Vendor Onboarding Software: Collecting W-9s, Banking Details and Compliance Documents

Last updated: October 8, 2026 · Independent buyer’s guide · We do not sell rankings or coverage.
Vendor onboarding software gives new suppliers a self-service portal where they enter their own legal name, tax ID, remit-to bank account and compliance documents, then checks that data before a record reaches your ERP. The better tools validate the name and TIN combination against IRS records, confirm that the bank account belongs to the vendor, route the request for approval and write a clean vendor record to your accounts payable system. You can use the portal in your ERP or procurement suite, a dedicated vendor identity platform, or an AP automation product that includes onboarding.
Key takeaways
- Business email compromise produced $3,046,598,558 in reported US losses in 2025 across 24,768 complaints, according to the FBI. The FBI describes BEC as targeting businesses that work with suppliers, so bank account verification at onboarding is the feature to test hardest.
- The IRS runs a free TIN Matching program (25 name/TIN combinations per interactive request, up to 100,000 in bulk with results within 24 hours).
- ERP-native portals in Oracle Fusion, Dynamics 365 Supply Chain Management and SAP Ariba collect supplier tax data and route approvals, but their documentation does not describe independent bank ownership checks.
- Nacha’s 2026 fraud monitoring rules now require every non-consumer ACH originator to have risk-based processes for spotting payments made under false pretenses. Phase 2 took effect on June 19, 2026.
- Tipalti is the only product we reviewed with a published starting price ($99 per month for its AP plan, plus transaction fees). PaymentWorks, Trustpair and the procurement suites quote privately.
How vendor onboarding works and where it goes wrong
A typical US onboarding request starts when a buyer or project owner asks AP to set up a new supplier. Someone then collects a Form W-9, a remit-to address, bank details for ACH, and any documents the business requires, such as a certificate of insurance or a signed code of conduct. AP checks the data, a second person approves it, and the vendor is created in the ERP.
Most failures happen in the gaps between those steps. W-9s arrive as email attachments and are typed into the ERP by hand. Bank details come in on a letterhead PDF that anyone can forge. When a vendor later emails to “update” its bank account, the request goes through the same weak channel.
The tax side: W-9, TIN matching and backup withholding
Form W-9 (current revision March 2024) is how a US payee certifies its taxpayer identification number to you. The IRS allows requesters to collect W-9s electronically, but the system must confirm that the person submitting is the person named on the form, keep a record of the access, produce a hard copy on request, and capture an electronic signature under penalties of perjury where a signature is required (IRS, Instructions for the Requester of Form W-9, April 30, 2026). Ask every vendor about these four requirements, because a portal that simply uploads a scanned PDF meets none of them on its own.
A wrong TIN costs money later. If a TIN is missing, or the IRS notifies you that it is incorrect through a CP2100 or CP2100A notice, you must begin backup withholding at 24% (IRS, Topic 307, September 24, 2026; IRS, Backup withholding “B” program, February 18, 2026). The IRS says that participants in its TIN Matching program can generally rely on a verified match as reasonable cause under section 6724(a) (IRS, April 30, 2026). The 1099-NEC reporting threshold rose to $2,000 for payments made in 2026 (IRS, Instructions for Forms 1099-MISC and 1099-NEC (12/2026), July 1, 2026), but you still need a valid W-9 from every vendor you pay.
The fraud side: bank details and payment redirection
The FBI’s Internet Crime Complaint Center recorded 24,768 business email compromise complaints and $3,046,598,558 in reported losses in 2025 (FBI IC3, 2025 Internet Crime Report, no date shown). In the AFP’s 2026 survey, 76% of US organizations reported attempted or actual payments fraud in 2025, and 74% were affected by BEC (AFP press release, April 14, 2026; the survey was underwritten by Truist, which sells treasury services).
Payment rules have also changed. Under Nacha’s 2026 risk management amendments, non-consumer originators must have processes “reasonably intended to identify entries that are suspected of being unauthorized or authorized under False Pretenses.” Phase 1 applied from March 20, 2026 to originators with 2023 ACH origination volume of 6 million entries or more, and Phase 2 applied to all other non-consumer originators from June 19, 2026 (Nacha, no date shown). Nacha’s guidance for originators recommends account validation for new accounts and for changes to existing accounts, and out-of-band verification of banking-detail changes (Nacha, December 12, 2025). Vendor onboarding is where most companies can apply both controls.
