Goods Received Not Invoiced (GRNI): Accrual, Reconciliation and ERP Setup

Last updated: October 7, 2026 · Independent guide · We do not sell rankings or coverage.
Goods received not invoiced (GRNI) is the liability you record for purchase order receipts your vendors have not yet billed. Your ERP credits the GRNI account when the warehouse posts a receipt and debits it when accounts payable matches the vendor invoice, so the balance at month end should equal the open, unmatched receipts at purchase order cost. When it does not, the cause is usually a price or quantity variance, a purchase order closed without matching or a journal entry posted directly to the account.
The GRNI rule and journal entries
In a perpetual inventory system you record the goods at the purchase order price when they are received and recognize a liability in a clearing account, which ERPs also call GR/IR clearing, inventory received not billed or purchase accrual. When the invoice arrives, the liability moves to accounts payable and any price difference goes to a variance account or to inventory, depending on your costing method.
| Account | Debit | Credit | Note |
|---|---|---|---|
| 1. Goods receipt | Posted by receiving | ||
| Inventory | Quantity received × PO price | Standard cost under standard costing | |
| GRNI (accrued liability) | Quantity received × PO price | Current liability until the invoice is matched | |
| 2. Invoice match | Posted by accounts payable | ||
| GRNI (accrued liability) | Quantity invoiced × PO price | Clears the receipt accrual line by line | |
| Purchase price variance (or inventory) | Invoice price minus PO price, if positive | If negative | Inventory under average or actual costing |
| Accounts payable | Invoice total | Amount owed to the vendor |
The GRNI general ledger balance should therefore equal the receipt lines not yet fully matched to an invoice, valued at the price used when they were received. Anything else is an error. Services and supplies that skip the receiving step never touch GRNI and need a separate accrual, which our guide to accrual accounting automation covers.
Worked example: one purchase order from receipt to invoice
Illustration (all figures constructed): a US distributor that uses standard costing issues a purchase order for 1,000 units at $12.00, which is also the item’s standard cost. The vendor short-ships and bills late.
Step 1, September 28: receipt. The receiver posts the full purchase order quantity of 1,000 units without counting. The ERP debits inventory and credits GRNI for 1,000 × $12.00 = $12,000.
Step 2, September 30: month end. No invoice has arrived. GRNI shows a $12,000 credit in current liabilities and the open receipts report shows $12,000, so the account reconciles. No reversing entry is needed.
Step 3, October 6: invoice. The vendor bills 980 units at $12.30, or $12,054, because 20 units were never shipped. The ERP debits GRNI for 980 × $12.00 = $11,760, debits purchase price variance for 980 × $0.30 = $294 and credits accounts payable for $12,054.
Step 4: the residue. GRNI still carries a $240 credit for 20 units that never arrived, and inventory is overstated by $240. Once receiving confirms the shortage, you correct the receipt quantity, which reverses $240 out of inventory and GRNI.
| Account | Debit | Credit | Note (illustrative) |
|---|---|---|---|
| Inventory | $12,000 | September 28 receipt, 1,000 units | |
| GRNI | $12,000 | September 28 receipt | |
| GRNI | $11,760 | October 6 invoice match, 980 units at PO price | |
| Purchase price variance | $294 | $0.30 over standard on 980 units | |
| Accounts payable | $12,054 | Vendor invoice total | |
| GRNI | $240 | Receipt correction for 20 units never delivered | |
| Inventory | $240 | Inventory now holds 980 units at $12.00 |
The GRNI balance for this purchase order is now zero: $12,000 credited, less $11,760 and $240 debited. Under average costing, the $294 would go to inventory instead of a variance account.
The rules behind GRNI
No US accounting standard or tax rule is named after GRNI. The account exists because you recognize goods when they become yours and the liability when you owe for them.
When the goods become yours. Under the Uniform Commercial Code, unless the parties explicitly agree otherwise, title passes at shipment if the contract does not require delivery at destination, and on tender at destination if it does (UCC § 2-401, Cornell LII, no date shown). Treasury regulations follow title for inventory: a purchaser should include merchandise “title to which has passed to him, although such merchandise is in transit” (26 CFR 1.471-1, eCFR, current as of October 5, 2026). Your ERP accrues at dock receipt, so goods bought FOB shipping point can belong on your balance sheet before any GRNI entry exists.
When you owe for them, for tax purposes. Under an accrual method, a liability is incurred in the taxable year in which “all the events have occurred that establish the fact of the liability,” the amount “can be determined with reasonable accuracy” and economic performance has occurred (26 CFR 1.461-1(a)(2)(i), eCFR, up to date as of October 6, 2026). For property provided to you, economic performance occurs “as the services or property is provided,” and you may treat property as provided when it is “delivered or accepted,” or when title passes, applied consistently as a method of accounting (26 CFR 1.461-4(d)(2)(i) and (d)(6)(iii), eCFR, up to date as of October 6, 2026).
