NetSuite Punchout: Connecting Supplier Catalogs to Purchase Requisitions

Last updated: November 3, 2026 · Independent guide · We do not sell rankings or coverage.
NetSuite punchout lets an employee open a supplier’s website from inside NetSuite, fill a cart there, and bring that cart back as a purchase request or requisition that goes through your normal approvals. Oracle delivers it through the SuiteProcurement SuiteApp, which connects to suppliers over the Oracle Business Network (OBN) using cXML. Out of the box, Oracle lists Amazon US, Amazon Canada and Staples as curated partners; other cXML suppliers can connect if you have Advanced Procurement provisioned and the supplier registers on OBN.
How cXML punchout works
cXML is the XML standard most punchout catalogs use. The procurement application sends a PunchOutSetupRequest, the supplier replies with a start page URL, the user shops on the supplier’s live site, and on checkout the supplier posts a PunchOutOrderMessage back through the user’s browser so the items and prices land in a requisition (cXML User’s Guide 1.2.037, February 9, 2018). The order is not placed with the supplier at checkout. It is placed only after your approval process releases it as a purchase order.
NetSuite’s documentation lists the cXML messages a supplier must support to work with SuiteProcurement (Oracle NetSuite Help, Steps to Perform by Non-curated Trading Partners, no date shown):
| Message | cXML element | Direction | Required? |
|---|---|---|---|
| Punchout to supplier store | PunchOutSetupRequest | NetSuite to supplier | Required |
| Cart returned to NetSuite | PunchOutOrderMessage | Supplier to NetSuite | Required |
| Purchase order | OrderRequest | NetSuite to supplier | Required |
| PO acknowledgment | ConfirmationRequest | Supplier to NetSuite | Optional |
| Invoice and credit memo | InvoiceDetailRequest | Supplier to NetSuite | Required |
| Ship notice | ShipNoticeRequest | Supplier to NetSuite | Optional |
The returned cart must carry a supplier part ID, unit price, description, unit of measure and a UNSPSC classification on every line (Oracle NetSuite Help, Document Formats, no date shown). Oracle notes that the classification must be set up in advance through the item categories in SuiteProcurement preferences.
What NetSuite supports natively and what needs a partner
SuiteProcurement is Oracle’s own punchout tool, but it is not part of the base license. Oracle describes it as “a paid and managed SuiteApp” that you buy through NetSuite account management or customer support (Oracle NetSuite Help, Installing the SuiteProcurement SuiteApp, no date shown). Oracle does not publish its price.
- Curated partners: Amazon United States, Amazon Canada and Staples Contract & Commercial are preconfigured (Oracle NetSuite Help, SuiteProcurement Overview, no date shown).
- Non-curated partners: any other supplier can connect if it registers on OBN, sets up a cXML punchout catalog and approves your request, and your account has Advanced Procurement provisioned (Oracle NetSuite Help, SuiteProcurement Support for Non-curated Trading Partners, no date shown).
Before you start
- An account without SuiteTax, the only setup Oracle documents as compatible (SuiteProcurement Overview). If you run SuiteTax, confirm with Oracle before buying.
- The SuiteProcurement SuiteApp purchased through Oracle, plus Advanced Procurement if you want requisitions or non-curated suppliers.
- An Administrator to enable features and install SuiteApps, and a person who can act as OBN Manager and accept OBN terms for the company (Oracle NetSuite Help, Prerequisites for the SuiteProcurement SuiteApp, no date shown).
- Non-inventory items. SuiteProcurement supports only “Non-inventory item for purchase” and “Non-inventory item for resale” (SuiteProcurement Overview).
Setup steps
Oracle says to complete prerequisites, installation, preferences, then roles and permissions, in that order (SuiteProcurement Overview).
1. Enable the required features
Go to Setup > Company > Enable Features and turn on Accounting (Accounting subtab), Purchase Requests (Employees subtab), Online Forms (CRM subtab), and Custom Records and Server SuiteScript (SuiteCloud subtab) (Prerequisites for the SuiteProcurement SuiteApp). If you plan to use requisitions, Oracle also requires the Purchase Orders and Requisitions features and the Employee Center or Consultant role for requesters (Oracle NetSuite Help, Requisitions Overview, no date shown).
2. Activate the Employee Center role
The Employee Center role must be active before installation. Go to Setup > Users/Roles > Manage Roles, check Show Inactives, clear the inactive box beside Employee Center and click Submit (Prerequisites for the SuiteProcurement SuiteApp).
