Stock Transfer Orders: Moving Inventory Between Warehouses in Your ERP

Last updated: October 11, 2026 · Independent guide · We do not sell rankings or coverage.
A stock transfer order is the ERP document that moves inventory between your own locations in three recorded steps: a shipment from the source warehouse, an in-transit stage, and a receipt at the destination. Because the value sits in an in-transit inventory account between those steps, your books show where the stock is on any day. A location transfer journal, by contrast, moves quantity from A to B in one posting with no transit stage and no receipt to check. This guide covers each stage, the accounting, and the setup in Business Central, NetSuite and Acumatica.
The stock transfer order process at a glance
- Request and plan the transfer. A replenishment signal or branch request sets what the destination needs.
- Create and approve the transfer order. The order names both locations, items, quantities, dates and the in-transit route.
- Pick, pack and ship. The shipment moves value from the source location into in-transit inventory.
- Track goods in transit. The goods are yours but in neither warehouse, so they need an owner and a due date.
- Receive at the destination. A full or partial receipt moves value into the destination’s inventory.
- Reconcile and close. Finance ties the in-transit balance to the open-transfer list at month end.
Transfer order or location transfer journal: which one to use
Every major ERP offers two ways to move stock. The single-step method suits moves inside one building. The transfer order suits anything that travels by truck or needs a second person to confirm what arrived.
In Business Central, the Item Reclass. Journals page posts a move from a Location Code to a New Location Code in one step, while a transfer order posts a shipment and then a receipt (Microsoft Learn, October 1, 2026). Oracle describes the same split in NetSuite: a basic inventory transfer “changes the item count in both locations in one step,” whereas a transfer order lets you “track each stage of the transfer process and know when items are in transit” (Oracle NetSuite Help, no date shown).
| ERP | Single-step move | Stock transfer order | In-transit stage |
|---|---|---|---|
| Business Central | Item reclassification journal, or a transfer order with Direct Transfer turned on | Transfer order posted as Ship, then Receive | Location flagged Use As In-Transit |
| NetSuite | Inventory transfer | Transfer order, item fulfillment, item receipt | Inventory In Transit account and Qty in Transit |
| Acumatica | One-step transfer on the Transfers form | TR sales order, 2-Step transfer, then a receipt | In-Transit Account on Inventory Preferences |
If goods can be lost, damaged or delayed between locations, use a transfer order.
Who owns each stage
| Stage | Responsible / Accountable | Output | Key control |
|---|---|---|---|
| Request and plan | Planner / Inventory manager | Transfer requirement | Check source availability before committing |
| Create and approve | Planner / Inventory manager | Released transfer order | Approval above a value threshold |
| Pick and ship | Source warehouse lead / Source site manager | Posted shipment, packing list | Ship only what was picked and scanned |
| In transit | Logistics coordinator / Inventory manager | Tracking number, expected receipt date | Daily review of overdue transfers |
| Receive | Destination receiver / Destination site manager | Posted receipt, discrepancy note | Count against the shipment, not the order |
| Reconcile and close | Inventory accountant / Controller | Signed in-transit reconciliation | GL equals open-transfer list at period end |
Keep the shipper and the receiver separate so the receipt is a real check on the shipment.
Stage 1: Request and plan the transfer
Most transfers start when a store or branch falls below its minimum. If you run min/max by location, your inventory replenishment software or ERP planning worksheet can suggest transfers rather than purchases when another site has surplus. The output is a quantity to move.
The usual failure is draining one site to fill another, so confirm the source still covers its own open orders.
Stage 2: Create and approve the transfer order
In Business Central, a transfer route fills in the In-Transit Code and shipping agent, and the agent service’s shipping time sets the expected receipt date (Microsoft Learn, October 1, 2026). In NetSuite, an approved transfer order commits stock at the source and raises the On Order quantity at the destination, and committed items “cannot be sold when in transit” (Oracle NetSuite Help, no date shown).
Require approval for high-value transfers. A move between legal entities is an intercompany sale and needs its own document, such as NetSuite’s intercompany transfer order in OneWorld accounts.
Stage 3: Pick, pack and ship
The source warehouse picks and posts the shipment. NetSuite states that on fulfillment the item value is removed from the source location’s asset account and added to the Inventory in Transit account, and that transfer orders do not post to cost of goods sold (Oracle NetSuite Help, no date shown).
