NetSuite Average Cost Problems: Why Item Costs Spike and How to Fix Them

NetSuite Average Cost Problems: Why Item Costs Spike and How to Fix Them

Last updated: November 3, 2026 · Independent guide · We do not sell rankings or coverage.

NetSuite average cost goes wrong when the quantity or value it divides by is wrong at one location: units sold below zero on hand, receipts entered at $0, backdated transactions, freight added after most units have shipped, or transfers that arrive with no cost. NetSuite keeps a separate moving average per item and location, so one bad transaction at a low-stock location can move the unit cost, and every later COGS line, a long way. This guide covers how to confirm and fix each cause, plus a month-end check.

Symptoms, likely causes and fixes

Symptom Likely cause First fix
Location cost jumps or collapses right after a receipt Item was negative on hand when the receipt posted Clear negatives; date receipts when goods arrived
Average cost drifts toward $0 Adjustments or receipts entered at $0 unit cost Edit the source transactions to carry the real cost
COGS changes in a period you thought was final Backdated receipt, adjustment or edit Block costing changes in closed periods
Spike on a few remaining units after a freight bill Landed cost added after most units shipped Split the cost between COGS and inventory
Destination warehouse far cheaper than the source Transfer order received with no transfer price Set transfer prices; revalue the destination
Old cost still showing hours after a fix Cost accounting run Pending, Processing or Failed Check Cost Accounting Status

How NetSuite calculates average cost by location

Oracle describes average costing, the default method, as a moving average: beginning inventory cost plus additions, divided by units available (Oracle, Costing Methods, no date shown). With Multi-Location Inventory the average is kept per location; Oracle’s returns example shows one widget costing $10 at Location A and $12 at Location B (Oracle, Returned-Item Costing, no date shown). Four documented rules explain most problems:

  • Cost comes from the item receipt, not the vendor bill. A price change on the bill does not update item costing; the difference goes to Accrued Purchases.
  • When inventory is negative, NetSuite costs the sale at the last purchase price.
  • Any change to costing history recalculates the item from that date forward (Oracle, Inventory Costing Recalculations, no date shown).
  • You cannot change an item’s costing method once the record is saved. See our guide to inventory costing methods.

Because each location divides by its own quantity, spikes cluster in low-stock locations such as overflow warehouses and returns areas.

Cause 1: Negative (underwater) inventory

Oracle calls a sale made below zero on hand “underwater” and warns it “can lead to skewed results for reports and inventory data” (Oracle, Avoiding Underwater Inventory, no date shown). NetSuite costs the sale at an estimate, then posts a system COGS adjustment when a receipt, bill, unbuild or adjustment brings the balance back above zero, dated with that transaction rather than the sale (Oracle, System COGS Adjustments, no date shown).

How to confirm it. Go to Transactions > Inventory > Review Negative Inventory, enter the period-end date and filter by location (Oracle, Reviewing Negative Inventory, no date shown). In the Inventory Activity Detail report, look for fulfillments posted before the receipt.

How to fix it. Post missing receipts dated when goods arrived, if that period is open. Do not post a positive adjustment at a guessed cost to clear the balance. Our negative inventory guide covers the root causes.

Illustration (constructed numbers). East warehouse ships 50 units on October 31 with zero on hand and a $10 last purchase price, so COGS is $500. On November 2 it receives 100 units at $12. The 50 units should have cost $600, so NetSuite posts a $100 COGS adjustment dated November 2. October margin is overstated.

Cause 2: Receipts or adjustments entered at $0

An adjustment that adds units at a $0 estimated unit cost, or a receipt from a purchase order with no rate, adds quantity without value. Anchor Group, a NetSuite partner, describes users adding 860 units at $0 while on hand was zero, leaving the item valued at $0 (Anchor Group, September 10, 2026).

How to confirm it. On the item’s Purchasing/Inventory > Locations subtab, follow the link to the transaction behind the last purchase price.

How to fix it. Edit each source transaction to the correct unit cost. Anchor Group warns that “simply bringing in additional inventory with a value greater than $0 will not correct the problem,” because the average spreads the error. Our NetSuite inventory adjustment guide covers reason codes and approvals that stop $0 adjustments at entry.

Cause 3: Backdated receipts, adjustments and edits

A backdated transaction rewrites costing history, so every later transaction for the item is recalculated. A back-dated inventory adjustment recalculates only its own items, but a back-dated Adjust Inventory Worksheet recalculates all items (Oracle, Recalculations on Inventory Adjustments, no date shown).

How to confirm it. Run a saved search on inventory transactions where the date created falls in a later period than the transaction date.

How to fix it. Oracle advises against reopening closed periods to edit receipts, since that changes past results, and recommends an inventory adjustment in the current period (Oracle, Costing Methods). To stop it recurring, clear Create and Edit Inventory Transactions Dated in Closed Periods on the General subtab of Accounting Preferences (Oracle, General Accounting Preferences, no date shown).

Cause 4: Landed cost added late

NetSuite allocates landed cost to items when you save the receipt or bill that carries it (Oracle, Entering Landed Cost on a Transaction, no date shown). Once the receipt period closes, you cannot update landed cost on that receipt natively. Anchor Group documents a workaround using imported paired adjustments (Anchor Group, September 10, 2026).