Sanctions and compliance documents
Many companies also screen new vendors against OFAC’s sanctions lists. OFAC’s free Sanctions List Search is designed for individual lookups, and OFAC points automated users to its downloadable list files instead (OFAC, FAQ 287, October 10, 2014). Other documents, such as insurance certificates, depend on your industry. For contract-heavy relationships, our guide to supplier onboarding inside a CLM workflow covers the legal and risk review side.
How software handles vendor onboarding
The products fall into three groups, and many companies combine two of them.
ERP and procurement suite portals
Oracle Fusion Cloud Procurement has the most detailed native registration flow among the products we reviewed. Suppliers verify their email with a one-time access code and enter tax identifiers, addresses, country-specific bank accounts, questionnaire answers and attachments such as scanned checks. The system checks the company name, D-U-N-S number and tax identifiers against the existing supplier master to prevent duplicates, approvers cannot edit bank accounts, and an approved request creates the supplier record automatically (Oracle, release 26A documentation, no date shown). The documentation does not describe IRS TIN matching or independent bank ownership checks.
Microsoft Dynamics 365 Supply Chain Management supports prospective vendor registration. A procurement user invites the contact through Microsoft Entra B2B, the contact completes a wizard that includes tax registration numbers and questionnaires, and an approved workflow creates the vendor (Microsoft Learn, August 13, 2025). The page does not mention bank account validation, and the initial request typically comes from a customer-hosted website and is imported into the ERP.
SAP Ariba Supplier Lifecycle and Performance uses registration questionnaires that suppliers complete through their SAP Business Network account, including bank and tax information. Approvers accept or deny the registration, and questionnaires reopen for updates for 365 days by default (SAP Learning, no date shown).
Coupa has suppliers maintain remit-to details in the Coupa Supplier Portal. Coupa’s documentation lists the minimum bank fields by country and states that all remit-to bank details must be approved by the customer before payments can go to them (Coupa, last edited September 1, 2025). The page describes format rules and customer approval rather than an independent ownership check, and third-party validators such as Trustpair offer Coupa connectors for that step.
Dedicated vendor identity and validation platforms
PaymentWorks sells onboarding as a fraud control. Its site describes a supplier portal, automated tax ID checks, bank account ownership confirmation against authoritative data sources, and ERP vendor master integration (PaymentWorks, no date shown). Its distinguishing feature is indemnification of up to $2 million per ACH payment redirected despite its verification process, with optional insurance of up to $3 million more (PaymentWorks, no date shown). The public pages do not name supported ERPs or list exclusions, so ask for the policy wording and connector list.
Trustpair is a validation layer that plugs into existing onboarding flows rather than replacing them. Its Coupa connector checks whether the company is active, whether the bank account is valid and whether it belongs to the company before final approval, and it lists connectors for SAP S/4HANA, SAP ECC6, SAP Ariba, Oracle ERP Cloud, Ivalua, Jaggaer and Kyriba (Trustpair, no date shown). For US vendors it offers automated IRS TIN matching with results such as Match, No Match and Invalid (Trustpair, no date shown). Its pages we reviewed do not describe W-9 collection or approval workflows.
AP automation platforms with onboarding built in
Tipalti includes a self-service supplier portal in its AP plan. Payees complete W-9, W-8BEN and W-8BEN-E forms in an online wizard. TIN validation against IRS records covers EINs and SSNs and must be activated through Tipalti Support. A payee who fails validation becomes unpayable until the issue is resolved (Tipalti Help Center, no date shown). Tipalti suits companies that also want it to run payments; it is a heavier choice if you only need onboarding.
BILL says its W-9 Agent can email vendors to collect and enter W-9s (BILL blog, no date shown), and its 1099 filing runs through a Tax1099 integration (BILL Help Center, no date shown). We did not find BILL documentation describing IRS TIN matching at onboarding, so confirm that in a demo.

What vendor onboarding software costs
Tipalti lists its Accounts Payable plan from $99 per month with unlimited users and a supplier portal, plus transaction fees (Tipalti, no date shown). Trustpair’s pricing page offers two packages by quote only (Trustpair, no date shown). PaymentWorks publishes no price (PaymentWorks, no date shown).
None of the ERP or procurement suite pages we reviewed show a separate price for supplier registration, so ask whether your current license covers it. Configuration and validation add-ons cost extra. The IRS TIN Matching program itself is free through IRS e-Services (IRS, June 18, 2026). A vendor fee for TIN checks pays for automation and an audit trail.
