NetSuite Contract Management: Contracts, Renewals and SuiteBilling Setup

Last updated: November 3, 2026 · Independent guide · We do not sell rankings or coverage.
NetSuite contract management for customer contracts runs through one of two Oracle products. The Software Vertical Contract Renewals SuiteApp creates contract and contract item records from sales orders and generates renewal transactions before each term ends. SuiteBilling manages the contract as a subscription record with plans, price books, change orders and automatic renewal. This guide explains which one fits your contracts, then walks through setting up each with the menu paths Oracle documents, and shows where Advanced Revenue Management (ARM) takes over for ASC 606.
Contract Renewals or SuiteBilling: decide first
Oracle describes Contract Renewals as “designed for software companies offering perpetual and term licenses” (NetSuite Help, Contract Renewals Overview, no date shown). SuiteBilling is “a collection of features you can use to create subscriptions for your customers” for services or non-inventory items sold over time, and Oracle states it “isn’t for the sale of physical inventory items” (NetSuite Help, SuiteBilling Overview, no date shown).
| Question | Contract Renewals SuiteApp | SuiteBilling |
|---|---|---|
| Core record | Contract and contract item custom records (the install base) | Subscription, with lines driven by a subscription plan and price book |
| Mid-term changes | Upsell sales orders linked to the contract; return authorizations | Change orders: activation, modify pricing, suspend, reactivate, renew, terminate |
| Renewal | Scheduled script creates a renewal transaction 90 days before end by default | Extend the subscription or create a new one, manually or automatically |
| Best fit | Licenses plus maintenance and support, multi-tier channel sales | Recurring, usage, commit-plus-overage and prepaid pricing |
Neither price is published. Oracle says to contact your account representative to purchase Contract Renewals (NetSuite Help, Installing the Contract Renewals SuiteApp, no date shown), and describes SuiteBilling as an add-on module sold within the annual license (NetSuite, What is NetSuite SuiteBilling?, no date shown). For license structure, see our NetSuite cost and fit analysis.
Before you start
- License: the Contract Renewals SuiteApp (bundle SWV Contract Renewals Module, ID 187488) or SuiteBilling, which your account representative must provision before you can enable it (NetSuite Help, Setting the SuiteBilling Preferences, no date shown).
- Role: Administrator for script deployments (NetSuite Help, no date shown). Non-administrator roles need the Contract Renewals Preferences permission to use the renewal forms (NetSuite Help, Roles and Permissions for Contract Renewals, no date shown).
- Revenue recognition: ARM configured or planned. Our NetSuite revenue recognition guide covers that setup.
- Sandbox and policy: a sandbox, plus written rules for notice periods, uplift and ASC 606 modifications.
Part A: Setting up the Contract Renewals SuiteApp
Step 1: Install the SuiteApp and set preferred forms
Install bundle 187488, a managed SuiteApp that updates automatically (NetSuite Help, no date shown). Then mark the bundle’s Contract Renewals forms as Preferred at Customization > Forms > Entry Forms and Customization > Forms > Transaction Forms (NetSuite Help, Setting Preferred Forms, no date shown).
If you customize those forms, keep the Renewals Exclusion column visible, because the contract item script reads it.
Step 2: Create a zero price item
Go to Lists > Accounting > Items > New, choose an item type, name the item and set the Base Price to 0 on the Sales / Pricing subtab. In OneWorld, select the root parent subsidiary and check Include Children (NetSuite Help, no date shown). Select it in the Zero Dollar Item preference on the Contract Renewals Creation subtab (NetSuite Help, Setting Initial Renewals Preferences, no date shown).
Step 3: Set Contract Renewals preferences
Go to Contract Renewals > Setup > Contract Renewals Preferences and click Edit (NetSuite Help, no date shown). The settings that shape your contract process are these:
- Sales Order Status to Create Contract: Pending Approval (the default) creates the contract when the order is saved; Pending Fulfillment waits for approval (NetSuite Help, no date shown).
