Sage Intacct Reporting: Financial Report Writer, Dashboards and Dimensions

Last updated: October 8, 2026 · Independent guide · We do not sell rankings or coverage.

Sage Intacct reporting runs on four separate tools: the Financial Report Writer for general ledger statements, the Custom Report Writer for record and transaction lists, the Interactive Custom Report Writer for drag-and-drop analysis, and dashboards that display all of these in one place. Dimensions such as Department and Location sit underneath every one of them, so a single chart of accounts can produce a departmental P&L, a location comparison and a budget-vs-actual report without extra accounts. This guide explains which tool fits which month-end report, then builds a departmental P&L and a budget-vs-actual report using menu paths from Sage’s documentation.

Before you start

  • General Ledger subscription. Financial reports and budgets both require it (Sage Intacct, October 1, 2026).
  • A Business user type with report permissions. Creating a financial report needs Reports: List, View, Add and Run (Sage Intacct, October 1, 2026).
  • Budget and dimension group permissions. Budgets: List, View, Edit and Add (Sage Intacct, October 1, 2026), and Dimension groups: List, View, Add, Edit and Delete (Sage Intacct, October 1, 2026).
  • Optional subscriptions. The Custom Report Writer needs Customization Services or Platform Services. The Interactive Custom Report Writer, Interactive Visual Explorer and Sage Intacct Planning are each sold separately.
  • Transactions coded to Department. Check uncoded balances on bills, journal entries and payroll imports before you build anything.

Which Sage Intacct reporting tool to use

Sage documents five report types: standard application reports, financial reports, Custom Report Writer (CRW) reports, Interactive Custom Report Writer (ICRW) reports and Interactive Visual Explorer (IVE) boards. Once you create a report, you cannot change its type, so the choice matters before you start (Sage Intacct, October 1, 2026).

Tool Best month-end use Subscription Main limit
Standard application reports Trial balance, AR and AP aging, subledger checks Included with each application 10 to 30 filters; must be memorized before export or grouping
Financial Report Writer Income statement, balance sheet, departmental P&L, budget vs actual General Ledger General ledger balances only; report structure is fixed once saved
Custom Report Writer Lists of records and transaction details, such as bills by department Customization Services or Platform Services Wizard-built; Sage lists pivoting as an ICRW feature
Interactive Custom Report Writer Ad hoc analysis with pivots, drill-down and Excel export Separate subscription Reports cannot move to or from other report writers
Dashboards Role-based view of key reports, charts and performance cards No add-on listed Sage advises against large reports on start-page dashboards

For month-end, the Financial Report Writer does most of the work. The CRW and ICRW answer which transactions sit behind a number, and dashboards put finished reports in front of department heads.

How dimensions drive Sage Intacct reporting

Dimensions are tags on each transaction line. The standard dimensions are Affiliate entity, Asset, Class, Contract, Cost type, Customer, Department, Employee, Item, Location, Project, Task, Vendor and Warehouse. User-defined dimensions behave like standard ones, though Sage says additional fees can apply (Sage Intacct, October 1, 2026).

In the Financial Report Writer, dimensions can sit on columns (for example, a P&L with one column per department), on rows (a list of customers or projects instead of accounts), or in filters (Sage Intacct, October 1, 2026). This lets you keep one Salaries account and code the department on each line, instead of separate Sales Salaries and Engineering Salaries accounts.

Two building blocks make dimensions usable in reports. A dimension group is a saved set of members, chosen individually or by filter. A dimension structure arranges one or more groups for a report’s rows or columns. Hierarchical structures nest other structures to give subtotals. Editing a structure changes every report that uses it (Sage Intacct, October 1, 2026).

Step 1: Set up budgeting periods and a dimensional budget

Do this first. Sage strongly recommends budgeting with dimensions such as Department and Location, because a budget without them cannot support budget-vs-actual comparisons by those dimensions (Sage Intacct, October 1, 2026).

