NetSuite Excel Integration: Live Data in Excel Without CSV Exports

Last updated: November 4, 2026 · Independent guide · We do not sell rankings or coverage.
You can get real-time NetSuite data in Microsoft Excel three ways: native exports from saved searches and reports, an ODBC connection through SuiteAnalytics Connect, or a third-party Excel add-in. Native exports cost nothing extra but go stale once saved. SuiteAnalytics Connect gives you a refreshable query in Excel, but it is a paid NetSuite add-on that an administrator must set up. Add-ins add point-and-click reporting and sometimes write-back, at a separate subscription price.
How we researched this
We built every step from Oracle’s NetSuite Applications Online Help and Microsoft’s Excel documentation, checked on November 4, 2026, and give menu paths only where Oracle or Microsoft states them. Oracle’s help pages show no revision date. We flag sources that sell add-ins. The top-ranking pages for this search are mostly add-in vendor blogs that skip Connect’s role restrictions, the Excel Web Query option and its security risk, and journal import limits.
Before you start
- Export permissions. To export search results you need the Export Lists and Perform Search permissions (Oracle, Exporting Search Results).
- A SuiteAnalytics Connect subscription if you want ODBC. If the feature box is missing, Oracle says it “has not been provisioned for your account” (Oracle, Enabling the Connect Service Feature).
- The SuiteAnalytics Connect permission on the role each analyst will use. Oracle states you need it “to download a Connect driver and access NetSuite data” (Oracle, Connect Permissions).
- Windows and local administrator rights to install the ODBC driver. Oracle says domain administrator installs may fail, and the latest Microsoft Visual C++ Redistributable must be installed first (Oracle, Downloading and Installing the ODBC Driver for Windows).
- Journal import permissions: Make Journal Entry and Posting Period on Transactions, plus Import CSV File for multi-entry imports (Oracle, Importing a Journal Entry).
Step 1: Choose the method for each workbook
| Method | Refresh | Licensing | Best for |
|---|---|---|---|
| Saved search export to .xlsx | None. Re-export each time, or schedule an emailed Excel file | Core NetSuite | Period-end snapshots, one-off analysis |
| Saved report as Excel Web Query (.iqy) | Refresh Data in Excel | Core NetSuite | Non-financial-statement reports shared with a small team |
| SuiteAnalytics Connect (ODBC) | On open or every n minutes in Excel desktop | Paid NetSuite add-on, price not published by Oracle | GL detail, budget vs actual models, pivot tables |
| Third-party Excel add-in | On demand or scheduled, by product | Separate subscription; some also need Connect | Formula-driven reporting, drill-down, write-back |
Zone & Co, which sells an add-in built on Connect, describes Connect as “purchased in addition to your core NetSuite platform” (Zone & Co, May 13, 2026). Oracle does not publish a price.
Step 2: Export a saved search to Excel
Run the saved search, then click Export – Microsoft® Excel on the results page. Oracle states this produces an XLSX file; Export – CSV and Export – PDF sit beside it (Oracle, Exporting Search Results).
To receive the file without logging in, schedule the search to email an Excel attachment, as our NetSuite saved search guide explains. Each export is a snapshot, so name files with the period and run date.
Step 3: Make a saved report refreshable with Excel Web Query
NetSuite can publish a saved report as an Excel Web Query file that refreshes on demand (Oracle, Exporting a Saved Report as an Excel Web Query):
- Click Customize on the report, or Edit next to it in your saved reports list, to open the Report Builder.
- Click More Options, check Allow Web Query and click Save.
- Run the report and select Export-Excel Web Query in the footer. NetSuite saves an .iqy file.
- Open the file in Excel, enter your NetSuite login email (it is case sensitive) and click Refresh Data whenever you want current figures.
Two restrictions matter. Oracle states Web Query is not available for financial statements, including the Income Statement, Balance Sheet, Cash Flow Statement and Budget vs. Actual reports and their detail, comparative and budget versions. And Oracle warns that anyone you share the .iqy file with “can run the report at any time and see the same live data you can, even if their role wouldn’t normally give them access.” Treat these files like credentials.
Step 4: Enable SuiteAnalytics Connect
An administrator goes to Setup > Company > Enable Features, opens the Analytics subtab and checks SuiteAnalytics Connect (Oracle, Enabling the Connect Service Feature). Oracle notes this turns on OAuth 2.0 automatically, which it calls the preferred authentication method.
Step 5: Give analysts a role that can reach NetSuite2.com
Connect returns only the data the user’s role can see. Oracle states that NetSuite2.com is not accessible to the Administrator role, Full Access roles, roles requiring two-factor authentication, or roles with IP restrictions on Connect, although Administrator can connect through OAuth 2.0 (Oracle, Role and Permission Considerations for NetSuite2.com).
Create a custom reporting role with the SuiteAnalytics Connect permission and view access to the transactions, accounts and subsidiaries your models need.
Step 6: Download and install the ODBC driver
Log in with the reporting role and click Set Up SuiteAnalytics Connect in the Settings portlet on your home page. If the link is missing, Oracle says you need to enable the Connect Service (Oracle). Oracle’s Excel walkthrough pairs a 32-bit driver with 32-bit Excel, so match the driver to your Excel build (Oracle, Accessing the Connect Service Using Microsoft Excel).
Step 7: Configure the ODBC data source
The driver download page lists your Account ID, Role ID and Service Host under Your Configuration. Open the Windows ODBC administrator, select the System DSN tab, then select the NetSuite data source and click Configure (or Add if it is not listed) (Oracle, Configuring the ODBC Data Source on Windows).
| Field | Value |
|---|---|
| Account ID and Role ID | From Your Configuration; the Role ID must be the reporting role |
| Service Host and Service Port | Auto-populated; port 1708 |
| Service Data Source | NetSuite2.com, selected with Browse |
Oracle states that NetSuite.com is no longer available as of NetSuite 2026.1. Name the DSN (for example, NetSuite), click Test Connect, enter your credentials and click OK.
