Sage Intacct Bank Reconciliation: Bank Feeds, Matching Rules and Month-End Steps

Last updated: October 16, 2026 · Independent guide · We do not sell rankings or coverage.
Sage Intacct bank reconciliation runs in Cash Management: bank activity arrives through a bank feed or file import, a rule set matches it to Intacct transactions, you clear the rest by hand, and you select Reconcile when the amount to reconcile reaches zero. The steps below follow the order an administrator works in, with menu paths taken from Sage’s help center in October 2026.
Before you start
- Subscription: Cash Management, available in all regions for Business users (Sage Intacct, October 8, 2026).
- Sage Cloud Services: needed for bank feeds and file import. Sage says the first 200 connected accounts are free (Sage Intacct, About bank feeds, October 8, 2026).
- A production company and an admin business user with Add, Edit, View and List on checking, savings and credit card accounts. Feeds do not connect in demo or implementation companies for Australian and UK banks.
- Bank access: confirm your bank allows third-party data sharing. Token logins are not supported.
- Your last reconciled statement and its list of outstanding checks and deposits.
Sage does not publish Intacct list prices; our Sage Intacct review covers what buyers report paying.
Step 1: Enable Sage Cloud Services
Go to Company > Admin > Subscriptions, toggle Sage Cloud Services, select Subscribe (or Configure), confirm company details, select Enable bank feeds and save (Sage Intacct, Enable bank feeds, October 8, 2026). To import files, also select Enable Bank transaction assistant file import (Sage Intacct, Import bank files, October 8, 2026). Sage says subscribing at the top level subscribes all entities, and an entity added later must be enabled from inside that entity. CLA, a Sage Intacct services firm, notes Sage Cloud Services must be enabled at the top level (CLA, February 19, 2026).
Step 2: Connect a bank feed or set up file import
Bank feed
Go to Cash Management > All (or Setup > Accounts), pick the account type and edit the account. On the Banking cloud tab, select Connect, find your bank, select Agree and Connect Bank, log in, choose the account and set a start date (Sage Intacct, About bank feeds).
The start date can be set only once. Sage suggests either the day after your last reconciliation or the first day of the current month. Choose the day after your last reconciliation, or you will pull in items you have already cleared. Banks typically supply up to 90 days of history, and first transactions can take up to five business days to arrive.
Standard connections suit retail or basic business accounts; Sage says their reliability can be poor. Premium connections through AccessPay suit commercial accounts and carry an AccessPay fee and possible bank SWIFT fees, which Sage does not publish.
File import
Go to Cash Management > All > Transactions and select Add next to Bank transaction import files. Choose the account, upload the file, select Review transactions, set the date order, check Money in and Money out (use Switch transaction types if signs are reversed) and select Confirm import.
Do not use the classic import on a feed-connected account. Sage warns that a classic CSV or QIF import unmatches and removes unreconciled feed transactions (Sage Intacct, Soft or daily reconciliation, September 3, 2026).
Step 3: Assign permissions and separate duties
Sage suggests a bookkeeper matches, a staff accountant records the reconciliation and a controller views the reports (Sage Intacct, About reconciling, October 8, 2026). These Cash Management permissions enforce that split.
| Task | Permission object | Rights | Suggested role |
|---|---|---|---|
| Match manually | Reconcile bank / credit card | List, View, Add, Edit, Delete | Bookkeeper |
| Finalize | Reconcile bank / credit card | Reconcile | Staff accountant |
| View history reports | Reconcile bank / credit card | Report, List | Controller |
| Reopen | Reconcile bank / credit card | Report, Reopen | Controller only |
| Build rules | Bank transaction rules; rule sets | List, View, Add, Edit, Delete | Administrator |
Permission names are from Sage Intacct, Bank reconciliation permissions, October 8, 2026; the role column is our suggestion.