3. Install NetSuite Electronic Business (NSEB)
Install the NSEB SuiteApp from the SuiteApp Marketplace as Administrator. NSEB connects NetSuite to OBN, so it goes in before SuiteProcurement (Prerequisites for the SuiteProcurement SuiteApp).
4. Connect NetSuite to OBN and register each subsidiary
Go to Set Up > Electronic Business > OBN Registration, click Authorize, then Allow on the consent page, and accept the OBN terms in the new tab. Then select the OBN Manager and click Register for the parent company, and repeat for each buying subsidiary through the Subsidiary list. Each entity gets its own OBN identifier (Prerequisites for the SuiteProcurement SuiteApp).
5. Request punchout access from each supplier
Log in to OBN, open the Punchout tab and then Punchout Directory, and search for the supplier’s OBN ID. Oracle publishes the IDs for its curated partners: Amazon Business – NetSuite (OBN-100-8634), Amazon Business CA – NetSuite (OBN-105-6322) and Staples Advantage (OBN-100-0021). Click the Request icon, choose the punchout name, enter your identifier in Note to Supplier and click Request (Prerequisites for the SuiteProcurement SuiteApp).
The request moves from Pending Acknowledgment to Pending Activation, and the supplier appears on My Punchouts once it activates you. The supplier must select the identifier you supplied when it does so (Steps to Perform by Non-curated Trading Partners).
6. Activate the documents you will exchange
In OBN, go to Messaging > Transaction Setup. Under Send, set Purchase Order to Active with the NST document format in production and test mode. Under Receive, set Invoice, Advance Ship Notice and PO Acknowledgment to Active with NST format and the NetSuite Adapter delivery method in both modes (Prerequisites for the SuiteProcurement SuiteApp).
7. Install SuiteProcurement and set preferences
After Oracle provisions the SuiteApp, install it from the SuiteApp Marketplace as Administrator. Then go to Setup > SuiteProcurement > Preferences and complete, in order: Company Preferences (whether checkout creates a purchase request or a requisition), Sync Trading Partners for each subsidiary, Account Mapping (trading partner to NetSuite vendor) and Item Category Mapping (Oracle NetSuite Help, Setting Up SuiteProcurement Preferences, no date shown). Settings changed for a single trading partner on its Accounting subtab take precedence over the company-level settings.
8. Turn on approval routing and set employee limits
Go to Setup > Accounting > Accounting Preferences, open the Approval Routing subtab, and check Purchase Requests and Requisitions. New punchout requests will then start in Pending Approval rather than being approved automatically (Oracle NetSuite Help, Setting Approval Preferences for Purchase Requests, no date shown).
On each employee record, set Supervisor, Purchase Limit, Purchase Approver and Purchase Approval Limit. Requests under the employee’s purchase limit are approved automatically; larger ones route up to an approver with a high enough limit (Oracle NetSuite Help, Supervisors, Approvers, and Approval Limits, no date shown). If you need hierarchical or custom routing rules instead, Oracle supports SuiteFlow approval workflows for requisitions (Oracle NetSuite Help, Setting up SuiteFlow Workflow-Based Approvals for Requisitions, no date shown).
9. Give requesters access to the stores
Requesters shop through the SuiteProcurement Stores portlet, which they add with Personalize > SuiteApps > SuiteProcurement Stores on the Employee Center dashboard. Oracle states that purchasing from trading partner stores works with the Employee Center role only (Oracle NetSuite Help, Purchasing Items from Trading Partner Stores, no date shown). Custom roles need access to 11 SuiteProcurement custom records and must be added to the stores page audience under Customization > Scripting > Single Page Applications (Oracle NetSuite Help, SuiteProcurement Roles and Permissions, no date shown).
10. Run a test order end to end
Place a low-value order with each supplier, approve it, and confirm that the PO acknowledgment, ship notice and bill come back, then receive the items so SuiteProcurement generates the item receipt (SuiteProcurement Overview). Test approval routing with one user below and one above their purchase limit.