- Days Before Renewal: default 90. Transaction Type to Create sets the renewal transaction and must match your mapping at Setup > Custom > Renewal Tran Form Mapping > New.
- Renewals License Pricing Model: current list rate or the historical rate from the original line.
- Combine Like Items and Apply Upsell and Downsell on Renewal Transaction (NetSuite Help, Contract Renewals Creation, no date shown).
Step 4: Configure renewable items
Create items at Lists > Accounting > Items > New on a Contract Renewal custom form. Oracle warns against kits or assemblies for renewable software (NetSuite Help, Setting Up Items, no date shown). Percentage-based maintenance and support items need a base price of zero.
In the Vertical Classifications section, set Item Category (for example License – Term or Support – Renewal), Quantity Type, Term/Contract Pricing Type and Renew With. Item Category controls whether the item renews (NetSuite Help, Fields for Configuring Renewal of Items, no date shown).
Step 5: Schedule the contract and renewal scripts
Both scripts ship as Not Scheduled (NetSuite Help, no date shown). Go to Customization > Scripting > Script Deployments, edit R03: Create Contract Item hourly and set its frequency on the Schedule subtab. Do the same for R05: Create Renewal Trans nightly (NetSuite Help, no date shown). Also check Enable Script R05 in preferences.
Step 6: Create and renew a contract
Contracts come from sales orders or CSV import. Go to Transactions > Sales > Enter Sales Order, select the Sales Order – Contract Renewals form, then set End User, Contract Term (in months) and Start Date. Leave the line Contract field blank for a new contract. An optional Contract Item Uplift percentage sits on each renewable line (NetSuite Help, Creating a New Contract, no date shown).
Contract items are added when the order is fully billed under the default setup (NetSuite Help, Contract Creation Process, no date shown). Illustration: a contract ending December 31, 2026 with the default 90 days qualifies for renewal on October 2, 2026, and the next R05 run creates the renewal transaction. You can override the window per contract with Contract Days Before Renewal, or use Renew Now on the contract (NetSuite Help, Contract Renewals Process, no date shown).
Part B: Setting up SuiteBilling for contracts
Step 1: Set the required preferences
Before enabling features, go to Setup > Accounting > Accounting Preferences, open Items/Transactions and check Consolidate Projects on Sales Transactions (Projects and Project Management must be enabled). Then clear Employee Commissions on the Employees subtab of Setup > Company > Enable Features (NetSuite Help, no date shown).
Step 2: Enable SuiteBilling features
Go to Setup > Company > Enable Features, open the Transactions subtab and, under Billing, check Bill Costs to Customers, Advanced Billing, Charge-Based Billing, Billing Accounts, Billing Operations, Subscription Billing and Advanced Subscription Billing. Optional Uplift Pricing requires Time-Based Pricing (NetSuite Help, Enabling SuiteBilling Features, no date shown).
Step 3: Configure subscription items for revenue recognition
On each item’s Revenue Recognition/Amortization subtab, Oracle pairs Recurring – Fixed and One-Time lines with Default Fixed Recurring Fee and Revenue Arrangement Creation, and usage lines with Default Usage, Subscription Events and Allocation Type Exclude (NetSuite Help, Configuring Subscription Items for Revenue Recognition, no date shown).
Step 4: Build subscription plans and price books
Go to Lists > Subscriptions > Subscription Plans > New, choose an Initial Term (Standard, Custom or Evergreen), add lines and complete the Renewal subtab. After saving, click New Price Book on the Price Books subtab and create a price plan for every line (NetSuite Help, Creating Subscription Plans, no date shown; Creating Price Books, no date shown). An Evergreen term stops revenue after three years unless automatic invoicing extends it.
Step 5: Create billing accounts and subscriptions
Create billing accounts at Lists > Relationships > Billing Accounts > New; you can use separate billing accounts for different billing schedules (NetSuite Help, no date shown). Then add a subscription from the Items > Subscription field on an estimate, opportunity or sales order; it carries through conversions and its lines move to Pending Activation (NetSuite Help, no date shown). Mid-term changes are change orders (NetSuite Help, SuiteBilling Change Orders, no date shown). Invoices come from bill runs at Billing > Billing Operations > Process Billing Operations (NetSuite Help, no date shown).
