Sage Intacct Dimensions Explained: How to Design Them for Reporting

Last updated: October 7, 2026 · Independent guide · We do not sell rankings or coverage.
Sage Intacct dimensions are tags you attach to every transaction line, such as department, location, customer, project or a field you define yourself, so you can report on the business without creating a separate general ledger account for every combination. Sage describes them as “a more powerful alternative to subaccounts” and describes a flat chart of accounts, with subtotals and totals created through account groups (Sage Intacct Help, October 1, 2026). Good design means choosing a small set of dimensions that answer the questions your board, funders or investors ask, then enforcing them with required fields and relationships so the data stays clean.
Before you start
- Subscriptions. Sage’s overview lists no extra subscription for Class, Customer, Department, Employee, Item, Location or Vendor. Others depend on modules: Warehouse needs Inventory, Contract needs Contracts, Asset comes with Fixed Assets Management, and Affiliate entity needs a multi-entity environment plus Consolidation (Sage Intacct Help, October 1, 2026).
- Platform Services for user-defined dimensions. Your company must be platform-enabled, and you need Platform Services and General Ledger permissions plus a custom application to host the dimension. Sage says additional fees might apply for user-defined dimensions and does not publish the price, so ask your account representative (Sage Intacct Help, September 17, 2026).
- User type and role. Creating user-defined dimensions and dimension relationships requires a business user with admin privileges (Sage Intacct Help, October 1, 2026; Sage Intacct Help, October 1, 2026).
- A reporting map. List the reports you must produce and the field each one slices by. Every dimension should trace back to that list.
Standard vs user-defined dimensions
Standard dimensions are built into Sage Intacct and already connected to the modules that use them. Sage’s US help lists Affiliate entity, Asset, Class, Contract, Cost type, Customer, Department, Employee, Item, Location, Project, Task, Vendor and Warehouse (Sage Intacct Help, October 1, 2026). Use a standard dimension whenever one fits.
User-defined dimensions (UDDs) are objects you create for anything the standard list does not cover. Sage’s own examples are a “Line of Business” dimension with values such as Direct customers, Channel partners and OEM, and a “Facility” dimension with Hospital, Day Care and Residential. Once deployed, a UDD works like a standard dimension in reports (Sage Intacct Help, October 1, 2026).
| Question | Standard dimension | User-defined dimension |
|---|---|---|
| Extra subscription | Only for module-linked ones (Warehouse, Contract, Asset, Affiliate entity, Task, Cost type) | Platform Services; fees may apply, price not published |
| Built-in module logic | Yes (for example, Project logic overrides relationships) | No; you add custom fields and relationships |
| Rename to your terms | Yes, through Terminology (for example, Customer to Client) | You name it when you create it |
| Can be deactivated after use | No; values can be set to Active non-posting | Views can be set to reporting only, so no new transactions post to it |
How dimensions replace a long chart of accounts
In a segmented ledger, “Payroll, Marketing, Chicago” is its own account. Sage Intacct keeps one Payroll expense account and stores Marketing and Chicago as dimension values on the line, so there is “no need for duplicate accounts with different combinations of departments and locations.” Subtotals and statement layout come from account groups, and one account can sit in several groups (Sage Intacct Help, October 1, 2026).
Illustration: a company with 40 expense accounts, 6 departments and 5 locations would need up to 1,200 expense account combinations in a fully segmented chart. With dimensions it keeps 40 accounts and 11 dimension values, and any new department adds one value instead of 200 accounts.
If a proposed account differs from an existing one only by who, where or which program, make it a dimension value instead.
Design examples by organization type
The table shows illustrative starting designs, not Sage templates.
| Reporting need | Nonprofit | SaaS company | Multi-entity group |
|---|---|---|---|
| Legal or reporting unit | Location (entity or site) | Location (entity) | Location (entities as top level) |
| Function or cost center | Department (program, management and general, fundraising) | Department (R&D, sales, G&A, customer success) | Department, shared across entities |
| Restriction or revenue stream | Class for donor restriction | Item for product line; Contract for subscriptions | Class or a Line of Business UDD |
| Award or engagement | Project for grant or funding source | Customer, plus Project for implementations | Project, created at top level if shared |
Nonprofit. Sage markets the nonprofit configuration around tagging transactions “by donor, program, grant, location, and more” without separate GL accounts (Sage nonprofit buyer’s checklist, 2025). RSM’s Sage Intacct practice recommends Class for the restriction dimension and Project for the funding source when you use restriction release, so revenue and expenses carry the same funding source and the system can match them (RSM, June 30, 2025). Purpose-based restriction release is only available to organizations created with the Nonprofit QuickStart (Sage Intacct Help, October 1, 2026). Our guide to the de minimis indirect cost rate shows why the cost base depends on clean grant tagging, and our Sage Intacct for nonprofits review covers pricing.
SaaS. Sage’s Contracts application handles billing schedules and ASC 606 revenue recognition and lets you “use Contract as a standard dimension” (Sage Intacct Help, October 1, 2026). Use Item for product line and Customer for customer profitability rather than building revenue accounts per product. Our guide to SaaS subscription revenue accounting covers the recognition side.
Multi-entity. When you upgrade to multi-entity, each new entity is added to the location dimension, and locations in a shared company need a parent ID (Sage Intacct Help, October 1, 2026). Locations are entity-private while departments are shared among entities, so design departments once at the top level (Sage Intacct Help, October 1, 2026). For the difference between locations and legal entities, see our guide to accounting software for multi-location businesses.