How the approval flow works after checkout
When a requester submits the cart on the supplier site, SuiteProcurement creates a purchase request or requisition based on your preference, then either routes it for approval or approves it automatically, depending on approval routing (Oracle NetSuite Help, Reviewing and Saving SuiteProcurement Purchase Requests, no date shown). The choice between the two record types shapes how approvals and buying work:
| Question | Purchase request | Requisition |
|---|---|---|
| License | Purchase Requests feature | Needs Advanced Procurement |
| Vendors per document | One | Several |
| Becomes a PO | One request, one PO | Many requisitions can feed one PO |
| Bulk processing | No | Yes |
Sources: Requisitions Overview and Reviewing and Saving SuiteProcurement Purchase Requests. For a broader view of approval design before the PO, see our guide to purchase requisition software.
While a request is pending approval, the requester can add items through Go to Trading Partner Website on the Items subtab. Once approved, SuiteProcurement sends the order automatically, checks Submitted to Trading Partner, and locks the request against edits (Reviewing and Saving SuiteProcurement Purchase Requests; Submitting Purchase Requests to Trading Partners). The supplier’s invoice then comes back as a bill, which your AP team should still match against the PO and receipt as part of a normal three-way match.
Common mistakes and how to fix them
- Approved orders never reach the supplier. The Submitted to Trading Partner box stays clear and the requester and administrators get an error email. Oracle names a wrong or missing EIN, OBN credentials and OBN document setup as the usual causes. After fixing the cause, an Administrator can run the Resend Approved PO to Trading Partner script from Customization > Scripting > Scripts; it reprocesses failed orders from the last seven days (Submitting Purchase Requests to Trading Partners).
- Every punchout order is approved instantly. The Purchase Requests and Requisitions boxes on the Approval Routing subtab are not checked, or employees have high purchase limits. Check both settings in step 8.
- Installation fails with an account error. If the installer reports “You must specify expense and income accounts for this item,” Oracle’s fix is to create a non-inventory purchase item named Default SuiteProcurement Category and install again (Installing the SuiteProcurement SuiteApp).
- The requester cannot see the stores. They are on a custom role that lacks the permissions in step 9.
Limitations of the native feature
- Only three curated suppliers are preconfigured. Every other supplier must register on OBN and complete its own setup, which smaller suppliers may not do.
- Only non-inventory items are supported, so punchout does not suit stocked inventory or manufacturing materials.
- Currency conversion is not supported; a purchase request keeps the requisition’s currency (Reviewing and Saving SuiteProcurement Purchase Requests).
- Oracle does not publish the price of the SuiteApp or Advanced Procurement.
When companies add a third-party tool
Companies usually look beyond SuiteProcurement when key suppliers are not on OBN or they need inventory items. Netgain sells punchout software for NetSuite that names McMaster-Carr and Amazon as preferred suppliers, says any cXML supplier can connect, and creates pending POs for approval inside NetSuite; no prices are published (Netgain, NetSuite PunchOut software, no date shown; Netgain sells this product). TradeCentric offers a NetSuite punchout integration with no published pricing (TradeCentric, Oracle NetSuite page, last modified November 10, 2025; TradeCentric sells this service). Procurify runs approvals in its own application and syncs purchase orders, item receipts and bills to NetSuite and pulls vendors from NetSuite (Procurify, NetSuite integration, July 13, 2026; Procurify sells this product). An outside platform means a second system and a sync to monitor. Our procure-to-pay process guide covers the controls to keep whichever tool you choose.
How we researched this
We read the full SuiteProcurement section of Oracle’s NetSuite Help Center, including prerequisites, preferences, roles, approvals, submission and document formats, and the cXML User’s Guide. We reviewed the top-ranking pages for “netsuite punchout,” mostly from NetSuite consultancies and punchout vendors. Oracle’s help pages show no publication date; we checked them on November 3, 2026. We did not test a live NetSuite account.

Frequently asked questions
Does NetSuite have punchout built in?
Not in the base license. Oracle provides punchout through SuiteProcurement, a paid SuiteApp that works with the Oracle Business Network. You buy it through NetSuite account management and install it from the SuiteApp Marketplace.
Which suppliers can I punch out to from NetSuite?
Oracle preconfigures Amazon US, Amazon Canada and Staples. Any other supplier can connect if it registers on OBN, sets up a cXML punchout catalog and approves your request, and your account has Advanced Procurement provisioned.
Can I use NetSuite punchout for inventory items?
Not with SuiteProcurement, which supports only non-inventory items for purchase and for resale.
Who approves punchout orders in NetSuite?
The employee’s supervisor or named purchase approver, based on the purchase limits on the employee record, when approval routing is on for purchase requests and requisitions. You can replace this with a SuiteFlow workflow for more complex rules.