Step 4: Build matching and creation rules
Matching rules pair bank lines with existing Intacct transactions. Creation rules create journal entries or credit card transactions, the only two types supported, for bank lines with nothing to match (Sage Intacct, About rules and rule sets, October 8, 2026). Sage describes matching rules 1 to 5 running narrowest to widest, then creation rules 6 to 9. Amount is required in every matching rule.
| Rule | Amount | Document number | Date |
|---|---|---|---|
| Matching 1 and 2 | Yes | Yes | Exact |
| Matching 3 | Yes | Yes | Within 3 days |
| Matching 4 | Yes | No | Exact |
| Matching 5 | Yes | No | Within 3 days |
| Creation 6 to 9 | Required posting date filter plus description or other filters; creates a transaction from a template | ||
For recurring bank-only items such as service charges, go to Cash Management > Setup > Reconciliation rules and select Add next to Matching and creation rules. Set Type to Create rule, add the required filter (Bank transactions, Posting date, Is greater than, your start date), add a description filter, set Transaction type to Journal entry, choose a transaction template and save (Sage Intacct, Creation rules for journal entries, October 1, 2026). The Equals operator is case sensitive. A rule used to match transactions cannot be deleted, only made inactive, and edits affect only future transactions (Sage Intacct, About rules and rule sets).
Step 5: Apply the rule set to each account
Go to Cash Management > Setup > Reconciliation rules > Rule sets, edit the rule set, choose Select accounts on the Accounts tab, select Add and close and save. Or edit the account and set Applied rule set on its Details tab. Each account takes one rule set, created at the same level as the account. You cannot reconcile a feed or import account until it has a rule set (Sage Intacct, About rules and rule sets).
Step 6: Run the first reconciliation
Go to Cash Management > All > Reconciliation > Bank (or Credit card), select the account and enter the beginning balance cut-off date, usually the day before the statement period: April 30 for a May statement (Sage Intacct, Reconcile for the first time, October 8, 2026). Use Initial open items to enter prior outstanding checks and deposits; they do not post to the GL. After you enter the statement date and balance, check that the AUTO ENTRY line equals the GL balance at the cut-off, then select it and AUTO CONTRA and choose Clear transactions.
Step 7: Match during the month
Rules run when you open the reconciliation page, import a file or receive feed transactions, and every four hours (Sage Intacct, About rules and rule sets). Sage calls reconciling through the month a daily or soft reconciliation, and progress saves when you leave the page (Sage Intacct, Soft or daily reconciliation). Weekly matching is the cadence our cash reconciliation guide recommends.
Step 8: Clear unmatched items
On the Bank or Intacct tab, select Match beside a transaction, select the items that make it up until “Remaining to match” is zero, and select Match (Sage Intacct, Match transactions, October 1, 2026).
- Bank-only items (fees, interest, returns): create the transaction, or add a creation rule if it recurs.
- Book-only items (outstanding checks, deposits in transit): leave open; they carry forward.
- Duplicates: ignore them on the reconciliation page or Bank transactions list.
- Wrong matches: unmatch; the rule then skips that item on later runs.
If journal entries need approval, creation rules produce drafts marked “Draft matched” that match only after approval (Sage Intacct, About rules and rule sets), so schedule approvals inside close week.
Step 9: Finalize, report and review
When Amount to reconcile is zero, a user with the Reconcile right selects Reconcile. Then go to Cash Management > All > Reconciliation > View reconciliation histories and select Reconciliation report. It lists cleared and open items with book, ending and uncleared balances, and exports to CSV, Excel or PDF (Sage Intacct, Reconciliation report, October 8, 2026). The Outstanding Items Report on the same list shows what has not cleared (Sage Intacct, Outstanding items report, October 8, 2026), and the Pending reconciliation report on the account list shows accounts still in progress (Sage Intacct, August 13, 2026).
Sage’s reconciliation pages do not describe a reviewer approval step. The control is the permission split plus a documented review: the controller ties the report to the statement and GL, follows up old outstanding items and records sign-off in the close checklist. Our general ledger reconciliation guide covers what that evidence should include.