Record lot and serial numbers at shipment. In NetSuite the receipt must match the fulfillment’s lot and serial data (Oracle NetSuite Help, no date shown).
Stage 4: In transit, and how the accounting works
Goods on the road are still your inventory. A dedicated in-transit account keeps them on the balance sheet without inflating either warehouse’s count. The illustration below transfers 200 units at a cost of $15.00 each, with 150 received by month end.
| Event | Debit | Credit | Amount (illustration) |
|---|---|---|---|
| Ship 200 units from Warehouse A | Inventory in transit | Inventory, Warehouse A | $3,000.00 |
| Receive 150 units at Warehouse B | Inventory, Warehouse B | Inventory in transit | $2,250.00 |
| Balance left in transit at month end | Inventory in transit | (no entry) | $750.00 (50 units) |
Acumatica posts the same pattern. Releasing a two-step transfer debits the In-Transit account and credits the inventory account from the posting class, and releasing the receipt credits the In-Transit account and debits the inventory account from the posting class (MYOB Acumatica User Guide, no date shown).
Transfer pricing at cost
Within one legal entity you cannot earn a profit by selling to yourself, so move stock at its existing cost. Check how your ERP values the transfer, because the default is not always cost.
- NetSuite: each order has a Use Item Cost as Transfer Cost setting that defaults from Accounting Preferences. When it is enabled, NetSuite uses the source location’s standard cost for Standard-costed items. When it is cleared, the line’s Transfer Price drives cost accounting, lines with no transfer price are received at zero, and any difference between transfer price and cost posts to the item’s Gain/Loss account at shipment (Oracle NetSuite Help, no date shown; Oracle NetSuite Help, no date shown).
- Acumatica: for Average and Standard valuation the destination cost equals the source warehouse cost; for FIFO and Specific valuation each transfer receipt creates a new cost layer dated with the receipt (MYOB Acumatica User Guide, no date shown).
- Business Central: a transfer order posts two or four item ledger entries depending on the posting method, and Microsoft notes that item charges can be assigned to a posted transfer receipt in some configurations (Microsoft Learn, October 1, 2026). That is how you add inter-site freight if your policy capitalizes it.
Capitalizing inter-site freight is a policy to agree with your auditor. For US tax purposes, the uniform capitalization rules list handling costs, including costs of “transporting goods,” and storage and warehousing costs among the indirect costs that must be capitalized (eCFR, 26 CFR 1.263A-1(e)(3)(ii), up to date as of October 7, 2026).
Stage 5: Receive at the destination, including partial receipts
Count what arrived against the shipped quantity, not the ordered quantity, and send any discrepancy to the source site the same day. Partial receipts behave differently in each system:
- Business Central allows partial shipment and receipt when Direct Transfer is turned off. Received lines match the shipped lines and cannot be edited, and Undo Shipment works only if the shipment has not been received. With Direct Transfer and the Direct Transfer posting method, partial posting is not available (Microsoft Learn, October 1, 2026).
- NetSuite allows partial fulfillment and receipt of a transfer order, but you cannot receive more than you have fulfilled, and the receipt quantity must match the item fulfillment it is received against (Oracle NetSuite Help, no date shown; Oracle NetSuite Help, no date shown). Oracle’s Inventory Transfer Orders topic still says a single line cannot be partially fulfilled or partially received, so test this in your account (Oracle NetSuite Help, no date shown).
- Acumatica creates the receipt on the Receipts (IN301000) form by selecting the transfer in the Transfer Nbr. box, which copies the transfer lines into the receipt (MYOB Acumatica User Guide, no date shown).
When units are short, receive what arrived so the shortfall stays visible in transit, then clear it with an approved adjustment. Writing it off at the dock hides carrier losses and picking errors.
Stage 6: Reconcile in-transit balances at month end
At each close, run these steps:
- Set cutoff. Post every receipt that physically arrived before period end.
- Pull the subledger. List shipped but unreceived transfers. In Acumatica, the Goods in Transit (IN616500) report lists items transferred in two steps and not yet received (MYOB Acumatica User Guide, no date shown). In NetSuite, the item record’s Locations subtab shows Qty in Transit. In Business Central, filter inventory by the in-transit location code.
- Compare to the general ledger. The in-transit account should equal the subledger value.
- Age the open items. Flag anything older than normal lane time plus a buffer; it is usually a loss, a mis-receipt or a missed posting.
