies). Entities, history and integrations drive the length.
Can I bring all my QuickBooks transaction history into Sage Intacct?
You can, but most projects move opening balances, open AR and AP, and monthly balances for comparatives. Keep older detail in exported reports, because Intuit keeps a cancelled QuickBooks Online subscription readable for only one year.
What happens to my QuickBooks classes in Sage Intacct?
Classes usually become a Class, Department, Project or user-defined dimension, depending on what they track. Decide before you build import templates, because a dimension cannot be deactivated once a transaction uses it.
How much does it cost to move from QuickBooks to Sage Intacct?
Sage does not publish prices. Firms that sell Intacct implementation publish entry-level subscriptions of about $9,000 to $12,000 a year and implementation from about $12,000 to $150,000. Ask each quote to state exactly what data is migrated.
When is the best time to cut over from QuickBooks?
Year-end is cleanest because there are no mid-year comparatives to rebuild. A month-end cutover works if you load monthly balances for the year to date.