Step 10: Close the period
Go to General Ledger > All > Books > Close, choose the period in To the end of period and select Close books. At the top level you can pick an entity or group; leaving it blank closes all entities. Closing blocks posting in every application before that date (Sage Intacct, Close books, October 8, 2026).
Multi-entity and foreign currency accounts
An account is reconciled where it was created: top-level accounts at the top level, entity accounts in their entity. To restrict accounts by entity, enable restrictions under Company > Admin > Subscriptions > Multi-Entity Management > Configure, then use the Restrictions tab on the account under Cash Management > Setup > Accounts (Sage Intacct, Reconciliation with entity restrictions, October 8, 2026). A user can reconcile a restricted account only if their access covers every entity on it. Turn on Enable user entity restrictions for bank accounts in Cash Management configuration to hide other entities’ histories from top-level users.
For foreign currency banks, record transactions in the bank’s currency only. A GL journal entry in another currency will not appear for reconciliation, and exchange differences are booked by GL journal entry (Sage Intacct, About reconciling).
Common mistakes and how to fix them
| Symptom | Likely cause | Fix |
|---|---|---|
| No new feed transactions | Normal delay or Auth required status | Wait up to five business days or reauthorize; do not disconnect |
| Gap older than 14 days | Intacct retries only 14 days | Fill it with Bank transaction assistant import |
| Matches vanished after import | Classic import on a feed account | Use Bank transaction assistant import and rematch |
| Transactions dated incorrectly | Banking cloud time zone | Set the banking cloud time zone |
| Creation rule items never match | Draft entries awaiting approval | Approve the drafts in General Ledger |
Sources: Sage Intacct, Missing bank feed transactions, October 1, 2026, and the rules page above. To correct a closed reconciliation, select Reopen in View reconciliation histories. Reopening cannot be undone, and you must re-reconcile that period and every later one (Sage Intacct, Reopen a reconciliation, October 8, 2026).
Limitations of the native feature
- Matching keys on amount, document number and date; description is only a filter, so varying payee text falls to manual matching.
- Creation rules cannot create customer receipts or vendor payments.
- Standard feeds can be unreliable, some banks require reauthorization, and loan, investment and line of credit accounts have limited feed support.
- No native reviewer sign-off step is documented for reconciliations.
When companies add a third-party tool
Companies with many accounts across entities often add a close tool for assignment, sign-off and evidence. FloQast says its integration automates tie-outs and alerts you to changes after sign-off (FloQast, no date shown), and BlackLine lists account reconciliations and task management for Sage Intacct (BlackLine, no date shown). Neither publishes pricing.
How we researched this
We read Sage Intacct’s help pages on reconciliation, feeds, rules, permissions, reports and closing books in October 2026 and took every menu path from them. We also reviewed the ranking pages from CLA, PKF Smith Cooper Systems, Truewind and Paystand, all of which sell Sage Intacct services or add-ons.

Frequently asked questions
Does Sage Intacct charge for bank feeds?
Sage says the first 200 accounts connected through Sage Cloud Services are free. Premium AccessPay connections carry provider and possible SWIFT fees that Sage does not publish.
Why are my bank feed transactions not matching?
Usually no rule set is applied to the account. Other causes are rules requiring a document number the bank does not send, dates more than three days apart, or creation rule drafts awaiting approval.
Can I reconcile an entity’s bank account from the top level?
No. Sage requires you to reconcile an account in the entity where it was created, and your entity access must cover every entity the account is restricted to.
How do I undo a bank reconciliation in Sage Intacct?
Select Reopen in Cash Management > All > Reconciliation > View reconciliation histories. You need the Report and Reopen rights, and you must re-reconcile that period and all later ones.
What should I give my auditor?
Export the reconciliation report for each account and period from View reconciliation histories, plus the outstanding items report for open items.