Illustration (constructed numbers). You receive 100 units at $20 and sell 95 before a $1,500 freight bill arrives. Put the whole bill on the 5 units left and their value goes from $100 to $1,600, so the average jumps from $20 to $320. The correct split is $75 to inventory and $1,425 to COGS.

How to fix it. If the receipt period is open, allocate on the receipt and let NetSuite recalculate COGS for units sold. If it is closed, post the sold share to COGS by journal entry and only the on-hand share to inventory value. Our NetSuite landed cost guide covers estimated landed cost templates that reduce late bills.

Cause 5: Transfers between locations

Oracle states that when Use Item Cost as Transfer Cost is cleared, the transfer price becomes the item cost on the receipt, and “if no transfer price is entered on the transfer order, no cost is recorded on the item receipt.” The difference between actual cost and transfer price posts to a gain/loss account at shipment (Oracle, Transfer Order Preferences, no date shown). The preference sits at Setup > Accounting > Accounting Preferences, Order Management subtab.

How to confirm it. Compare source and destination averages on the Locations subtab, then check line costs on recent transfer receipts.

How to fix it. Give every transferred item a transfer price, then reset the destination value with the worksheet below. Group Average items cannot use the worksheet (Oracle, Group Average Costing, no date shown).

Revaluation and recalculation: which tool fixes what

Oracle’s inventory cost revaluation record is for “items configured to use standard costing” and is available only when the Standard Costing feature is enabled (Oracle, Inventory Cost Revaluation, no date shown). For average cost items, the worksheet does that job.

Tool Applies to Use it when
Edit the source transaction All methods Receipt or adjustment cost is wrong and its period is open
Adjust Inventory Worksheet Average (not Group Average) Location value must be reset in the current period
Inventory Cost Revaluation Standard cost items The standard cost itself must change

Using the worksheet. At Transactions > Inventory > Adjust Inventory Worksheet, select the location and overwrite the New Value column; Oracle notes the Estimated Total Value shows the net change, not the new value (Oracle, Creating an Inventory Worksheet, no date shown). Date it in the current period, since a back-dated worksheet recalculates every item, and post the correction for units already sold to a COGS or variance account.

Watching the recalculation. The Cost Accounting Status field on item records, hidden by default, shows Pending, Processing, Complete or Failed per location, and the Inventory Cost Accounting workbook lists items not yet complete (Oracle, Cost Accounting Status, no date shown). SuitePedia, run by a NetSuite development firm, suggests contacting Support when an item stays stuck beyond 24 hours (SuitePedia, no date shown).

A month-end check that catches spikes early

  1. Clear negatives. Run Review Negative Inventory as of period end for every location. Oracle lists it as a period close task.
  2. Confirm costing finished. Resolve anything Pending, Processing or Failed in the Inventory Cost Accounting workbook (Oracle, no date shown).
  3. Flag outliers. Build an item saved search by location comparing average cost with last purchase price and last month’s average. Flag low-quantity lines that move more than a threshold you set (25% is an illustrative starting point).
  4. Find $0 additions. List receipts and adjustments in the period that add quantity at zero cost.
  5. Review late costs. List freight bills for earlier-period receipts and backdated inventory transactions.
  6. Tie out. Reconcile the Inventory Valuation report to the inventory asset accounts by subsidiary.

How to prevent it

Oracle’s underwater inventory guidance is mostly process: enter receipts promptly with the receipt date, sell and fulfill through sales orders, set Fulfill Based on Commitment to Limit to Committed, and count regularly. Add these settings:

  • Prevent Negative Inventory at Setup > Company > General Preferences, Custom Preferences subtab, which blocks saving transactions that leave an item negative. It requires the Enhanced Validations and Defaulting SuiteApp (Oracle, Prevent Negative Inventory, no date shown).
  • Closed-period costing locked by clearing Create and Edit Inventory Transactions Dated in Closed Periods.
  • Transfer prices on every item that moves between locations.
  • A required unit cost on quantity-increasing adjustments, enforced by workflow or approval.

How we researched this

We read Oracle’s NetSuite help on costing methods, recalculations, system COGS adjustments, returns, transfers, landed cost, the worksheet and revaluation, checked November 3, 2026; Oracle’s pages show no publication date. We also reviewed the pages ranking for “netsuite average cost”: an AP automation vendor’s glossary, Anchor Group’s partner articles and a third-party documentation site. None maps each cause to the per-location calculation or separates the worksheet from standard-cost revaluation. Illustrations use constructed numbers.

Frequently asked questions

Why did my item’s average cost suddenly spike in NetSuite?

A large value change landed on a small quantity at one location. Usual triggers are a receipt that cleared a negative balance or a late freight bill posted onto the few units left. Check the location’s on-hand quantity and its latest transactions first.

Is NetSuite average cost calculated per location?

Yes, with Multi-Location Inventory each location keeps its own average. For one average across several locations, Oracle offers Group Average costing, which divides total group value by total group quantity. You cannot switch an existing item’s method after saving it.

Can I use Inventory Cost Revaluation on average cost items?

Oracle documents that record only for items configured to use standard costing, and it is available only when the Standard Costing feature is enabled. For average cost items, reset value with the Adjust Inventory Worksheet dated in the current period.

Why didn’t changing the vendor bill price fix the item cost?

NetSuite costs inventory from the item receipt, and Oracle states that bill price changes post to Accrued Purchases. Edit the receipt if its period is open, or adjust in the current period if not.