Step 6: Automate renewals
On the subscription’s Renewal subtab, set Default Renewal Term and Default Renewal Method. Extend Existing Subscription pushes out the end date; Create New Subscription creates a new subscription record and needs a Default Renewal Subscription Plan; you also choose a Default Renewal Price Book and Default Renewal Transaction Type. Check Automatically Initiate Renewal Process and enter days in Before Subscription End Date; Oracle recommends at least 30 (NetSuite Help, Renewing a Subscription, no date shown).
How contracts connect to ASC 606
Neither product recognizes revenue on its own. Sales orders and subscriptions feed ARM revenue arrangements (NetSuite Help, Revenue Arrangement Management, no date shown), and ARM recognition rules decide timing. Under ASC 606-10-25-10, “a contract modification is a change in the scope or price (or both)” approved by both parties, and 606-10-25-12 treats it as a separate contract only when distinct goods or services are added at standalone selling prices (FASB ASU 2014-09, May 2014). An upsell order or Modify Pricing change order therefore needs an accounting decision, configured in ARM.
Common mistakes and how to fix them
- Renewable items missing from the renewal. Items that don’t co-terminate with the contract end date aren’t renewed, even if renewable. Align line end dates on the sales order (NetSuite Help, no date shown).
- Deleting lines on a renewal. Set the quantity to 0 instead, so downsell is tracked (NetSuite Help, no date shown).
- Upsells outside the term. Upsell items must start and end within the contract term; CSV-imported contract items aren’t supported for upsell (NetSuite Help, Contract Upsell, no date shown).
- No renewals generated. Confirm R05 is scheduled, Enable Script R05 is checked and Restrict to Customer is cleared.
- Renewal leaves out add-ons. In SuiteBilling, a renewal to a different plan includes only the lines defined in that plan (NetSuite Help, no date shown).
Limitations of the native features
The Oracle help topics we reviewed do not describe drafting, redlining or e-signing contract documents in either product; both work from sales transactions and subscription records. Contract Renewals depends on scheduled scripts, and return authorizations not approved before renewal aren’t reflected in it. A SuiteBilling billing operation processes up to 100,000 lines. Notice-period alerts are not a single setting: Oracle suggests reminders or saved searches filtered on Order Type = Renewal (NetSuite Help, no date shown), which our NetSuite saved search guide explains.
When companies add a third-party tool
Teams add a contract lifecycle management (CLM) tool when legal needs clause libraries, negotiation and signature before the order reaches NetSuite. Others add CPQ when quoting rules outgrow NetSuite estimates. Our guide to quote-to-cash automation covers how those systems hand off to billing and revenue recognition.
How we researched this
We read the Oracle NetSuite Help Center topics for the Software Vertical Contract Renewals SuiteApp, SuiteBilling setup and management, and SuiteBilling revenue recognition, plus NetSuite’s SuiteBilling product page and FASB ASU 2014-09. Oracle’s help pages show no revision dates, so confirm details in your account before go-live.

Frequently asked questions
Does NetSuite have contract management built in?
Not in the core license. Customer contract records come from the Contract Renewals SuiteApp or SuiteBilling subscriptions, and both are purchased separately.
Can I use Contract Renewals and SuiteBilling together?
The Oracle help topics we reviewed do not describe a combined setup. Each product manages renewals on its own record. Confirm any mixed design with Oracle.
How far ahead does NetSuite create a renewal?
Contract Renewals defaults to 90 days before the end date, overridable per contract. SuiteBilling uses the Before Subscription End Date value you enter; Oracle recommends at least 30 days.
Do I need Advanced Revenue Management with SuiteBilling?
Oracle states that SuiteBilling integrates with revenue recognition, and its item setup uses ARM rules such as Default Fixed Recurring Fee. Plan on configuring ARM alongside SuiteBilling.