Step-by-step setup
1. Enable, order and balance the standard dimensions
Go to General Ledger > Setup > Configuration and use the Dimension settings section to enable the dimensions you plan to use and drag them into display order. Select Enforce balancing for any dimension that must balance on both sides of an entry; multi-entity companies get this automatically for Location. A dimension cannot be deactivated once it has been used in a transaction (Sage Intacct Help, October 1, 2026).
2. Rename dimensions to your own terms
Go to Company > Setup > Settings and select Terminology, for example to change Customer to Client. Online help, field help and CSV templates keep the original names (Sage Intacct Help, October 1, 2026).
3. Add values and build hierarchies
Go to Reports > Setup > Dimensions and select Add next to Departments (or another dimension). Use the Parent field to place each value in a hierarchy (Sage Intacct Help, October 1, 2026). Set summary parents to Active non-posting so nobody posts to them directly, and add the posting values as children (Sage Intacct Help, October 1, 2026).
4. Create user-defined dimensions
Go to General Ledger > Setup > Configuration, open Advanced GL options, then User-defined dimensions, and select Add. Enter the singular name and choose options such as Enforce journal entry balancing, Autofill related objects and, for multi-entity companies, Limit record availability to the creating entity. Deploy it to your user-defined dimension application, then go to Company > Roles to grant permissions and to Platform Services > All to add a menu (Sage Intacct Help, October 1, 2026). Avoid the words restriction, event, events and log in the name, which Sage warns can cause integration issues (Sage Intacct Help, September 17, 2026).
5. Require dimensions on the accounts that need them
Go to General Ledger > All and select Add beside General Ledger Accounts, or edit an existing account. In the required dimensions section, select the dimensions every entry to that account must carry (Sage Intacct Help, October 1, 2026). If you produce a statement of functional expenses or a departmental P&L, requiring Department on expense accounts makes sure every expense line carries a function.
6. Set up dimension relationships
In General Ledger > Setup > Configuration, the Advanced GL options include a Dimension relationships table with Autofill, Priority order, Override and Restricted value list settings, plus the option to enable filtered dropdown lists (Sage Intacct Help, October 1, 2026). In Sage’s example, selecting account 6230-Advertising autofills the Corporate Marketing department (Sage Intacct Help, October 1, 2026).
7. Build dimension groups for reports
Go to Reports > Setup > Dimension groups and select Add next to the dimension. Choose All members with filters where you can, because Sage strongly recommends it so new values join automatically, and select Dimension structure if the group should appear as report rows or columns (Sage Intacct Help, September 25, 2026).
Common mistakes and how to fix them
- Too many dimensions on day one. Each one is another field for every clerk and approver, and it cannot be deactivated after use. Start with what your reporting map needs.
- Rebuilding the old chart inside dimensions. Teams sometimes create a department for every old account suffix. Map each old segment to one dimension or to account groups instead, following Sage’s flat chart approach.
- Treating relationships as controls. Sage says relationships are “a way to assist data entry by prefilling entries and not an actual control mechanism” (Sage Intacct Help, October 1, 2026). Use required dimensions on accounts, Enforce balancing and approvals for control.
- Required dimensions that integrations do not send. If an account requires Department and a connected app omits it, the export fails with errors such as “The account number ‘5280’ requires a Department”. The fix is to send the value from the source app or clear the requirement on the account (Fyle help center, August 18, 2026; Fyle, now Sage Expense Management, sells expense software).
Limitations of the native feature
- User-defined dimensions require Platform Services and may carry extra fees that Sage does not publish (Sage Intacct Help, September 17, 2026).
- Some pages accept only certain dimensions. Advanced Consolidations, for example, supports Department and Location only (Sage Intacct Help, October 1, 2026).
- Packages with standard-to-standard relationships cannot be exported or imported, so you recreate those relationships by hand in each company. GL account relationships do not apply in Order Entry, Purchasing or Inventory (Sage Intacct Help, October 1, 2026).
- Entity restrictions apply to customers, vendors and checking and savings accounts. Departments are shared across entities, and access to them is limited through user permissions rather than entity restrictions (Sage Intacct Help, October 1, 2026).
When companies add a third-party tool
Third-party tools enter when data originates elsewhere. AP automation, expense and payroll systems must send the dimension values your accounts require, and FP&A tools must import your hierarchies to budget at the same level. Before connecting any tool, confirm which standard and user-defined dimensions it syncs.
How we researched this
We read Sage Intacct’s own help pages on dimensions, user-defined dimensions, relationships, dimension groups, terminology, GL configuration, accounts and multi-entity data sharing, all checked on October 7, 2026. We also reviewed the top search results, which mostly explain what dimensions are without menu paths, design examples or Sage’s documented limits. We do not sell Sage Intacct or implementation services.

Frequently asked questions
How many user-defined dimensions can I create in Sage Intacct?
Sage’s help pages do not state a numeric limit. They do say additional fees might apply and that your company must be platform-enabled. Ask your account representative for the count and price in your contract.
Can I delete or turn off a dimension after I start using it?
No. Sage states you cannot deactivate a dimension after it has been used in a transaction. You can set individual values to inactive or Active non-posting, and deactivated values still roll up in hierarchy reports.
Should a nonprofit use Class or a user-defined dimension for funds?
Class is a standard dimension, so using it for donor restriction avoids the Platform Services requirement and fees that apply to user-defined dimensions. RSM recommends Class for restriction and Project for funding source when using Sage’s restriction release. Do not name a user-defined dimension “Restriction”, since Sage warns that word can cause integration issues.
How do entities work as dimensions in a multi-entity company?
Each entity is added to the Location dimension, so a transaction’s location identifies the entity. Locations are private to their entity while departments are shared. Sage also offers an Affiliate entity dimension for multi-entity companies that subscribe to Consolidation.