- Resolve and document. Post the missing receipt, chase the carrier, or write off the loss with approval. Have the controller sign the reconciliation.
Your multi-location accounting setup should report location results on actual movements, and freezing transfers on items being counted keeps cycle counting results clean.
Metrics to track
- Transfer lead time: average days from shipment posting to receipt posting, by lane.
- Aged in-transit value: dollars in transit beyond the expected receipt date, reported weekly.
- Receipt accuracy: percentage of transfer lines received with no quantity or lot difference against the shipment.
- Unreconciled in-transit balance at close: the gap between the in-transit account and the open-transfer list. The target is zero.
- Inter-site freight cost per unit: useful for deciding when to buy direct to a location rather than transfer.
How software supports each stage
Microsoft Dynamics 365 Business Central. Create locations from the Locations page and select Use As In-Transit on the location that will hold goods on the road (Microsoft Learn, April 30, 2025). Define lanes on Transfer Routes, set Default Direct Transfer Posting on Inventory Setup, and schedule the Batch Post Transfer Orders report (ID 5707) from the job queue if you post in bulk (Microsoft Learn, October 1, 2026). Business Central posts by location and inventory posting group combination on the Inventory Posting Setup page (Microsoft Learn, June 11, 2026), so give the in-transit location its own rows pointing to an in-transit account.
Oracle NetSuite. Transfer orders need the Multi-Location Inventory feature. Set defaults under Setup > Accounting > Accounting Preferences on the Order Management subtab, including Default Transfer Order Status, Use Item Cost as Transfer Cost and Default Lead Time Between Locations (Oracle NetSuite Help, no date shown). Enter orders at Transactions > Inventory > Enter Transfer Orders, and bulk-receive full orders at Transactions > Purchases > Receive Order. Users restricted by location need access to both locations to edit an order (Oracle NetSuite Help, no date shown; Oracle NetSuite Help, no date shown; Oracle NetSuite Help, no date shown).
Acumatica. Enable Multiple Warehouses (MYOB Acumatica User Guide, no date shown), set the In-Transit Account on the Inventory Preferences (IN101000) form (MYOB Acumatica User Guide, no date shown), and create transfer orders on Sales Orders (SO301000) with order type TR and a Destination Warehouse (MYOB Acumatica Job Aid, no date shown). Direct two-step transfers use the Transfers (IN304000) form with Transfer Type set to 2-Step (MYOB Acumatica User Guide, no date shown). Shipping a TR order and updating inventory creates a 2-Step transfer, which the destination receives as a transfer receipt (MYOB Acumatica User Guide, no date shown). These steps cite MYOB’s edition of the Acumatica user guide, so confirm the screens in your version.
How we researched this
We read vendor documentation for Business Central, NetSuite and Acumatica (via the MYOB Acumatica guide) and 26 CFR 1.263A-1 in October 2026, and reviewed the pages ranking for “stock transfer order”: SAP-focused material from Surety Systems, a consulting firm that sells SAP services; the InvenTree open-source documentation; and a Business Central glossary entry from Hyperbots, which sells finance automation software. None covered in-transit entries, transfer valuation, partial receipts or month-end reconciliation across ERPs. We have no commercial relationship with any vendor named here.

Frequently asked questions
What is the difference between a stock transfer order and a stock transport order?
They describe the same idea. “Stock transport order” is SAP’s name for the document that moves stock between plants, with the receiving plant posting the goods receipt against a purchase order, while Business Central, NetSuite and Acumatica call it a transfer order.
Does inventory in transit count as inventory on the balance sheet?
Yes, when you still own it, which is always the case for a move between your own locations. It sits in an in-transit inventory account until the destination posts the receipt.
Should transfers between warehouses be at cost or at a markup?
Within one legal entity, transfer at cost. In NetSuite, check the Use Item Cost as Transfer Cost setting and the Transfer Price field, because a markup there posts a gain or loss at shipment. Transfers between separate legal entities are intercompany sales and follow different rules.
How do I handle a transfer that arrives short?
Receive the quantity that physically arrived and leave the rest in transit. Investigate with the source site and carrier, then clear the balance with an approved adjustment or a later receipt.
Why does my in-transit account not match the open transfer list?
The usual causes are manual journals posted directly to the in-transit account, receipts valued at a different cost from the shipment, and shipments received into the wrong location. Block manual postings to that account.