  1. Confirm your monthly reporting periods have Use for budgeting selected. Budgeting periods cannot overlap, so you cannot budget January, February, March and First Quarter in the same year (Sage Intacct, October 1, 2026).
  2. Create the named budget at Budgets > All, then select Add beside Budgets repository. Enter a Budget ID and Description.
  3. If you keep several budgets, such as original and reforecast, designate a top-level default.
  4. To load department detail in bulk, go to Budgets > All > Budgets repository, select Export, choose the periods, check Use CSV importable format, and download the CSV to fill in. Imported data replaces existing budget data for any row and column it covers (Sage Intacct, October 1, 2026).

Balance sheet accounts need a budget amount in every period to keep a running balance.

Step 2: Check your account groups

Financial report rows are built from account groups, listed at Reports > Setup > Account groups. A “Group of account groups” such as Net Income contains Revenue and Expense groups, and Computation groups hold formulas such as net profit margin. Each group has a calculation method: For period for income and expense accounts, End of period for balance sheet accounts (Sage Intacct, October 1, 2026).

Step 3: Build department dimension groups and structures

  1. Go to Reports > Setup > Dimension groups and select the Department dimension.
  2. Select Add, enter an ID such as SALES, and choose the members. Select the Dimension structure option so Intacct creates a matching structure automatically. Repeat for each department you want as a column.
  3. For a roll-up (for example, Sales and Marketing under Go-to-market), go to General Ledger > All > Financial report structures > Dimension structures, select Add next to Department, choose Hierarchy of dimension structures, and add the substructures (Sage Intacct, October 1, 2026).

Groups defined by filter criteria, rather than a fixed member list, pick up new departments that match the criteria, so a new cost center is less likely to be left off the P&L.

Step 4: Build the departmental P&L

This follows Sage’s “locations across columns” sample, which also shows department structures in columns (Sage Intacct, October 1, 2026).

  1. Go to Reports > All > Core and select Add next to Financial reports (Sage Intacct, October 1, 2026).
  2. On the Report info tab, name the report (for example, “P&L by department, month”), select Accounts on report rows, and add the Net Income account group. The structure cannot be changed later.
  3. On the Columns tab, set column 2 to Actual for the current month. In the Dimension structure field, set Dimension to Department and pick the first department structure. Insert a column to the right for each additional department, and add a final column with no dimension structure for the company total.
  4. On the Filters tab, set the as-of date and reporting method, and let users choose them at run time so the same report serves every month.
  5. On the Permissions tab, restrict access if needed. Reports are public by default.
  6. Preview with Live report (HTML) and tie the total column to your income statement.

Uncoded entries are the usual reason department columns do not add up to the total. The Show option can include uncoded amounts as a “no value” line, so the gap is visible instead of hidden (Sage Intacct, October 1, 2026).

Step 5: Build the budget-vs-actual report

Sage’s prerequisites are a parent account group such as Net Income and at least one budget (Sage Intacct, October 1, 2026).

  1. Create a financial report as in Step 4, with Net Income on the rows and an Actual column.
  2. Add a Budget column, then select the Budget ID and reporting period.
  3. Add a variance column. Sage’s column types include Actual minus budget difference (normalized) for dollars and Budget variance (normalized) for percentages. Normalized columns flip the sign so favorable results show as positive, based on the account group’s normal balance (Sage Intacct, October 1, 2026).
  4. For a department version, apply the Department dimension structure to each column, or filter the whole report by department at run time.
  5. For a full-year view, add Remaining budget or Forecast: Prorated columns.

The table below is an illustration of how the normalized variance column reads for one department.

Sales department (illustration) Actual Budget Variance (normalized)
Revenue $520,000 $500,000 $20,000 (favorable)
Salaries and commissions $130,000 $120,000 ($10,000) (unfavorable)
Travel $18,000 $25,000 $7,000 (favorable)
Department contribution $372,000 $355,000 $17,000 (favorable)

Without normalization, the salaries line would show a positive $10,000 even though overspending is bad news. Normalize every variance column that department heads will read.

Step 6: Publish the reports on a dashboard

  1. Create a dashboard at Dashboards > All and select Add next to Dashboards. Set the Appearance, Filters and Permissions tabs, then save. QuickStart companies can install prebuilt dashboards from the catalog instead (Sage Intacct, October 1, 2026).
  2. Add components: financial reports, memorized standard or custom reports, financial or memorized charts, and performance cards built on an account group. You can also add a financial report to a dashboard from its Next Steps tab.
  3. To let one dashboard serve every department head, set performance cards to allow dashboard filtering and set report components to Live view with Dashboard filtering checked. Sage recommends Snapshot view when filtering is not needed.