Common mistakes
Assuming quantity and price will always agree. RSM, a NetSuite implementation firm, notes that the inventory received not billed account only nets to zero when the quantity and rate on the receipt and the bill are the same (RSM, March 3, 2020). SAP likewise says a quantity variance between goods receipt and invoice leaves a GR/IR balance that needs a maintenance posting (SAP Help, GR/IR Clearing Account Maintenance, no date shown).
Receiving the PO quantity instead of the counted quantity. As the worked example shows, this overstates inventory and GRNI until the receipt is corrected.
Closing purchase orders without matching. The accrual stays in the ledger but drops off the open receipts report, so the two no longer agree.
Posting manual journals to the clearing account. Freight accruals posted to GRNI have no receipt behind them and no invoice will clear them. Restrict manual posting to the account.
Ignoring goods in transit. If title has passed under FOB shipping point terms, book a separate in-transit accrual rather than waiting for the receipt.
Writing off without vendor confirmation. If an invoice arrives after a write-off, AP has nothing to match against. Get written confirmation that no invoice will follow.
How to report and reconcile GRNI
GRNI is a current liability, usually presented within accrued liabilities. For SEC registrants, Regulation S-X requires companies to “state separately, in the balance sheet or in a note thereto, any item in excess of 5 percent of total current liabilities” within other current liabilities (17 CFR 210.5-02, item 20, eCFR, current as of October 6, 2026), so a large GRNI balance may need its own line or note.
Reconcile the account every month:
- Run the open receipts report as of period end, after AP has posted all invoices dated in the period.
- Pull the general ledger detail and filter for sources other than receipts and matched invoices.
- List the reconciling items, such as manual entries, purchase orders closed without matching and invoices for quantities never received.
- Age open receipts in buckets of 0 to 30, 31 to 60, 61 to 90 and over 90 days, with a named owner for older items.
- Book supported corrections, get controller approval for write-offs above your threshold and keep the workpaper.
Decide in advance which account absorbs a write-off: usually purchase price variance under standard costing, and inventory or cost of goods sold under average costing. For the wider close calendar, see our guide to ERP for financial close, and for how standards drive the variance, see standard versus actual costing in ERP.
How ERP and accounting systems automate GRNI
Microsoft Dynamics 365 Business Central. Receipts post to the general ledger only when you select Expected Cost Posting to G/L, with Automatic Cost Posting, on the Inventory Setup page. A receipt then posts to interim accounts, including the Inventory Accrual Account (Interim), and on invoicing those entries reverse and any difference goes to the Direct Cost Applied account (Microsoft Learn, March 17, 2026). With it off, the ledger shows nothing until the invoice.
Oracle NetSuite. NetSuite lists Inventory Received Not Billed as a system account, and Accrued Purchases as the system account created by the Advanced Receiving feature (Oracle NetSuite Help, no date shown). RSM recommends a saved search that groups every transaction on the account by purchase order to find over-received and over-billed orders.
SAP S/4HANA. The Reconcile GR/IR Accounts app (F3302) builds a work list of open items with status, priority and processor and supports write-offs, and Monitor GR/IR Account Reconciliation (F3303) adds KPI dashboards. Machine learning proposals for next steps and root causes require a separate license (SAP Learning, no date shown).
Oracle Fusion Cloud SCM. For purchase orders not set to accrue at receipt, you run Create Uninvoiced Receipt Accruals between the AP and GL period closes, and Create Accrual Reversal Accounting reverses it on the first date of the next open GL period (Oracle, release 26A, February 19, 2026). Clearing rules clear part of the balance automatically, and you clear the rest on the Adjust Receipt Accrual Balances page (Oracle, release 25C, August 25, 2025).
How we researched this
We reviewed the pages ranking for “goods received not invoiced” in October 2026, mostly from AP automation vendors, and read documentation from Microsoft, Oracle and SAP alongside the Uniform Commercial Code, Treasury regulations and Regulation S-X. We used a partner source only where vendor documentation was silent. No vendor reviewed or paid for this article.

Frequently asked questions
Is GRNI a liability or an accrual?
It is both: an accrued liability for goods received but not yet billed, reported in current liabilities. It moves to accounts payable when the invoice is matched.
What is the difference between GRNI and GR/IR?
GR/IR (goods receipt/invoice receipt) is SAP’s name for the same clearing account. Other ERPs call it inventory received not billed or purchase accrual.
How long should a receipt stay in GRNI?
No accounting rule sets a limit. Set a review trigger in your policy, such as 60 or 90 days, and write off items only when the vendor confirms no invoice will follow or the amount is under an approved threshold.
Do goods in transit belong in GRNI?
Usually not, because no receipt has been posted. If title has already passed to you, for example under FOB shipping point terms, the goods belong in inventory and you need a separate in-transit accrual.
