NetSuite 1099 Reporting: Vendor Setup, 1099 Categories and Filing

Last updated: November 6, 2026 · Independent guide · We do not sell rankings or coverage.
NetSuite 1099 reporting works in three layers: you mark each contractor as 1099 Eligible, assign a 1099 category to every expense account that carries reportable payments, and pay the bills so NetSuite totals them on a cash basis. NetSuite does not print or file the forms. Instead, you install a free provider bundle, run its saved searches for Form 1099-NEC and Form 1099-MISC, and send the export to a filing partner or upload it yourself to the IRS IRIS portal.
Before you start
- Location: a US company or subsidiary. Oracle says a vendor can only be 1099 eligible if its address is in the United States or a US territory (Oracle, Vendor Records for 1099 Contractors, no date shown).
- Roles: rights to edit vendors and accounts. World Synergy, a NetSuite partner, says installing the report bundle needs an Administrator account (World Synergy, December 22, 2025).
- A filing route: a provider with a NetSuite bundle (Oracle names Sovos and Avalara) or an IRIS Transmitter Control Code (TCC) to file directly.
- Current rules: for payments made in 2026, the IRS threshold for nonemployee compensation and most 1099-MISC boxes is $2,000, royalties stay at $10, and nonemployee compensation is reported in box 1a of Form 1099-NEC (IRS Instructions for Forms 1099-MISC and 1099-NEC, Rev. December 2026). Oracle’s help pages still refer to a $600 threshold, so do not take thresholds from them.
- Clean W-9 data: legal name, tax ID and US address for every contractor, ideally checked through IRS TIN matching.
Step 1: Mark contractors as 1099 eligible
Go to Lists > Relationships > Vendors, click Edit next to the vendor, open the Financial subtab and check 1099 Eligible under Tax Information, then save (Oracle, Making a Vendor 1099 Eligible, no date shown).
RSM, a NetSuite consultant, recommends entering the vendor’s Tax ID and address when you check the box (RSM, January 30, 2025, updated August 10, 2026).
Do not mark corporations as eligible unless they fall into an IRS exception, such as law firms paid for legal services or medical providers. Our guide to 1099-NEC vs 1099-MISC lists these exceptions and the box for each payment type.
Step 2: Map expense accounts to 1099 categories
Go to Lists > Accounting > Accounts and click Edit next to the expense account, or click New to create one. For a new account, set Type to Expense or Other Expense, which enables the 1099-MISC Category field. Select the category that matches the payments booked to that account and save (Oracle, Associating an Expense Account with 1099-MISC Categories, no date shown).
Oracle sets two rules: each category corresponds to a box on the form, and you cannot add or delete categories.
The field is still labelled 1099-MISC even though service payments go on Form 1099-NEC. Oracle’s help does not list the category values, and users on the Oracle community forum ask where the NEC categories are (Oracle NetSuite Community, no date shown). The NEC and MISC split happens in the provider bundle (Step 4), so confirm which category its NEC search reads before you map accounts.
Because the category lives on the account, design the chart of accounts around it, as in this illustration.
| Expense account (illustrative) | Form and box it should feed | Setup note |
|---|---|---|
| 6100 Contract labor | 1099-NEC, box 1a | Service fees only, no materials. |
| 6110 Legal fees | 1099-NEC, box 1a | Reportable even when the firm is a corporation. |
| 6200 Rent, office and equipment | 1099-MISC, box 1 | Not reportable if paid to a property manager. |
| 6300 Royalties | 1099-MISC, box 2 | $10 threshold. |
| 6900 Office supplies | None | Leave the category blank. |
Step 3: Code bills and pay them
Oracle’s sequence is to select an expense account with a 1099 category on each vendor bill line, then pay the bill. Paying the bill converts the transaction to a cash basis, which is how the IRS counts the payment (Oracle, no date shown).
Exclude card payments. The IRS says payments by credit card or payment card are reported on Form 1099-K instead (IRS, Rev. December 2026).
Step 4: Install the 1099 Vendor Payment Report bundle
Go to Customization > SuiteBundler > Search & Install Bundles, enter “1099 Vendor Payment Report” in the Keywords field, click the bundle for your provider, then click Install and Install Bundle (Oracle, Form 1099-MISC, no date shown).
According to the Oracle NetSuite Community, the updated versions install two searches, “1099 Vendor Payment Report – MISC” and “1099 Vendor Payment Report – NEC.” The NEC search includes all federal tax withholding in box 4, on the assumption that it relates to nonemployee compensation, and the MISC search excludes it. The Yearli bundle (ID 199464) and the Track1099 bundle (ID 250920) are managed bundles, so updates are pushed to your account (Oracle NetSuite Community, no date shown). If you withheld federal tax on a MISC payment, you must add it to the exported MISC file by hand.
Step 5: Run and adjust the 1099 report
Go to Reports > Saved Searches > 1099 Vendor Payment Report – Vendor Name > Edit (Oracle). Set the date range to calendar 2026. Anchor Group, a NetSuite consultant, says that in its Yearli setup several payer-related formula fields in the search results were updated to show the business’s information, so check them before export (Anchor Group, October 26, 2026).
Oracle gives one adjustment by name: to include check payments, you might replace the Date Closed field with the Date field. Oracle also warns that the report includes all vendor payments, so you must filter out vendors below the IRS threshold. For 2026 payments, use $2,000 for NEC box 1a and the main MISC boxes and $10 for royalties. Review the results, then export to CSV or Excel. Our NetSuite saved search guide explains how to add criteria and summary filters.