Step 7: Use CRW or ICRW for transaction detail

To show what makes up a variance, build a CRW report at Reports > All > Advanced by selecting Add next to Custom reports and choosing a transaction detail as the primary data source, such as Invoice Details (Sage Intacct, October 1, 2026). If you subscribe to ICRW, select Add next to Interactive Custom Reports on the same page, pick a reporting area, and let users pivot and export the data (Sage Intacct, October 1, 2026).

Common mistakes and how to fix them

  • Department columns do not tie to the total. Uncoded lines are the cause. Show the “no value” amount, then use dimension relationships so a vendor or employee auto-fills its usual department.
  • Expense variances show the wrong sign. Sage says to check that the parent group has a credit normal balance and the variance column is normalized (Sage Intacct, October 1, 2026).
  • A negative budget appears in month two of an inception-to-date report. This happens when only the first month is budgeted. Change balance sheet groups to End of period or enter budget values for every period.
  • Department budget columns are blank. The budget was loaded without Department. Re-import it with department detail.
  • Changing one structure breaks another report. Structures are shared, so review every report that uses a structure before you edit it, or build a separate structure.

Limitations of native Sage Intacct reporting

The Financial Report Writer reports general ledger balances, so transaction-level questions need the CRW, ICRW or drill-down. On dashboard performance cards, a computation account group cannot take its numerator and denominator from actual and budget figures (Sage Intacct, October 1, 2026). ICRW is not supported for HIPAA-compliant companies using Advanced Audit Trail, and new user-defined dimensions can take a day or more to appear in it (Sage Intacct, October 1, 2026).

Native budgets are also basic. Collaborative budgeting, what-if scenarios and rolling forecasts sit in Sage Intacct Planning, a separate subscription that syncs only when you start a sync, supports every dimension except Employee, and in multi-entity companies reads only the top-level consolidation book (Sage Intacct, October 1, 2026).

When companies add a third-party tool

Teams add a tool when board packs need Excel formatting or many people build budgets in spreadsheets. Excel add-ins such as Velixo pull live Intacct data into workbooks through formulas and can write journal entries back; Velixo, which sells the product, does not list prices on its product page (Velixo, May 19, 2023). Larger planning needs usually lead to Sage Intacct Planning or a separate FP&A platform; our guide to ERP and FP&A integration covers that decision. Our NetSuite vs Sage Intacct comparison and overview of ERP reporting and analytics cover the wider options.

How we researched this

We reviewed the top Google results for “sage intacct reporting,” which are blogs by Sage partners RSM, PKF SCS, TSG and Bennett Thrasher. None gave build steps for a departmental P&L or budget-vs-actual report. We built every step from Sage Intacct’s product help, checked on October 8, 2026, and used the date shown on each page. Where Sage’s pages give different menu paths, we quote the page we cite.

Frequently asked questions

What is the difference between the Financial Report Writer and the Custom Report Writer in Sage Intacct?

The Financial Report Writer builds statements, such as an income statement, from general ledger balances and account groups. The Custom Report Writer builds lists from records and transaction details, and it requires a Customization Services or Platform Services subscription.

How do I make a P&L by department in Sage Intacct?

Create a dimension group and structure for each department, then build a financial report with the Net Income account group on rows. On the Columns tab, assign a department structure to each Actual column and add a total column. Show uncoded amounts so the columns tie to the company total.

Why does my Sage Intacct budget-vs-actual report show the wrong sign on expenses?

The variance column is probably not normalized, or the parent account group has the wrong normal balance. Use a normalized variance column type, such as Actual minus budget difference (normalized), so favorable variances always display as positive.

Can I budget by department in Sage Intacct without Sage Intacct Planning?

Yes. Native General Ledger budgets accept dimensions such as Department and Location, and you can load them by CSV import. Planning adds collaboration, scenarios and rolling forecasts.
