NetSuite Demo: What Oracle Shows You, What to Ask, and a Demo Script to Bring

NetSuite Demo: What Oracle Shows You, What to Ask, and a Demo Script to Bring

Last updated: November 3, 2026 · Independent guide · We do not sell rankings or coverage.

A NetSuite demo usually runs in three rounds: a discovery call with an Oracle NetSuite account executive, a standard demo built around a SuiteSuccess industry edition, and, if you ask for it, a scripted demo of your own processes. The first two rounds show a clean, preconfigured account and rarely cover licensing, add-on modules, service tiers or partner fees. You get the most from a NetSuite demo when you send your own script by process area and hold back a list of cost questions for the end of each session.

How we researched this

We read Oracle’s own SuiteSuccess page and the NetSuite Help Center pages on service tiers, user license types, SuiteCloud Plus, sandbox accounts and OneWorld, checked on November 3, 2026. We also reviewed the pages ranking for “NetSuite demo,” mostly partner and lead referral demo forms, and independent guidance on scripted demos. Where a source sells NetSuite licenses, implementation services or advisory work, we say so. NetSuite does not publish list prices, so this guide does not estimate them.

The NetSuite demo process in six stages

  1. Prepare internally: agree requirements, the evaluation team and how you will score.
  2. Discovery call: the account executive qualifies you and picks the edition and modules to show.
  3. Standard demo: a solution consultant presents a preconfigured SuiteSuccess account.
  4. Scripted demo: NetSuite (or a partner) runs your scenarios on data close to yours.
  5. Licensing, module and partner cost review: you get a line-item quote and the answers the demo skipped.
  6. Validation and decision: references, a trial or sandbox walkthrough, and a scored comparison.
Stage Responsible Accountable Consulted / informed
1. Prepare internally Project lead (often the controller) CFO or COO sponsor Department heads, IT
2. Discovery call Project lead CFO or COO sponsor NetSuite account executive
3. Standard demo Evaluation team Project lead NetSuite solution consultant
4. Scripted demo Process owners who score Project lead Solution consultant, proposed partner
5. Cost review Finance lead, procurement CFO Account executive, partner, legal
6. Validation and decision Project lead Executive sponsor References, board or owners

Stage 1: Prepare before you take the first call

Owner: your project lead, with the sponsor signing off. Inputs: current pain points, transaction volumes, entity count, user counts by role and the systems NetSuite would replace or connect to. Output: a short requirements list, a demo script and a scoring sheet.

ERP Research advises sending a vendor one real product structure, three painful transactions, your close timetable, user counts by role and agreed success criteria before the demo (ERP Research, July 22, 2026; the site shares enquiries with partners in its directory, where paying partners appear first). Panorama Consulting, an independent ERP consultancy, recommends scoring sheets tied to your script and the same attendees at every vendor session (Panorama Consulting, June 25, 2019).

What goes wrong: teams take the first call without user counts by role, which lets the vendor size the deal.

Stage 2: The discovery call

Owner: your project lead, opposite the NetSuite account executive. An Oracle NetSuite job posting describes the account executive as handling lead qualification and solution proposals alongside solutions consultants (Teal job listing, viewed November 3, 2026). A third-party interview guide describes the NetSuite solutions engineer as the technical lead who runs discovery sessions and turns them into customized demos (Dataford, August 13, 2026).

Inputs: your revenue, industry, entity count and current systems. Output: the account executive picks the SuiteSuccess edition, modules and personas to show you.

Control: ask on this call who will run the demo, whether a partner will join, and whether the demo account will be configured with your entities and items. Send your script in writing afterward so the agenda is on record.

What goes wrong: you answer every qualification question but leave without knowing which modules the demo will assume.

Stage 3: The standard demo, and what Oracle shows you

Owner: the NetSuite solution consultant presents; your evaluation team watches and takes notes. ERP Research describes three demo formats: a 5 to 15 minute recorded tour, a 45 to 60 minute standard live demo, and a 2 to 4 hour scripted demo on your processes, and notes that standard demos use curated demo data and “almost never” show data migration, integrations, performance at your transaction volume or what happens at renewal when your user count has grown (ERP Research, July 22, 2026).