Step 6: Reconcile and fix missing amounts
Before you export, total 2026 payments to 1099-eligible vendors from a separate transaction search and compare that figure with the NEC and MISC report totals. The table lists the causes described in Oracle’s help and consultant guides.
| Symptom | Likely cause | Fix |
|---|---|---|
| Vendor missing from the report | 1099 Eligible not checked, or the address is outside the US and its territories | Check the box on the Financial subtab and correct the address, then rerun. |
| Vendor appears but the amount is low | Some bill lines hit an account with no 1099 category | Set the category on the account, or recode the lines to a mapped account. |
| Check payments missing | The search filters on Date Closed | Replace Date Closed with Date, as Oracle suggests. |
| Bills entered but nothing reported | Bills are unpaid, or were paid after December 31 | No fix needed if paid in 2027. Otherwise apply the payment to the bill. |
| Amount on the wrong form | The account carries the wrong category | Change the category or split the account, then rerun both searches. |
| Amount too high | Card payments, reimbursed materials or vendor credits not netted | Exclude card payments and review credits and reversals. |
Houseblend, a NetSuite consultant, also suggests testing partial payments, prepayments and reversals before you freeze the export (Houseblend, October 8, 2026, updated October 14, 2026).
Illustration. A design contractor billed $14,500 in 2026. The report shows $9,000. Your transaction search shows a $3,500 bill coded to 6900 Office supplies, which has no category, and $2,000 paid by company card. Recode the $3,500 bill line to 6100 Contract labor, leave the card payment out, and the NEC total becomes $12,500. These figures are illustrative.
A vendor master review prevents most of these gaps. See our article on vendor master data management.
Step 7: E-file through a filing partner or IRIS
Through a filing partner. Export each search to CSV and import it with the provider’s NetSuite template. Yearli lists Premier federal e-file at $0.38 per form for up to 2,500 forms and state e-file at $0.56 (Yearli, no date shown, checked November 6, 2026). Avalara, which sells its 1099 product as Avalara (Track1099), lists IRS e-filing at $3.10 per form for the first 15 forms, falling to $0.63 from 501 forms (Avalara, last modified October 15, 2026).
Directly with the IRS through IRIS. The IRIS Taxpayer Portal is free. It accepts returns keyed by hand or uploaded as a .csv file, up to 100 returns at a time, and lets you download recipient copies. You need an IRIS TCC to use it (IRS, last reviewed October 26, 2026). The bundle exports are built for each provider’s import format, so you will need to rearrange the columns to the IRIS layout before you upload.
Apply for the TCC now. The IRS says FIRE takes its last production returns on November 19, 2026, and that IRIS will be the only electronic filing system for information returns after January 1, 2027 (IRS, last reviewed October 30, 2026).
Form 1099-NEC is due to recipients and the IRS on February 1, 2027, because January 31 falls on a Sunday. Form 1099-MISC is due to recipients on the same day and to the IRS by March 31, 2027 if filed electronically, based on the January 31 and March 31 dates in the IRS instructions. For returns due in 2027, the IRS penalty is $60 per return if filed correctly within 30 days, $130 by August 1 and $340 after that (IRS, last reviewed October 30, 2026).
Common mistakes and how to fix them
- Using the $600 threshold. Oracle’s vendor topic still cites $600. Filter at $2,000 for 2026 payments.
- Mapping a mixed account. An account that mixes service fees with goods or rent sends every dollar to one box. Split it.
- Running an old bundle. If your account shows a single MISC search, update the bundle so you get the separate NEC search.
Limitations of the native feature
NetSuite does not generate, print or e-file Forms 1099-NEC or 1099-MISC. The category field carries MISC naming with undocumented values, so NEC mapping depends on your provider’s bundle. Oracle also says the saved search might not include all the information you need to report.
When companies add a third-party tool
Companies add tools when they have hundreds of contractors, several US subsidiaries or frequent mismatches. Vendor onboarding tools collect 1099 status and W-9 data before the vendor record reaches NetSuite. Our guide to vendor onboarding software compares the wider options. Filing partners add state filing and printed recipient copies, which Yearli and Avalara both price per form, and Avalara also sells TIN matching. Compare those fees against your form count and the free IRIS portal.
How we researched this
We read Oracle’s NetSuite help on 1099 vendors, categories and the 1099 Vendor Payment Report, the December 2026 IRS instructions, and the IRS IRIS, FIRE and penalty pages. We reviewed the top-ranking pages for this search from RSM, Houseblend, World Synergy, Anchor Group and Charted, all of which sell NetSuite services or add-ons, plus Yearli and Avalara pricing. Frequently asked questions
Can NetSuite print or e-file 1099 forms?
No. Oracle’s help says NetSuite does not support 1099-MISC forms and provides saved searches to export the payment data instead. You file through a provider such as Yearli, Avalara or Sovos, or through the IRS IRIS portal.
How do I get 1099-NEC amounts out of NetSuite?
Install the current 1099 Vendor Payment Report bundle for your provider, which adds a separate NEC search beside the MISC search, according to the Oracle NetSuite Community. Map service expense accounts to the category that search reads.
Why is a vendor missing from my NetSuite 1099 report?
Common causes are an unchecked 1099 Eligible box, an address outside the US and its territories, or bills coded to accounts with no 1099 category. Check payments can also drop out if the search filters on Date Closed, which Oracle suggests replacing with Date.
Is the NetSuite 1099 threshold $600 or $2,000?
For payments made in 2026, the IRS threshold is $2,000 for nonemployee compensation and most 1099-MISC boxes, and royalties stay at $10. NetSuite’s help still mentions $600, so set your report filter from the IRS instructions.