Worked example: one vendor, two checks
This example is an illustration built for this guide, not a real case.
A US distributor adds a new packaging supplier. The supplier registers through the portal, completes an electronic W-9, uploads a certificate of insurance and enters a checking account for ACH. The TIN check returns a mismatch because the supplier entered its trade name rather than the legal name on file with the IRS. The supplier corrects it and the second check matches.
Three months later, AP receives an email that appears to come from the supplier’s controller, asking that a $48,000 payment go to a new account. The change must be made by the supplier’s authenticated portal user, not by AP. The bank ownership check returns that the new account is not held by the supplier’s legal entity, so the change stays blocked and AP calls the supplier on the phone number captured at onboarding. For invoice-side controls, see our guide to AP fraud risk mitigation.
Our independent take
Bank account verification separates the products in this category more than anything else. ERP-native portals collect data and route approvals well, and Oracle’s duplicate check and approver lock on bank fields are useful. None of the native documentation we reviewed describes confirming who owns a bank account, so in most cases you will add a validation service. Choose PaymentWorks if you want one vendor accountable for the whole flow, with indemnification. Choose Trustpair if your procurement suite already handles onboarding well and you only need the verification layer. Choose Tipalti if you also want to replace how you pay vendors. We do not name an overall winner, because the right answer depends on what your ERP already does.
Buyer scenarios
A mid-market company on Oracle Fusion or Coupa. Start with the native registration flow, since it already writes vendors to your system and enforces approvals. Add an account validation and TIN matching service through an existing connector rather than buying a second portal that vendors must learn.
A university, hospital or public body onboarding thousands of payees a year. A dedicated platform such as PaymentWorks fits here, because volume makes manual call-backs impractical and the indemnification shifts part of the residual risk. Ask which ERP versions it connects to.
A growing company paying contractors and suppliers from QuickBooks or a mid-market ERP. An AP platform with onboarding included, such as Tipalti or BILL, can cover W-9 collection, payments and 1099s in one product. Confirm that IRS TIN validation is switched on and test what happens when a vendor changes its bank account.
When you do not need dedicated software
If you add only a handful of new vendors each month, a written procedure may be enough. Collect W-9s through a form that meets the IRS electronic submission rules, run new name and TIN pairs through the IRS interactive matching tool, verify every new or changed bank account by calling a number you already hold, and require a second person to approve vendor master changes. Our guide to ERP master data governance covers the approval and segregation-of-duties controls that make that procedure hold up.
Dedicated software starts to pay off when onboarding volume, the number of people involved, or payment value makes manual call-backs unreliable. A portal also gives auditors a record of who entered what and when. For broader control design, see our guide to accounting software for internal controls.
How we researched this
We reviewed the top-ranking pages for “vendor onboarding software” in October 2026. Most were vendor pages that named no competitors, and none combined IRS, Nacha and FBI requirements with documented product capabilities. We then read those primary sources and each vendor’s own documentation. We did not test the products hands-on, and we list a capability only where the vendor documents it. Where a vendor sells the product we describe, we say so.

Frequently asked questions
What is vendor onboarding software?
Vendor onboarding software lets new suppliers enter their own legal, tax, banking and compliance information through a portal. It then checks that data, routes it for approval and creates the vendor record in your ERP or AP system.
Can we collect W-9 forms electronically?
Yes. The IRS allows electronic W-9 submission if your system confirms who is submitting, records access, can produce a hard copy for the IRS, and captures an electronic signature under penalties of perjury where one is required. A scanned PDF sent by email does not meet these conditions by itself.
Does IRS TIN matching stop vendor fraud?
Not on its own. TIN matching confirms that a name and TIN pair matches IRS records, which reduces backup withholding and penalty risk. It does not tell you whether a bank account belongs to that vendor, so you need a separate bank account ownership check.
How do I verify a vendor’s bank account?
Nacha recommends account validation for new accounts and changes, and out-of-band confirmation of any banking-detail change. Always confirm changes using contact details captured at onboarding, never those in the change request.
Is the supplier portal in my ERP enough?
It is often enough for data collection and approvals. The Oracle, Microsoft, SAP and Coupa documentation we reviewed does not describe independent bank ownership verification, so plan on a validation add-on.
How much does vendor onboarding software cost?
Few vendors publish prices. Tipalti lists its AP plan from $99 per month plus transaction fees, while PaymentWorks and Trustpair quote privately.