The standard demo is usually framed around a SuiteSuccess edition. Oracle describes SuiteSuccess as a customer lifecycle methodology with four stages (Build, Engage, Consume, Optimize) and lists 17 editions, including Financials, Starter, Manufacturing, Wholesale Distribution, Software, Services, Retail and Nonprofit. Each includes industry KPIs, role-based dashboards, reports and workflows, and Oracle says “preconfigured, fixed-fee packages” get customers live (Oracle NetSuite, SuiteSuccess, no date shown). The SuiteSuccess page does not list the modules in each edition, so ask.

What goes wrong: preconfigured dashboards look finished, so evaluators score the presentation rather than the fit. Ask after each screen which modules and license types it needs.

Stage 4: The scripted demo, with a script to bring

Owner: your process owners score; the solution consultant, and often the partner who would implement, presents. Panorama recommends having each vendor run the same scenarios in the same time, supplying your own demo data, and treating a vendor that refuses to follow the script as a warning sign (Panorama Consulting, June 25, 2019). ERP Focus recommends a task-level script that includes future growth needs (ERP Focus, September 3, 2018).

Replace each scenario below with one of your own transactions.

Process area Ask them to show Watch for
Record to report Your month-end close checklist: accruals, a recurring journal, bank reconciliation, period lock and the financial package you send the board Steps done in spreadsheets outside NetSuite; reports built only for the demo
Multi-entity and consolidation An intercompany sale between two of your entities in different currencies, then the consolidated P&L Whether this needs OneWorld, which Oracle describes as a one-time upgrade that cannot be reversed, and which you ask your account representative about
Order to cash Quote to sales order to fulfillment to invoice to cash application for a real customer, including a credit memo Manual workarounds for your pricing rules or partial shipments
Billing and revenue A contract with a subscription, a one-time fee and a mid-term change, and the resulting revenue schedule Which billing or revenue module the scenario assumes
Procure to pay Requisition, approval by amount, PO, receipt, three-way match and a vendor payment run Approval rules that need custom workflow or scripting
Inventory and fulfillment One of your multi-level items or BOMs, a transfer between locations, a cycle count and a backorder Whether warehouse or manufacturing features shown are add-on modules
Roles and controls A clerk, an approver and an executive logging in, and how segregation of duties is enforced Users the demo treats as full users who could hold cheaper license types
Reporting Build one of your existing reports live, from a saved search or the report builder Reports that need an analytics add-on or partner build time
Integrations and data How your CRM, payroll, bank and ecommerce systems connect, and how open balances and history will be migrated Connector fees, middleware subscriptions and API capacity limits

What goes wrong: the vendor builds data during the session, which Panorama says distracts attendees from the process being tested. Ask for data loaded in advance.

Stage 5: The licensing, module and partner cost questions demos skip

Owner: your finance lead and procurement, with the CFO accountable. Output: a quote with every license, module, tier and service as a separate line.

BPM, a NetSuite Solution Provider, says NetSuite licensing is customized for each customer, that pricing “isn’t publicly published,” and that the license cost is the same whether you buy directly or through a Solution Provider (BPM, August 7, 2026). Bring these questions to the scripted demo and the first quote review.