Step 8: Connect Excel and set the refresh schedule
In current Excel, select ODBC from Get Data, choose your DSN in the From ODBC dialog and click OK, then authenticate and pick tables in Navigator (Microsoft Learn, ODBC connector, September 29, 2026). Oracle’s Excel 2016 walkthrough recommends typing an explicit SQL statement, because selecting whole tables can fail (Oracle).
Name only the columns you need: Oracle states that queries returning more than 999 fields fail. Load the result to a table and build pivots and lookups on it.
To refresh automatically, open the connection’s Properties from Queries & Connections and, on the Usage tab, check Refresh data when opening the file or Refresh every n minutes (Microsoft Support, Refresh an external data connection, September 23, 2026). Leave Save password unchecked, because Microsoft warns the saved password is not encrypted (Microsoft Support, Connection properties, June 25, 2026).
Step 9: Upload journal entries from Excel
NetSuite’s native route back from Excel is a CSV import of your upload sheet.
- For one entry, go to Transactions > Financial > Make Journal Entries > Import, download the Single Journal Entry Template File, fill it and upload it (Oracle, Importing a Journal Entry).
- For many entries, go to Setup > Import/Export > Import CSV Records, choose Import Type Transactions and Record Type Journal Entry (Oracle, Journal Entry Import).
- Put the same External ID or Entry No. on every line of an entry, and repeat header fields such as date on each row (Oracle, Journal Entry CSV Files).
- Review the field mapping and click Run. If the job fails, the CSV Response link opens a results.csv file with your data and the error message (Oracle, Importing a Journal Entry).
Oracle’s limits: each entry needs at least two lines with balancing debits and credits (Oracle, Journal Entry CSV Files), each entry can have up to 10,000 lines (Oracle, Journal Entry Import), and each uploaded file can hold 25,000 records (Oracle, Select a File for Import). In OneWorld, journal entry import and intercompany journal entry import are separate tasks in the Import Assistant. For the entries themselves, see our adjusting journal entries guide.
Common mistakes and how to fix them
- Connect works for IT but fails for analysts. The analyst’s role likely requires two-factor authentication or has IP restrictions, which block NetSuite2.com. Use a dedicated reporting role.
- “Could not find any column information for table”. Oracle lists this as an error you may see when a table exceeds the 999-field limit. Replace SELECT * with a named column list.
- Excel totals do not match NetSuite. The role cannot see every subsidiary or account, or the query includes non-posting lines. Tie each model to a standard report total, as you would in a month-end close checklist.
- A Web Query file will not refresh. Oracle notes that .iqy files exported during a SAML single sign-on session may not retrieve data. Log in through the NetSuite login page and export again.
- Journal import splits or merges entries. The External ID column is missing or inconsistent across lines.
Limitations of the native options
Exports are static, so you rebuild the workbook every period. Excel Web Query excludes the financial statements, and its sharing model bypasses role security. Oracle documents Connect for querying data with SQL, so journal uploads still go through the CSV Import Assistant. Connect also requires analysts to know NetSuite’s table and field names, which Zone & Co describes as a “semi-technical skillset” (Zone & Co, May 13, 2026). Microsoft’s timed refresh steps are written for the Excel desktop app.
When companies add a third-party Excel add-in
Teams add one when analysts want balances in cell formulas without SQL, drill-down to transactions, or journal posting from a worksheet:
- CData Excel Add-In for NetSuite lists a Desktop Starter Edition at $2,399 per year for up to three desktops; larger teams get a quote (CData, no date shown, checked November 4, 2026). CData’s separate Connect Spreadsheets add-in can push cell edits back to NetSuite (CData, no date shown).
- Coefficient publishes Free, Starter ($49 per month) and Pro ($99 per user per month) plans, but lists NetSuite as a premium source available only on its custom-priced Enterprise plan (Coefficient pricing, November 2, 2026).
- Solution 7 by Zone & Co offers live refresh and drill-down to transactions; pricing is not published (Zone & Co, December 5, 2025). Numeric reports that it connects through SuiteAnalytics Connect, so budget for both (Numeric, October 5, 2026; Numeric sells finance software).
- CloudExtend Excel for NetSuite (Celigo) creates NetSuite records from Excel table rows (Celigo help center, no date shown).
In a trial, ask each vendor whether it needs a Connect license, whether it respects NetSuite role permissions, and whether write-back follows your journal approval routing.

Frequently asked questions
Can I connect NetSuite to Excel for free?
Yes, for static data. Saved search exports, scheduled Excel emails and Excel Web Query for saved reports are part of core NetSuite. Refreshable ODBC queries need SuiteAnalytics Connect, a paid add-on for which Oracle does not publish a price.
Can I refresh a NetSuite balance sheet in Excel?
Not through Excel Web Query, because Oracle excludes the Balance Sheet and Income Statement from that option. You can rebuild the statement from a SuiteAnalytics Connect query, or use an add-in that reports balances by account and period.
How do I upload a journal entry from Excel to NetSuite?
Save the worksheet as CSV and import it through Setup > Import/Export > Import CSV Records with Record Type Journal Entry. Give every line of an entry the same External ID and make sure debits equal credits, or the import rejects the entry.
Why can’t I connect to NetSuite2.com with the Administrator role?
Oracle blocks the Administrator role from NetSuite2.com unless you connect with OAuth 2.0. Roles that require two-factor authentication or have IP restrictions are also blocked, so use a dedicated reporting role.