Ask this Why it matters
Which modules did every screen in this demo use, and which are in our quote? Withum, a NetSuite implementation partner, lists add-on modules such as Advanced Financials, WMS and SuitePeople and notes that licensing can be bought a la carte or, in some cases, bundled in industry editions (Withum, July 2, 2024).
Which of our users need full licenses, and which can use Employee Center or specialized licenses? NetSuite lists Full, Employee Center, Retail and Specialized user types, with Employee Center limited to self-service tasks such as timesheets and expenses (NetSuite Help, Overview of User License Types).
Which service tier are we quoted on, and what pushes us to the next one? Tiers cap users, file storage and monthly transaction lines. Standard allows up to 100 users, 100 GB and 200,000 lines; Premium up to 1,000 users, 1,000 GB and 2 million lines (NetSuite Help, Service Tier Structure).
Is a sandbox included, and what does it cost at renewal? NetSuite says you purchase a sandbox through your account manager (NetSuite Help, Requesting a Sandbox Account). Oracle Licensing Experts, an advisory firm, says sandboxes are commonly priced in the low five figures per year (June 2026).
Will our integrations need SuiteCloud Plus? Concurrency limits depend on your tier and the number of SuiteCloud Plus licenses purchased, and only Premium and higher tiers can buy more than one (NetSuite Help, SuiteCloud Plus).
Can we reduce users or modules before renewal? Withum says you can add users and modules at any time but scale back only at renewal.
What renewal increase cap will you put in writing? Vendr, which sells pricing data, reports that renewals often rise 5 to 10% per year unless negotiated and suggests seeking 3 to 5% caps on multi-year deals (Vendr, February 2026).
Who implements, at what fee, and what is outside the fixed scope? Withum puts preconfigured implementations at $35,000 to $150,000 and customization at $125 to $300 per hour. Those are one partner’s ranges.

For partner selection itself, see our guide to NetSuite implementation partners in the US and Canada, and for the full first-year budget, our ERP implementation cost breakdown.

What goes wrong: the quote arrives as a bundle with one total. Ask for license, module, tier, sandbox and services lines separately. Vendr also recommends separate line items for licensing and for implementation and services.

Stage 6: Validation and decision

Owner: the project lead, with the executive sponsor accountable. Inputs: scoring sheets, the line-item quote, the partner statement of work and reference calls. Output: a go or no-go decision with the license and services scope agreed.

Ask references in your industry and size band what they added after go-live. RSM, a NetSuite partner, advertises a free 14-day trial with a provisioned user account and optional modules such as OneWorld and Fixed Assets (RSM US, no date shown). Compare NetSuite against at least one alternative on the same script; our NetSuite cost and fit analysis covers where it tends to fit and where it does not.

What goes wrong: the decision is made on the demo impression before anyone reviews the partner statement of work, which is a separate contract.

Metrics to track during the evaluation

  • Script coverage: the share of your scripted scenarios shown live in NetSuite, rather than described or shown in slides.
  • Workaround count: scenarios that needed a custom workflow, script, spreadsheet or add-on.
  • Weighted fit score: the average score from your process owners, weighted by how important each area is to you.
  • Quote completeness: whether every module seen in the demo appears as a line in the quote.
  • Year-one and year-three cost: licenses, tier, sandbox, SuiteCloud Plus, implementation and renewal increases, calculated the same way for each vendor.

How software supports each stage

A shared spreadsheet handles the requirements list, demo script and scoring sheet in stages 1 and 4, and a recorded demo (with the vendor’s permission) lets absent process owners score later. For stage 5, benchmarking services such as Vendr and Oracle licensing advisors sell pricing data and negotiation support. For stage 6, a partner trial or sandbox walkthrough lets your team repeat a scripted scenario before you sign.

Frequently asked questions

Is a NetSuite demo free?

Yes. NetSuite and its partners offer demos at no charge as part of the sales process. The real cost is your team’s time, so send a script first.

How long is a NetSuite demo?

ERP Research describes a standard live demo as 45 to 60 minutes and a scripted demo on your own processes as 2 to 4 hours. Plan for at least one scripted session before you request a final quote.

Can I get a NetSuite free trial instead of a demo?

The NetSuite SuiteSuccess page offers free product tours and a test drive but does not mention a free trial. Some partners offer one; RSM advertises a 14-day trial with a provisioned account.

Does NetSuite show pricing during the demo?

Usually not. NetSuite does not publish list prices, and its partner BPM says licensing is customized for each customer. Expect a quote after discovery and the demo, and ask for it with every module, tier and service as a separate line.

Should I buy NetSuite directly from Oracle or through a partner?

BPM, a Solution Provider, says the license cost is the same either way. Compare partner statements of work, fees and references instead.

What is SuiteSuccess in a NetSuite demo?

SuiteSuccess is Oracle’s methodology and set of 17 preconfigured industry editions with roles, dashboards, KPIs and workflows. Ask which edition you are seeing and which modules it includes.
